JOB PURPOSE
Ensure the accuracy of pricing for new transport ventures by collaborating efficiently with Third-Party Service Providers (3PSPs) and upholding well-organized, compliant distribution documentation.
KEY ACCOUNTABILITIES
Develops and implements strategic pricing strategies to optimize revenue and profitability, analyzing market trends, competitor pricing, and customer behavior. Collaborates with cross-functional teams, including sales, marketing, and finance, to ensure pricing aligns with business objectives and market positioning. Responsible for managing and maintaining accurate records, this role ensures all documentation is properly filed, organized, and updated in accordance with established procedures. Strong organizational skills and familiarity with document management systems are essential to support smooth workflows and compliance with regulatory standards.
Ensure drivers provide fully completed and signed Proof of Delivery documents (POD’s) along with invoices, while also confirming the accuracy of all handover forms.
Monitor incoming Proof of Delivery (POD) submissions, pinpoint any delivery delays, and promptly elevate instances of non-compliance to the appropriate stakeholders.
Oversee the review and resolution of POD’s, ensuring incomplete or disputed records are addressed promptly and closed in a timely manner.
Accurately input delivery information into the system while ensuring all records are complete and accurate.
Collect and upload signed Proof of Delivery documents to ensure they are readily accessible for audits.
Respond to inquiries regarding documentation submitted by internal teams as well as external clients.
Organize and maintain both physical and digital filing systems while ensuring all data is securely backed up.
Perform regular audits to assess compliance risks and pinpoint any deficiencies in documentation.
Effectively address and implement corrective measures for any missing or incomplete Proof of Delivery (POD) documentation.
Reporting to the Director of Operations, this role is responsible for providing accurate and timely reports on departmental performance, financial metrics, and operational efficiency. The position requires strong analytical skills and proficiency in data visualization tools to interpret complex data sets and present insights clearly. Key duties include preparing monthly financial statements, tracking budget variances, and ensuring compliance with regulatory reporting standards. Prepare and submit daily reports detailing any pending Proof of Delivery (POD) documentation.
Prepare daily progress reports on pending deliveries for TSPs.
Prepare and submit weekly POD summary reports, accompanied by scanned copies, to clients.
Compile and submit weekly performance reports detailing key indicators for delivery efficiency and proof of delivery metrics.
Monthly billing reports are forwarded to the Finance department to facilitate the invoicing process.
Compile and organize POD (Proof of Delivery) documentation in preparation for audits and client inspections.

Examine each shipment thoroughly to confirm its condition, and promptly report any discrepancies or damages to the appropriate personnel.
Ensure adherence to Personal Protective Equipment (PPE) protocols and support the delivery of safety orientation sessions.
Report any instances of unsafe equipment handling and ensure all documentation zones remain clean and orderly.
Provide drivers with precise direction during docking procedures and ensure safe vehicle maneuvering at all times.
Provide support to newly hired employees in mastering documentation protocols and safety guidelines.

REQUIREMENTS
Minimum qualification of five O-Levels / equivalent certificates is required, including Mathematics and English Language.
Essential requirements include prior experience in organizing, maintaining, and managing documents through filing systems, archival processes, or logistics-related record-keeping.
You must possess exceptional attention to detail and strong analytical capabilities.
Collaborative professional with proven expertise in facilitating cross-functional teamwork and aligning efforts across departments to achieve shared objectives.
Proficient in using Microsoft Office applications, including Excel, Word, and Outlook, as well as specialized transport software such as SALOPIAN and Telematics.
