POSITION SUMMARY

The Project Accountant oversees the financial and accounting operations of projects, guaranteeing precise transaction handling, account reconciliations, payroll management, and adherence to statutory and donor mandates. This position contributes to financial reporting, procurement activities, audit preparations, and the strategic oversight of project finances in alignment with established organizational policies and procedures.

Oversee the full spectrum of operational duties, ensuring seamless execution of daily tasks aligned with organizational objectives. Develop and maintain efficient workflows to enhance productivity while adhering to established policies and compliance standards. Collaborate with cross-functional teams to identify opportunities for process improvements and implement strategic solutions to drive performance. Manage resources effectively, including budget allocation, staffing, and equipment, to optimize operational efficiency. Monitor key performance indicators (KPIs) to assess progress and implement corrective measures as needed. Serve as a liaison between departments to facilitate clear communication and alignment of goals. Provide leadership and mentorship to team members to foster a culture of accountability and continuous improvement.

Responsibilities include managing financial transactions associated with office and project expenditures, as well as organizing and maintaining a comprehensive filing system for financial records and project documentation.

To ensure precise tracking of financial transactions, maintain meticulous records to oversee the financial status of project activities, regularly updating and reconciling all accounting data while providing full supporting documentation.

Review requests for payment to verify the accuracy and completeness of data in alignment with the financial management system.

Responsible for maintaining, tracking, and documenting all financial transactions associated with payments, fund transfers, partner agreements, and project-related activities, including prepaid, payable, and receivable accounts, as well as payroll and accruals, in strict adherence to FADE’s established policies and procedures.

Oversee the organization and upkeep of all payment vouchers, accounting ledgers, and relevant supporting documentation to ensure accuracy and compliance with established financial protocols.

Review financial records to confirm the correctness of accounting entries and verify that supporting documentation is complete and appropriate.

Compile the monthly payroll data, then prepare and distribute payroll reports along with related by-product reports, such as those detailing various deductions.

Verify adherence to the timely submission of statutory deductions, including NAIF, NSF, PAYE, HELD, and other relevant contributions.

Prepare bank reconciliations and submit them for review and approval by the fifth of each month.

Facilitate the procurement requirements of the project office in alignment with the established procurement policy guidelines and in full compliance with AIDS and DRAG standards.

Support the Finance Officer in compiling and finalizing the financial reports for all projects executed by Fondazione L’Albert Della Vita / The Tree of Life across Kenya.

Assist in compiling and maintaining accurate inventories, ensuring all records are current and up-to-date.

Support the Finance Officer in drafting, reviewing, and finalizing agreements with vendors, partners, and service providers to ensure compliance and favorable terms.

Take part in the execution of audit procedures, ensuring thorough examination and verification of financial records, internal controls, and compliance with applicable regulations.

Must possess a Bachelor’s degree in Computer Science, Engineering, or a related field, supplemented by a minimum of five years of relevant professional experience. Proven expertise in software development, system architecture, and project management is essential. Familiarity with agile methodologies and proficiency in multiple programming languages, including but not limited to Python, Java, and C++, are required. Strong problem-solving abilities, excellent communication skills, and the capacity to collaborate effectively within cross-functional teams are critical. Prior experience in a leadership or mentoring role is advantageous.

A recognized institution must award a Bachelor’s Degree in Commerce with a specialization in Accounting or Finance, or in Economics, or you must hold an advanced-level Certified Public Accountant (CPA) credential or another equivalent qualification.

Demonstrates strong competence in utilizing computer applications, specifically spreadsheets (Excel) and specialized accounting software.

A minimum of three years of professional experience in finance or accounting is required.

Possesses a strong grasp of financial and accounting policies, standards, and relevant regulatory requirements.

Proficiency in community development initiatives, projects funded by International Non-Governmental Organizations (NGOs), and/or those supported by the Italian Agency for Development Cooperation (AIDS) is highly desirable.

Knowledge of PRAG is an added advantage

The monthly salary before deductions spans between KES 60,000 and KES 70,000, contingent upon the applicant’s qualifications and professional background. Comprehensive health insurance coverage will be extended to the chosen candidate following the satisfactory conclusion of the three-month probationary period.
