About the role
The People & Admin Associate plays a pivotal role in maintaining the operational efficiency of the EDU Kenya office while delivering essential administrative support to the People department. This position involves overseeing the seamless functioning of the Nairobi office, handling logistical arrangements, arranging travel, managing office supplies, and fostering an environment that enhances team productivity. Additionally, the role encompasses the facilitation of HR administrative functions, including coordinating onboarding and offboarding processes, managing benefits administration, maintaining HRIS records, and tracking contracts.
What you will do:
The role involves overseeing the daily operations of the office environment, ensuring efficient workflows and maintaining a productive workspace. Duties include managing correspondence, coordinating meetings, handling administrative tasks, and providing support to staff and visitors as needed. Oversee the daily administrative operations of the office, including managing supply and equipment procurement, optimizing office space utilization, and coordinating logistics to ensure seamless and timely deliveries.
Assist in organizing and managing office events as well as staff meetings to ensure seamless execution and effective collaboration.
Serve as an intermediary connecting Human Resources, Procurement, Operations, and Finance to streamline office-related processes.
Serve as the primary liaison for guests and external collaborators arriving at the facility.
Maintain the efficiency and functionality of the office environment on a daily basis to support seamless operations.
HR Operations Support professionals play a vital role in ensuring the seamless functioning of human resources processes by providing administrative assistance, maintaining accurate employee records, and facilitating compliance with company policies and regulations. They are responsible for managing employee data in HR systems, processing onboarding and offboarding documentation, and coordinating HR-related communications. Additionally, they assist with payroll preparation, benefits administration, and performance management documentation, ensuring timely and accurate execution. Strong organizational skills, attention to detail, and proficiency in HR software are essential, along with the ability to handle confidential information with discretion. Collaboration with cross-functional teams and adherence to HR best practices are also key expectations.
Provide support for onboarding and offboarding initiatives by managing documentation, configuring systems, and collaborating with supervisors to ensure smooth transitions.
Oversee the renewal of support contracts by managing timelines, compiling necessary documentation, and ensuring timely follow-ups.
Provide support in managing employee benefits, including medical insurance, Workers’ Insurance Fund (FIBA), pension schemes, and Higher Education Loans Board (HELD) records, while maintaining precise documentation.
Maintain and update HR records within the HRIS (Personio) system while ensuring adherence to statutory compliance requirements.
Provide assistance in managing payroll documentation while supporting HR efforts in monitoring performance metrics.
Conduct follow-up activities and manage coordination efforts to ensure seamless project execution and timely completion of assigned tasks.
Ensure all office and HR-related tasks are monitored and followed up on to guarantee timely completion.
Foster ongoing dialogue with employees, supervisors, and external partners to facilitate seamless office operations and streamline HR processes.
Provides comprehensive administrative assistance to ensure efficient office operations, including managing correspondence, scheduling appointments, and maintaining organizational records. Handles data entry and filing systems to support daily workflows. Requires strong organizational, communication, and time-management skills, as well as proficiency in standard office software. Ensures adherence to confidentiality protocols and office policies. May assist with basic financial tasks, such as expense tracking and report preparation.
Assist with compiling, organizing, and submitting documentation, as well as maintaining accurate records and generating reports as required.

What you should bring:
A minimum of a bachelor’s degree in Human Resources, Business Administration, or a closely related discipline is required.
Minimum of 3 to 5 years of relevant experience in office administration or human resources administrative functions is required.
