Job Purpose

Under the direction of the HR/Admin Manager and with day-to-day oversight from the HR/Admin Assistant, the HR/Admin Intern assists with essential HR and administrative functions while acquiring hands-on experience in human resources and office management.

The intern assists with recruitment initiatives, maintains organized filing systems, manages documentation processes, and ensures smooth office coordination.

Oversee and execute essential duties encompassing a wide range of operational and strategic tasks, ensuring alignment with organizational objectives. Lead cross-functional teams to drive project completion, monitor progress, and address any challenges that arise during execution. Develop and implement policies, procedures, and best practices to enhance efficiency, productivity, and compliance with industry standards. Collaborate with senior management to identify opportunities for growth, innovation, and process optimization. Prepare detailed reports, presentations, and analytical insights to support data-driven decision-making at all levels. Serve as a key liaison between departments, fostering clear communication and fostering a culture of accountability and continuous improvement.

HR Support professionals provide essential assistance to the Human Resources department, ensuring smooth operations and compliance with company policies and labor laws. They manage employee records, process payroll, and handle benefits administration, while also addressing staff inquiries and resolving workplace issues. Additionally, they assist with recruitment activities, including posting job openings, screening resumes, and scheduling interviews. Strong organizational skills, attention to detail, and proficiency in HR software are required, along with excellent communication abilities to interact effectively with employees at all levels.

Support recruitment initiatives, facilitate interview procedures, and coordinate staff onboarding activities.

Ensure that all staff personnel files are maintained in full compliance with ACTED’s established policies, including regular updates and accurate documentation.

Provide support in organizing and maintaining HR documents through both physical and digital filing systems.

Maintain current and accurate leave trackers and staff databases through regular updates.

Assist in compiling OUT correspondences for managerial review prior to their distribution to the appropriate offices and personnel.

Provide HR-related information and updates to field teams as needed to facilitate effective communication and knowledge dissemination.

Handle all aspects of travel logistics, including securing flight reservations, coordinating airport transfers, overseeing visa application follow-ups, and arranging suitable accommodations.

Support the management and organization of HR and administrative records and documentation.

Perform any additional tasks as assigned, ensuring timely and efficient completion to support overall operational objectives.

Nature of the Position

This position offers an educational opportunity designed to deliver hands-on experience in Human Resources and Administrative operations within a humanitarian setting.

Typically, the standard schedule runs from Monday through Friday, aligning with standard office hours, with occasional flexibility necessitated by operational demands.

The intern must consistently demonstrate professionalism, uphold strict confidentiality, and strictly adhere to all ACTED policies throughout their tenure.

Candidates must possess a robust set of technical and interpersonal competencies to excel in this role. Applicants should meet the minimum educational requirements, including a relevant degree or certification, along with a proven track record in similar positions. Essential skills include proficiency in industry-specific software, strong analytical abilities, and exceptional communication prowess. Experience with project management methodologies, such as Agile or Scrum, is highly valued, as is the ability to collaborate effectively within cross-functional teams. Additionally, candidates must demonstrate adaptability, problem-solving acumen, and a commitment to continuous professional development.

Recent graduates or students in their final year of studies in Human Resource Management, Business Administration, International Relations, or a comparable discipline are encouraged to apply.

Proficient in conveying ideas clearly and fostering productive relationships, with a strong ability to engage effectively with colleagues and stakeholders at all levels. Proficiency in essential computer applications, specifically Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint), is required.

Preferred internship or volunteer experience is highly valued.
