About This Role

The Monitoring and Evaluation (M&E) Assistant will operate under the supervision of the Senior Field Coordinator, collaborating closely with the NMP team to facilitate the daily execution of the MEL system. Responsibilities include conducting data collection, compiling and organizing information, entering data into systems, performing analyses, and leveraging insights to inform critical decision-making processes.

The Monitoring and Evaluation Assistant will perform quality assurance on field-based program implementation, accountability measures, and the learning process. Additionally, the incumbent will assist in ensuring the timely execution of project activities, attainment of established targets, budget oversight, milestone tracking, and report preparation. During significant humanitarian emergencies within the operational areas, the position may require deviations from standard responsibilities, along with flexible working hours to accommodate urgent needs.

Additionally, they provide assistance to country offices and global program strategic initiatives as required.

The successful candidate will leverage the management information system (CAMEL), comprising DHIS2, Comm Care, and a cloud-based data warehouse, to enhance program outcomes and support strategic decision-making processes.

Responsibilities include managing and overseeing daily operations, ensuring compliance with company policies and industry regulations, and maintaining accurate records of all transactions and activities. The role requires coordinating with various departments to facilitate seamless workflows, addressing and resolving operational challenges, and implementing process improvements to enhance efficiency. Monitor and track the progress and status of the Annual Operation Plan and Results Framework by evaluating performance indicators and budget expenditures. Additionally, provide regular updates and reports on these metrics to ensure transparency and accountability in the execution of the plan.

Perform process and outcome monitoring to evaluate the quality of activity implementation, conduct routine data quality audits, and maintain detailed documentation of field visit reports and action trackers.

Provide assistance to external evaluators and project team members in the development and execution of baseline, midterm, and Edline evaluations, as well as any additional specialized studies.

Ensure the effective execution of New Market Products (NMPs) assessment, as well as the thorough review of lessons learned and associated recommendations.

We oversee a range of evaluations, assessments, and reviews, providing support in the recruitment of Research Assistants, alongside data collection, analysis, and reporting, among other key responsibilities.

Gather and address feedback and complaints submitted by community members, whether communicated directly or relayed to the AFP by front-line field staff.

Maintain a comprehensive log of all feedback and complaints within a centralized database system.

Conduct referrals and subsequent follow-ups in accordance with the specific details of each feedback or complaint received.

Engage in program monitoring, evaluation, and review activities, prioritizing the collection and integration of participant feedback. Additionally, this role involves assessing the operational effectiveness of current CFMs.

The Management Information System (MIS) role involves overseeing the development, implementation, and maintenance of systems that provide accurate and timely information to support managerial decision-making. Responsibilities include analyzing business requirements, designing and configuring MIS solutions, and ensuring data integrity and security. Candidates should possess a degree in Information Systems, Computer Science, or a related field, along with proficiency in database management, reporting tools, and enterprise software. Strong analytical, problem-solving, and communication skills are essential, as is experience in project management and system optimization. The position requires collaboration with cross-functional teams to align MIS capabilities with organizational goals.

Ensure the CAMEL management information system remains current and fully operational to meet all program reporting requirements.

Ensure that all system users receive adequate support for accurate data entry, visualization, and reporting.

Investigate and resolve technical issues encountered by all system users, promptly escalating any unresolved problems to the Cluster CAMEL Officer for further action.

Conduct training sessions to enhance the skills of new users and provide refresher courses for existing users of the Management Information System (MIS), ensuring proficient system utilization.

Oversee the MIS to verify encoded data accuracy, compile and distribute MIS reports, offer constructive feedback to users, and ensure timely dissemination to all relevant stakeholders for informed decision-making.

The role involves overseeing the organization’s knowledge management and learning initiatives, ensuring information is effectively captured, stored, and shared across teams. Responsibilities include developing and implementing knowledge-sharing strategies, maintaining and updating internal databases, and facilitating training programs to enhance employee skills. The position requires proficiency in digital tools for knowledge retention, strong communication skills to convey complex information clearly, and the ability to collaborate with cross-functional teams. To assist in compiling internal program reports—such as the Quarterly Progress Report, Monthly Monitoring Report, and Annual Operational Plan and Budget—as well as evaluation and impact assessment reports.

Provide prompt feedback to implementation teams based on MEL system findings to strengthen program/project execution and outline the necessary steps to achieve intended outcomes.

Engage in yearly project evaluations and strategic planning sessions, providing support to the Senior Field Coordinator by compiling and organizing pertinent documentation and reports.

Collaborate with project team members to cultivate a learning-centric environment and facilitate the dissemination of knowledge across field site offices and collaborating implementing partners.

Assist in documenting NMP program best practices and key insights by developing a range of learning resources, including case studies, human interest narratives, and success stories.

Ensure staff consistently upload data and reports into the SharePoint repository in a compliant manner.

Additional responsibilities may be assigned at the discretion of the supervisor as needed.

Bachelor’s degree in a relevant field or equivalent practical experience is required. Minimum of five years of professional experience in a related role is mandatory.
