Collaborate with three third-party service providers (3PSPs) to verify rates, available capacity, and production timelines.

Handles the preparation, organization, review, and distribution of all documentation to ensure accuracy, compliance, and accessibility. Requires meticulous attention to detail, strong organizational skills, and proficiency in document management systems. Responsibilities include verifying data integrity, maintaining version control, and ensuring timely delivery of materials to relevant stakeholders. Familiarity with regulatory standards and industry-specific documentation practices is essential for success in this role.
Ensure drivers provide fully completed and signed Proof of Delivery documents and invoices, while also confirming the accuracy of all handover forms.
Monitor Proof of Delivery submissions, pinpoint any delays, and escalate instances of non-compliance as necessary.
Review Patient Outcome Dossiers (POD’s) to address any incomplete or disputed documentation, ensuring all records are accurately finalized in a timely manner.
Accurately input delivery information into the system and ensure all records are fully complete.
Scan and upload signed Proof of Delivery documents to ensure they are readily accessible for audits.
Handle documentation-related inquiries from both internal stakeholders and external clients efficiently and professionally.
Maintain meticulously organized archives, both in hard copy and electronic formats, ensuring that all documents are securely backed up to prevent data loss.
Perform regular audits to detect potential compliance risks and ensure all documentation is complete and accurate.
Corrective measures must be implemented to address missing or incomplete Proof of Delivery (POD) documents.
Reporting directly to the senior management team, this role is responsible for compiling, analyzing, and disseminating accurate financial and operational data to stakeholders. The position requires the ability to prepare comprehensive reports, present key findings, and ensure compliance with regulatory standards. Proficiency in data visualization tools and advanced Excel skills is essential, along with strong attention to detail and exceptional communication abilities. Additionally, the role demands experience in managing reporting deadlines and collaborating with cross-functional teams to gather and validate information.
Prepare and submit daily reports detailing any outstanding Proof of Delivery (POD) statuses.
Prepare and deliver regular daily briefings to Transportation Service Providers (TSPs) regarding the status of pending deliveries.
Prepare and submit weekly POD summary reports, including scanned copies, directly to clients.
Compile weekly key performance indicator reports to track delivery and proof of delivery metrics.
Monthly billing reports are prepared and subsequently forwarded to the Finance department to facilitate the invoicing process.
Compile and maintain POD (Proof of Delivery) documentation in preparation for audits as well as client inspections.
The role encompasses oversight of Safety, Health, Environment, and Quality (SHE) to ensure compliance with regulatory standards and organizational policies. Responsibilities include developing and implementing robust safety protocols, conducting risk assessments, and managing environmental sustainability initiatives. The position requires thorough knowledge of occupational health regulations, proficiency in quality management systems, and the ability to lead audits and inspections. Additionally, the individual will foster a culture of safety awareness, train employees on best practices, and drive continuous improvement in SHE performance. Strong analytical skills, exceptional communication, and a commitment to excellence are essential for success in this role.
Maintain adherence to Standard Operating Procedures to ensure accurate and secure documentation practices.
Identify discrepancies and collaborate on implementing corrective measures to resolve them.
Examine shipments to identify any damage and promptly report any discrepancies to the appropriate parties.
Ensure strict adherence to Personal Protective Equipment (PPE) guidelines and provide support in conducting safety briefings.
Document any instances of improper equipment handling and ensure all documentation areas remain clean and orderly.
Professional Rewriting:
Provide guidance to drivers throughout the docking process to facilitate safe and efficient vehicle maneuvering.
Provide support in the onboarding of new employees, focusing on documentation protocols and safety guidelines.
Facilitates effective interaction and teamwork with colleagues, clients, and stakeholders to ensure project success and operational efficiency through clear, timely, and professional exchanges.
Ensure clear and consistent communication to facilitate deliveries that are both timely and fully completed.

The ideal applicant will possess at least three years of relevant experience in a similar role, demonstrating a track record of reliability and accuracy. Additionally, the ability to multitask efficiently in a fast-paced environment while maintaining meticulous attention to detail is required. A valid driver’s license and reliable transportation are also necessary for occasional travel.
Minimum of an O-Level qualification or its equivalent is required.
