THE OPPORTUNITY
The Railway Coordinator is tasked with organizing and overseeing rail wagon procurement and transportation in partnership with Kenya Railways Corporation. This position guarantees prompt wagon availability, streamlined loading and shunting procedures, and punctual customer deliveries.
The role encompasses resolving cargo discrepancies—such as damaged or broken bags—while collaborating closely with internal and external stakeholders to reduce delays. Additionally, it requires meticulous record-keeping to uphold the efficiency and reliability of rail logistics operations.
YOUR RESPONSIBILITIES
Responsible for organizing and ensuring the safe securing of rail wagons according to established loading schedules and client delivery specifications, in collaboration with Kenya Railways Corporation.
Efficiently manage the scheduling of empty wagon arrivals, oversee loading operations, and coordinate the shunting of loaded wagons to ensure timely dispatch.
Develop and oversee wagon movement schedules while proactively identifying and escalating any delays or bottlenecks to ensure operational efficiency.
Partner with rail yard personnel, clients, and internal stakeholders to optimize loading processes and ensure timely departures.
Verify cargo quantities and confirm the precision of shipping documentation and waybills before dispatch.
Monitor shipments until final delivery, verify proof of receipt, and address any inconsistencies or deviations from the expected process.
Investigation of damaged or missing cargo—such as broken bags—is required, along with identification of underlying causes, to facilitate claims resolution and drive corrective measures.
Maintain precise and current records, encompassing wagon allocations, movement logs, manifests, and reconciliation reports to ensure accuracy.
Ensure complete adherence to rail operational procedures, safety regulations, and organizational policies.
Analyze operational performance metrics—such as turnaround times, delays, and losses—to identify opportunities for enhancement. Recommend strategic improvements aimed at boosting efficiency and minimizing operational costs, ensuring sustainable growth and productivity.
Support incident investigations and spearhead ongoing improvement efforts throughout rail operations.
Perform routine inspections at rail yards, loading facilities, and client sites to oversee operational activities and address any arising concerns.

A minimum of two to four years of hands-on experience in rail freight coordination, logistics operations, or multimodal transportation environments is required.
Experience in rail systems, including but not limited to Kenya Railways, is beneficial.
Demonstrates in-depth expertise in various wagon classifications, operational protocols of rail systems, including shunting methodologies, as well as proficient handling of rail documentation procedures.
Experienced in managing cargo claims, resolving loss and damage discrepancies, and facilitating collaboration among diverse stakeholders, including internal teams, customers, and rail operators.
Proven expertise in a range of technical and soft skills, including advanced proficiency in data analysis, project management, and cross-functional collaboration, is essential. Strong problem-solving abilities, adaptability to evolving technologies, and keen attention to detail are required. Familiarity with industry-standard software, regulatory compliance, and risk assessment methodologies is also necessary. Excellent written and verbal communication skills, coupled with the capacity to lead teams and drive strategic initiatives, are critical. Demonstrates a comprehensive grasp of rail safety standards and regulatory mandates governing rail transport operations.
A valid driver’s license is required, and the ability to travel as needed for operational coordination is essential.
