POSITION OVERVIEW:

The Maintenance Coordinator oversees the daily maintenance operations of the hospital’s facilities, ensuring buildings, water systems, grounds, furniture, nonmedical equipment, and waste management systems remain in optimal and safe working condition. This role provides critical support to the Facility Manager/Director by maintaining seamless facility and infrastructure operations while coordinating infrastructure projects, including building and construction initiatives.

Conducts essential duties including managing daily operations to ensure efficiency, coordinating with cross-functional teams to align on strategic goals, and overseeing project timelines to meet deliverables. Analyzes performance metrics to identify trends, implement corrective actions when necessary, and report progress to senior leadership. Maintains compliance with organizational policies and industry regulations while fostering a collaborative work environment. Develops and executes training programs to enhance team capabilities and ensures seamless communication across all levels of the organization.

Responsible for the systematic upkeep and management of maintenance assets overseen by the Facility Manager or Director.

Provide support in the strategic planning, development, and implementation of authorized construction and renovation initiatives.

The incumbent will establish and enforce a structured maintenance strategy via the CMS (computerized asset management system), ensuring strict adherence to documented protocols while collaborating closely with the maintenance team to meet the facility’s operational objectives.

Serves as the internal auditor responsible for reviewing and evaluating all tasks, assignments, and operations performed by external contractors.

Prepares comprehensive documentation for internal construction initiatives, including bill of quantities (BOQ’s), project plans, inspection reports, and handover documentation.

The incumbent oversees and sustains the Computerized Maintenance Management System (CMMS), offering instruction to system users. Each year, they conduct a comprehensive audit of the system’s data and collaborate with the Facility Manager/Director to address discrepancies and refresh system records.

Provide leadership and training to the maintenance team, ensuring adherence to approved practices and procedures for the proper upkeep of facilities and equipment.

Collaborates with various departments to synchronize maintenance initiatives, ensuring seamless operational continuity and the effective execution of maintenance tasks.

Supports the Facility Manager/Director by creating and executing maintenance plans for facility systems and associated nonmedical equipment lacking service agreements.

Monitor the inventory of all supplies, tools, and equipment allocated to the maintenance department, verifying availability and condition. Ensure maintenance personnel are equipped with and properly utilize the required personal protective equipment (PPE), tools, and supplies to complete their assigned responsibilities efficiently.

Overseeing all casual staff engaged in internal construction initiatives, the position ensures adherence to the hospital’s employment standards and minimum benchmarks.

Documents maintenance-related activities, achievements, and any unforeseen events for review by the Facility Manager or Director.

Collaborates closely with the maintenance team to perform various maintenance tasks, executing hands-on maintenance and construction duties such as the upkeep of buildings, water and wastewater systems, electrical systems, as well as furniture, fixtures, and equipment (FFE).

The incumbent is responsible for managing the restoration and upkeep of pertinent tools and machinery, enlisting the support of certified staff or external vendors as necessary.

Maintains current files containing both electronic and physical copies of equipment manuals and manufacturers’ schematic diagrams.

Uses proper safety equipment at all times when executing tasks.

Effectively communicates with co-workers regarding equipment, facilities and their proper use.

Reports performance of the maintenance team to the Facility Manager/Director

Prepare work schedules for the teams under supervision and direction of the Facility Manager/Director.

Ensures proper storage, issuance, use/upkeep and management of all maintenance-related tools and assets attached to the hospital

Must maintain availability for on-call assignments, including weekends, evenings, and holidays, as required by operational needs.

Ensure strict adherence to all Health & Safety policies and protocols throughout all operational activities, including the proper use and wearing of required Personal Protective Equipment.
