Job Summary

The Program Assistant facilitates on-the-ground execution, ongoing monitoring, and data administration for the School Feeding Program and its associated sustainability efforts. This position guarantees precise data collection, adherence to school-level protocols, and prompt reporting of field operations.

Oversee and execute key operational duties while ensuring alignment with organizational objectives. Develop and implement strategic initiatives to enhance productivity and efficiency across assigned departments. Collaborate with cross-functional teams to streamline workflows and optimize resource allocation. Monitor departmental performance metrics to identify areas for improvement and implement corrective actions as needed. Provide leadership and mentorship to team members to foster professional growth and accountability. Maintain compliance with industry regulations and company policies to mitigate risks and uphold standards. Prepare and present detailed reports to senior management on progress, challenges, and strategic recommendations.

Facilitate the execution of school feeding initiatives at designated institutions, ensuring alignment with established and approved strategic plans.

Coordinate school-level food delivery operations, handling receipt and preliminary verification procedures.

Provide support in coordinating field operations and stakeholder interactions.

Support the execution of sustainability initiatives at the school level as part of the Sustainable School Meals Project (SSMP), working in collaboration with the SSMP Project Officer. This includes establishing, monitoring, and offering technical guidance on kitchen gardens, crop cultivation, and poultry farming, among other activities.

Responsible for compiling, tracking, and analyzing data to ensure accurate reporting, consistent monitoring of progress, and thorough evaluation of outcomes. This role involves maintaining detailed records, generating performance reports, and assessing the effectiveness of initiatives to support informed decision-making. Strong analytical skills and attention to detail are essential to identify trends, measure impact, and provide actionable insights.

Craft quarterly and annual reports detailing the implementation progress, contributing to the organization’s written communications.

Responsible for the accurate maintenance and regular updating of beneficiary and school records, including enrollment details, feeding data, and contact information.

You will be responsible for conducting routine monitoring visits to schools to verify that all initiatives are progressing as planned, with a particular emphasis on the punctuality of food deliveries, adherence to food quality standards, adherence to proper food storage protocols, and appropriate utilization of food by the schools, among other critical areas.

Assist in the development and maintenance of Program Change/Impact documentation to accurately capture and convey relevant project modifications and their outcomes.

Regularly communicate updates regarding the implementation of the school feeding program across all designated platforms.

Contribute to the gathering of data for needs assessments, baselines, and impact evaluations at both the school and community levels.

Ensure all required tools and trackers are utilized consistently and maintained in an accurate, up-to-date state at all times.

A relevant academic background in Food Security, Agronomy, Community Development, Nutrition, or Social Work, evidenced by a University Diploma or Degree, is required.

With a minimum of two years of proven experience in a relevant field, candidates should have held progressively responsible positions in School Feeding, Agriculture, Community Development, or Education in Emergencies.

Professional candidates should possess practical knowledge or hands-on experience in agriculture and agronomy, with a strong emphasis on engaging schools and neighboring communities.

Proficiency in working within Arid and Semi-Arid Lands (BASAL) regions and among local communities constitutes an additional benefit.

A valid motorcycle riding license is strongly preferred.

Individuals should demonstrate both the willingness and capability to operate a motorcycle for travel to and from project locations.

Proven expertise in overseeing complex projects through meticulous monitoring and comprehensive reporting processes.

Skilled in leveraging a variety of data collection and reporting tools, including Kobe, OK, Google Forms, and Excel/Sheets, among others.
