Job Description

Ensure strict compliance with all NRC policies, tools, handbooks, and guidelines.

Support the execution of the support function portfolio in alignment with the established action plan.

Draft status reports upon request to ensure management remains apprised of project progress, milestones, and any emerging challenges.

Ensure all administrative documents are filed correctly and maintain an organized, efficient filing system in accordance with established procedures.

Coordinate IT-related services, maintenance tasks, and license renewals in collaboration with the IT Coordinator based in Nairobi.

Responsibilities

These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus, and type of programme intervention.

Prepare and regularly update payroll information for casual and incentive staff, ensuring accuracy before submission for review.

Ensure the protection and integrity of NRC assets within the Dadaab Refugee Complex (DMO) by overseeing security measures and safety protocols. Collaborate closely with key partners, including Technical and Vocational Education and Training (VET), Accelerated Education Program (AEP), and Keighley Compound, to maintain a secure and efficient operational environment.

Serve as the organization’s designated representative in discussions concerning compound management, actively participating in relevant meetings to address associated matters.

Coordinate the cleaning and renovation of NRC compounds, including Care and Main facilities, as well as offices, while overseeing and managing casual staff.

Procure, log, allocate, and manage requisitions to ensure sufficient inventory levels of office and accommodation assets and consumables at all times.

Coordinate accommodations for staff and visitors, manage check-in procedures, and ensure timely processing of payments.

Ensure timely payment of utility bills, including electricity and water, in coordination with the Finance and HR Officers.

Oversee the maintenance and updating of the asset register while verifying that all NRC assets are properly registered in compliance with NRC asset management guidelines, Standard Operating Procedures, and donor regulations.

Ensure that all NRC assets remain in optimal condition, and oversee maintenance activities as needed.

Before assigning the equipment to the requester, verify a thorough handover by completing the Equipment Check-In and Check-Out form.

Accurate completion of asset-related documentation, including Equipment Check-In/Check-Out forms, Waybills, Donation Certificates, and Asset Transfer Forms, is essential to ensure compliance and proper tracking of organizational assets.

Perform quarterly physical inspections of assets to ensure accuracy and completeness.

Regularly provide staff with updates on health, safety, and security briefings while ensuring full compliance with established security policies and procedures.

Collaborate with UN agencies, non-governmental organizations, and other relevant stakeholders to obtain security information and analyses in the Dadaab region.

Maintain the availability and operational readiness of all health, safety, and security equipment to ensure compliance with established standards.

The individual will be responsible for the secure management and oversight of the office keys, ensuring their proper use and storage at all times.

Qualifications

Administrative or safety and security experience within humanitarian or recovery operations is required.

Previous experience from working in complex and volatile contexts

Achieved measurable outcomes aligned with the position’s core duties and objectives.

Proficient in English and holding a Bachelor’s degree in Business Administration and Information Technology, along with relevant certifications—such as in project management, risk assessment, or facility management.

The position requires expertise in health protocols, access management, and safety procedures to ensure compliance with established standards. Candidates must demonstrate proficiency in implementing training programs that address these critical areas while maintaining a safe and secure environment for all personnel.

Demonstrated expertise in administrative operations and information technology functions is required for this role.

A minimum of two to three years of hands-on experience in a related field is required.
