Job Purpose:
Our responsibilities include stocking, overseeing, and distributing a diverse range of consignment items, including medical, surgical, pharmaceutical, pathology, and radiology supplies, as well as Food & Beverage, Engineering, CAPEX, and general stores inventory, along with non-inventory items essential to hospital-wide operations, outreach programs, and University Centre users. Additionally, we ensure precise reporting of inventory levels within our designated areas of responsibility.
Oversee a comprehensive range of duties encompassing strategic planning, team leadership, and operational execution to drive organizational success. Ensure adherence to industry regulations and compliance standards while fostering a culture of accountability and continuous improvement. Collaborate with cross-functional teams to align business objectives with performance metrics, optimizing resource allocation and efficiency. Develop and implement policies and procedures that enhance productivity, mitigate risks, and support long-term growth initiatives. Monitor key performance indicators to assess progress, address challenges, and implement corrective actions as needed.
Responsible for overseeing the designated warehouse and/or Sub Store operations.
Handle incoming service material requests submitted by end users efficiently and professionally.
Accurately and promptly process the issuance of items.
Ensure precise, prompt, and thorough recording and updating of transactions within the system, as well as the accurate and timely issuance of items.
Stack items with precision to ensure clear identification and traceability.
Proactively monitor inventory levels to prevent stock outs by alerting the purchaser when items are approaching critically low thresholds.
Suggest ideal restocking levels for inventory items to ensure optimal availability and minimize excess stock.
Responsibilities include accepting incoming inventory shipments from suppliers in alignment with purchase orders, and conducting thorough inspections to validate both quantity and quality standards.
Accurate and timely receipt and verification of invoices, followed by prompt forwarding to the Finance department for processing.
Contribute to the preservation of optimal inventory levels by ensuring stock remains within the designated minimum days’ supply.
Confirm the integrity of all merchandise procured from suppliers, warehouses, and sub-stores upon receipt.
Investigate unresolved issues reported by end users to ensure proper resolution and acceptance.
Ensure stock movement is managed in strict accordance with the First-Expired, First-Out (FEFO) principle.
Oversee a minimum threshold of expirations and obsolete inventory to maintain optimal stock levels.
Contribute to the execution of quarterly inventory counts.
Ensure timely daily submissions of checklists and monthly reports, including bulk SPR submissions for inventory replenishment, slow-moving inventory tracking, approved disposal forms, and QVR reports.
Additional responsibilities may be assigned by the PSCMD Supervisor, Assistant Managers, Managers, and PSCMD leadership, potentially involving assistance with the duties and operations of the Purchase Assistant role.
A Bachelor’s degree in Computer Science, Engineering, or a related technical field is required, along with at least 5 years of hands-on experience in software development. Proficiency in programming languages such as Java, Python, or C++ is essential, along with expertise in cloud platforms like AWS or Azure. Strong problem-solving abilities, excellent communication skills, and a proven track record of delivering high-quality software solutions are also necessary. Familiarity with agile methodologies and DevOps practices is preferred.
A relevant diploma or professional certification in a business discipline is required.
Membership in the Chartered Institute of Purchasing & Supply (CAPS), Chartered Institute of Logistics (CULT), or Kenya Institute of Supplies Management (KISS) is highly desirable.
Minimum of two years of professional experience within a relevant industry or operational setting is required.
Experienced in utilizing Microsoft Office applications, particularly Excel and Word, with a high level of competence.
The candidate must demonstrate strong teamwork capabilities, a proactive mindset, and the initiative to drive projects forward independently.
Excellent customer service skills and interpersonal/ communication skills
Ability to lift heavy boxes, climb and bend.
Knowledge of warehousing/stocking
