Responsible for overseeing all aspects of warehouse operations, including receiving, storing, and distributing inventory with precision and efficiency. Assist with maintaining accurate stock movement records in the TIM system.

Responsible for facilitating the distribution of inventory to designated field sites, guaranteeing that all necessary documentation is present and entries are accurately recorded.

Responsible for overseeing and managing the company’s fleet of vehicles, ensuring optimal performance, cost efficiency, and adherence to safety regulations. Develops and implements fleet management policies, coordinates maintenance schedules, and tracks vehicle utilization to minimize downtime and maximize productivity. Collaborates with procurement teams to acquire new vehicles and dispose of outdated ones, negotiates contracts with service providers, and ensures compliance with all applicable laws and industry standards. Assist the Supply Chain Assistant in evaluating the rotation and equitable allocation of field-hired vehicles, and promptly escalate any discrepancies or inefficiencies noted.

Provide assistance in the accurate management of insurance claims related to incidents and accidents, as well as the negotiation of insurance benefits.

Assist in consolidating fleet-related procurement activities, specifically for tires, across all field offices and forward the consolidated data to the Procurement team for bulk processing.

Oversee the management, valuation, and strategic utilization of organizational assets to enhance operational efficiency and financial performance. Ensure accurate recording, maintenance, and reporting of all asset-related data in compliance with regulatory standards and internal policies. Collaborate with cross-functional teams to assess asset performance, identify opportunities for optimization, and implement improvements to maximize return on investment. Develop and execute asset lifecycle plans, including acquisition, utilization, maintenance, and disposal strategies, while mitigating risks and ensuring alignment with business objectives. Lead initiatives for asset tracking, auditing, and reconciliation to maintain transparency and accountability across the organization.

With the support of the Supply Chain Coordinator, assist in the tagging of newly acquired assets and ensure the asset register is updated accordingly.

Ensure that all staff members receiving new assets complete and submit the required asset issue form, which must then be properly filed for record-keeping purposes.

ProS ave and Procurement is seeking a dynamic Procurement Officer to oversee the acquisition of goods and services while ensuring cost-efficiency and adherence to company policies. The ideal candidate will possess a bachelor’s degree in business administration, supply chain management, or a related field, along with a minimum of three years of procurement experience. Proficiency in negotiation, contract management, and vendor relations is essential, as is familiarity with procurement software and ERP systems. Responsibilities include evaluating supplier performance, managing purchase orders, negotiating favorable terms, and maintaining accurate records of transactions. Strong analytical skills and attention to detail are critical, along with the ability to collaborate effectively across departments. This role requires a proactive approach to sourcing, cost optimization, and strategic decision-making to support organizational objectives.

Facilitate the preparation of draft catalogues to be uploaded into the ProS ave system.

Compile all completed and signed FWA’s and submit them to the Supply Chain Officer for uploading into ProS ave.

Proactively assist in the onboarding process for new suppliers by facilitating their registration within the Pros ave system.

Under the supervision of Supply Chain Officers and Assistants, secure quotations or supply bids in accordance with established procurement thresholds and policies.

Conduct thorough competitive bid assessments and secure all necessary approvals in alignment with the Supply Chain Manual.

Assist in the handling of invoice payments, verify completion of all procurement checklist stages, and forward documentation to the Senior Procurement Officer for review and subsequent finance distribution.

Maintain and manage efficient filing systems to ensure organized and accessible documentation. Implement structured methods for sorting, storing, and retrieving physical and digital records. Ensure compliance with organizational policies and regulatory standards for record retention and confidentiality. Regularly update and audit filing systems to eliminate redundancy and improve retrieval efficiency. Collaborate with team members to streamline document management processes and enhance overall productivity.

Ensure all Supply Chain documents, policies, waivers, and contracts are accurately filed in both open and closed procurement files in sequential order.
