The consultancy aims to lead the qualitative data collection for the AIM Plus FY26 Baseline across all designated Area Programs, guaranteeing that data is gathered with precision, adherence to ethical standards, and efficiency before being submitted to the WVK National Office DEAL team for analysis. Additionally, the consultant will train and oversee volunteers in conducting STAR assessments in schools, performing WASH facility evaluations in both school and health facility settings, and assessing the role of faith leaders in promoting child wellbeing.

The scope of responsibilities encompasses the following key deliverables and obligations. This role requires meticulous attention to detail and the ability to manage multiple priorities effectively. Primary duties include conducting thorough research, preparing accurate reports, and collaborating with cross-functional teams to ensure seamless project execution. Candidates must possess a minimum of five years of relevant experience and hold a bachelor’s degree, preferably in a related field. Proficiency in industry-standard software and strong communication skills are essential for success in this position. The position demands adaptability, problem-solving acumen, and a commitment to delivering high-quality results within established timelines.

Acquire proficiency in Global Center-endorsed qualitative methodologies and World Vision Kenya’s tailored assessment tools, encompassing protocols for Child Sponsorship, CBO, WASH, Health, Education (STAR Tangerine/IDEA), and Faith & Development indicators.

Note:

School WASH, health facility, and faith leaders’ Community-Wide Behavior (CWB) evaluations will employ Kobo tools specifically designed by World Vision, while reading proficiency assessments will utilize the STAR Tangerine tool.

Before commencing fieldwork, participate in an introductory briefing or orientation session conducted by the NOD MEAL team.

Ensure adherence to all ethical standards by implementing ACOSTA compliance measures and drafting informed consent and assent scripts.

Responsibilities include accurately documenting and submitting data in accordance with established protocols and deadlines. Candidates must ensure precision, completeness, and timely delivery of all required information while adhering to organizational standards and regulatory guidelines. Familiarity with data management systems and attention to detail are essential for maintaining the integrity of recorded information. Proficiency in relevant software applications and the ability to troubleshoot minor issues may also be required. Strong organizational skills and the capacity to work efficiently under pressure are critical to meeting submission schedules.

The consultant is responsible for gathering, documenting, and delivering unprocessed qualitative data to the WVK NOD MEAL team, which will subsequently conduct the analysis. The following protocols must be adhered to for data recording and submission.

All FGDs and Kids must be recorded with prior, explicit consent or assent from participants.

The consultant is responsible for accurately transcribing all focus group discussions (FGDs) and key informant interviews (Kids) in full, ensuring every detail is captured. Each transcription must be finalized and submitted within 48 hours following the conclusion of the respective session.

Each session’s transcript must explicitly include the following details: the group interviewed (e.g., Children FGD Age 7 to 12, Adult FGD Female Caregivers, or KIT Health Facility In-charge), the name of the AP, the date and location of the session, the names of the facilitator and note-taker, as well as the total number of participants.

Responses should be documented for each question separately, ensuring each answer or identified theme is correctly linked to its corresponding discussion question. The transcript must adhere to the structure outlined in the FGD/KIT guide, maintaining a clear, question-by-question organization of responses.

The consultant is responsible for conducting structured evaluations, which include administering the STAR Tangerine reading proficiency assessment to 50 Grade 3 students per AP, ensuring all individual responses for each question are recorded. Additionally, they must complete WV-designed Kobe tools for school WASH assessments across 20 schools per AP, health facility assessments at all designated facilities, and faith leaders’ CWB assessments. Each Kobe submission must include identifying details such as the school, facility, or respondent, AP designation, date, and the name of the assessor. The collected Kobe data must then be submitted to the NOD MEAL team in the format specified during the orientation session.

Audio files and corresponding transcripts are required to be securely archived and transmitted to the NOD MEAL team exclusively through WOK-approved secure digital platforms. Both audio files and transcripts must be preserved and forwarded together to ensure compliance with submission standards.

Field notes documenting non-verbal communication, group interactions, and contextual details are required to complement audio recordings for every Focus Group Discussion (FGD) and Key Informant Interview (KIT).

TERMS OF REFERENCE: AIM PLUS FY26 QUALITATIVE DATA COLLECTION

All submitted data must adhere to WVK data protection protocols by ensuring completed e-identification, which prohibits the inclusion of any participant names.

The consultant is not responsible for conducting qualitative data analysis. The NOD MEAL team will carry out thematic analysis and synthesis of all provided transcripts and data.

World Vision Kenya will extend the following assistance to the consultant:

Reviewed and authorized qualitative tools, including focus group discussion guides, key informant interview guides, and assessment instruments before their deployment in the field.

A detailed orientation and comprehensive briefing will be conducted by the NOD MEAL team, covering the AIM Plus methodology, associated tools, and ethical requirements.

Introductory letters are drafted, and community entry is coordinated in collaboration with AP Managers and Cluster DEAL officers.

Access to AP-level participant lists and sampling frameworks, including RC lists, caregiver rosters, and school or facility directories, is available.

Logistical support will involve organizing field scheduling and managing contacts at the assistant professor level, with transport and accommodation expenses to be included in the consultant’s financial proposal.

A robust, secure platform is employed for the electronic submission of transcripts and audio files.

As the designated primary contact for NOD MEAL in field coordination matters, you will handle day-to-day operations and provide quality feedback.

The consultant is required to possess, or secure before commencing fieldwork, a valid ACOSTA research permit or, alternatively, conduct operations under the institutional permit granted to World Vision Kenya (WVK) as specified.

All adult participants are required to provide informed consent before taking part in the study. For participants under 18 years of age, written consent from a parent or legal guardian must be secured, along with the child’s assent, which should be obtained using developmentally appropriate language before any focus group discussions or interviews commence.

All child-focused group discussions must be carried out in environments designed to ensure safety and comfort for children, led in a manner that respects their age and maturity, and conducted without any form of pressure or suggestive questioning.

All consultants and field assistants involved in this assignment are required to sign and strictly comply with WVK’s Child Protection and Safeguarding Protocol prior to the initiation of fieldwork.

All safeguarding issues disclosed during the data collection process must be communicated without delay to the assigned WVK Safeguarding Focal Person, in strict adherence to the Do No Harm principle.

All personally identifiable information must be processed in strict compliance with WVK’s established data protection policies. Under no circumstances should participant names be included in transcripts or any data submitted for review.

Audio recordings and photographs—when available—mandate explicit, separate consent or assent prior to collection. Under no circumstances should such materials be disclosed publicly or distributed beyond WVK without prior authorization from the organization.
