THE OPPORTUNITY

The Railway Coordinator oversees the procurement and coordination of rail wagon sourcing and logistics in partnership with Kenya Railways Corporation. This position guarantees prompt wagon availability, streamlines loading and shunting procedures, and ensures punctual deliveries to customers.

The role encompasses reconciling discrepancies in cargo, such as damaged or broken bags, while collaborating closely with internal and external stakeholders to reduce delays. Additionally, it requires maintaining precise records to uphold the efficiency and dependability of rail logistics operations.

You will be responsible for executing a range of duties that include overseeing daily operations, managing project timelines, and ensuring adherence to company standards. Key tasks involve collaborating with cross-functional teams, analyzing performance metrics, and implementing process improvements to enhance efficiency. Additionally, you will be tasked with leading team meetings, delegating responsibilities, and monitoring progress to meet organizational objectives. Develop and arrange rail wagon arrangements in strict adherence to loading schedules and customer delivery specifications, collaborating closely with Kenya Railways Corporation.

Coordinate the prompt positioning of empty wagons, oversee loading procedures, and manage the shunting operations for loaded wagons to ensure timely dispatch.

Develop and oversee wagon movement schedules while proactively identifying and escalating any delays or bottlenecks that may arise.

Work collaboratively with rail yard teams, customers, and internal stakeholders to facilitate efficient loading and dispatch operations.

Verify the cargo quantities meticulously and confirm the precision of all shipping documentation and waybills before final dispatch.

Monitor shipments throughout the delivery process, verify proof of delivery, and address any discrepancies or exceptions that may arise.

Conduct thorough assessments of damaged or misplaced cargo—such as broken containers or bags—to identify underlying causes, facilitate claims resolution, and implement corrective measures to prevent recurrence.

Maintain meticulous and current records encompassing wagon allocations, movement logs, manifests, and reconciliation reports to ensure accuracy and compliance.

Maintain strict adherence to rail operational procedures, safety standards, and company policies at all times.

Operational performance analysis—including evaluating turnaround times, identifying delays, and assessing losses—is essential to identifying opportunities for enhancement. Based on these findings, professionals in this role will propose strategies to boost efficiency and minimize expenditures, ensuring sustained operational excellence.

Conduct incident investigations diligently and spearhead continuous improvement efforts throughout rail operations.

Regularly visit rail yards, loading points, and customer locations to oversee operational activities and address any arising concerns.

Seeking candidates with a Bachelor’s degree in a relevant field and at least three years of hands-on experience in a comparable role. A Bachelor’s degree or Diploma in Logistics, Supply Chain Management, Transport Management, Business Administration, or an equivalent discipline is required.

A minimum of two to four years of hands-on experience in rail freight coordination, logistics operations, or multimodal transportation environments is required.

Proficiency in collaborating with entities like Kenya Railways or comparable rail systems is strongly preferred.

Possesses in-depth expertise in various wagon classifications, rail transportation functions, including shunting protocols, as well as rail documentation protocols.

With a strong background in managing cargo claims, conducting thorough loss/damage reconciliations, and fostering collaboration among diverse stakeholders—including internal teams, customers, and rail operators—you bring valuable expertise to ensure seamless operations and resolution.

Proficient in a range of technical proficiencies and core abilities, candidates will demonstrate expertise in critical areas, including advanced problem-solving, analytical reasoning, and effective communication. Strong organizational skills and meticulous attention to detail are essential for ensuring accuracy in all tasks. Familiarity with industry-specific tools, software, or methodologies is required, along with the capacity to adapt to evolving technologies and processes. Possesses a comprehensive knowledge of rail safety standards, regulatory frameworks, and compliance obligations specific to rail transport operations.
