JOB SUMMARY

The Administrative Manager ensures that administrative and operational processes are both efficient and cost-effective while aligning with the organization’s strategic objectives. This professional will oversee and refine the company’s operational workflows to maximize productivity and meet established business goals.

Oversee and execute critical operational duties to ensure seamless business continuity, including managing daily workflows, coordinating cross-functional teams, and maintaining high standards of efficiency and productivity. Lead strategic initiatives aimed at process optimization, cost reduction, and performance enhancement while fostering a collaborative work environment. Monitor team performance, provide constructive feedback, and mentor employees to enhance career growth and development. Ensure compliance with organizational policies, industry regulations, and safety protocols to mitigate risks and uphold accountability. Serve as a key liaison between senior leadership and operational teams to align objectives with company goals.

You will manage and align daily administrative activities, such as overseeing office facilities, optimizing space utilization, maintaining utilities, and ensuring general maintenance to sustain seamless operations.

Design, introduce, and assess administrative policies, procedures, and systems with the goal of optimizing operational efficiency.

Oversee the acquisition, tracking, and upkeep of office supplies, assets, and equipment to ensure operational efficiency and resource availability.

Oversee and assist sales, marketing, biomedical, and administrative personnel—including receptionists, clerks, and office assistants—to ensure seamless operations and alignment with organizational objectives.

Deliver services efficiently and reliably to meet organizational standards and customer expectations.

Maintain precise and confidential filing systems, databases, and documentation, with strict adherence to security protocols to safeguard sensitive information.

Maintains and manages accurate documentation, ensuring all files are properly organized, updated, and accessible. Implements standardized procedures for document creation, revision, and distribution. Collaborates with departments to verify the integrity and compliance of records. Tracks document versions and revisions to prevent errors or discrepancies. Ensures adherence to regulatory requirements and internal policies regarding document control.

Compile weekly sales reports, handle official correspondence, and manage administrative documentation as needed.

Oversee vendor partnerships, administer service agreements, and maintain cost-efficient service provision.

Oversee the planning and execution of audits, inspections, and compliance initiatives while administering company licenses, permits, and renewal processes.

Serve as the primary liaison for all administrative inquiries, coordinating communications between internal teams and external service providers.

We collaborate closely with internal teams and stakeholders to ensure alignment and drive project success.

Facilitate the success of management meetings by meticulously drafting agendas, documenting detailed minutes, and ensuring rigorous follow-up on assigned actions.

Bachelor’s degree in computer science, information systems, or a related field is required. Three or more years of relevant experience in software development or a comparable technical role is essential. Proficiency in multiple programming languages, including but not limited to Java, Python, or C++, is necessary. Strong problem-solving abilities and analytical skills are critical. Excellent communication and teamwork capabilities to collaborate effectively with cross-functional teams are also required. Comfort with agile methodologies and project management tools is a must.

A Bachelor’s degree in Business Administration is required.

Candidate must possess prior experience in a medical or healthcare-related field.

Seeking candidates with a minimum of three to five years of relevant experience in an administrative management capacity.
