Mission Description

Oversee the teams responsible for Sea Export operations departing from Kenya.

Maintain transparent communication with the team regarding any changes or developments, ensuring alignment with internal objectives and goals.

Assess the performance of subordinates to ensure alignment with organizational goals and standards.

Enhance the professional capabilities and expertise of the workforce through targeted training and development initiatives.

Establish robust procedures to ensure seamless case transfers during organizational restructuring within the team.

Construct the Middle Office organization, cultivate its expertise, and establish the necessary tools and standardized processes to ensure operational excellence.

Ensure the organization’s structure, specialized knowledge, and available resources align with the objectives established by the Manager.

Regularly evaluate the Standard Operating Procedure (SOP) to confirm its alignment with customer service objectives.

Oversee the SOP implementation by the MO team, conduct both internal and external quality audits, and ensure adherence to the approved action plan through continuous monitoring.

Coordinate and monitor operations.

Ensure the consistent delivery of high-quality service to all clients, maintaining service standards and addressing any issues promptly to uphold client satisfaction.

Mitigate and oversee potential risks to ensure organizational safety and compliance.

Establish and maintain a robust risk control framework to ensure comprehensive oversight and mitigation of potential risks across all operations.

Ensure all measures are taken to minimize any potential for additional or excess charges, maintaining strict cost control throughout the process.

Ensure adherence to all mutually agreed-upon contractual KPIs with clients as well as internal performance metrics.

To ensure minimal disbursement exposure, execute all necessary actions, including adherence to compliance classification procedures, accurate billing, and precise posting of expenses to the respective files. Additionally, manage risks with a focus on debit-related exposures.

Collaborate with both the Front Office and Back Office (including Legal and Insurance departments) to facilitate the customer disputes resolution process, while executing measures designed to prevent the recurrence of underlying issues.

Verify that all necessary insurance coverage is secured for our services, whether through our internal resources or external partners, with support from the Back-Office (Insurance) team.

Manage oversight and reporting to senior leadership, ensuring comprehensive communication of operational performance, strategic alignment, and key business developments to inform executive decision-making processes.

Identify key customers based on factors such as cargo type, shipment volumes, financial stability, and account significance, and establish tailored operational monitoring measures as necessary.

Gather relevant data on operational risks—including customs-related challenges—and compile a monthly report for the Manager.

Each month, compile and present a comprehensive report to the Manager, detailing the department’s performance metrics and projecting future trends. Ensure the analysis accounts for key market dynamics, including customer behavior and competitive positioning, to provide actionable insights for strategic decision-making.

Profile

Seeking a candidate with a Bachelor’s Degree in Business Administration, Finance, or a related field to drive strategic initiatives and operational excellence. This role demands a strong foundation in business principles, financial acumen, and analytical rigor to support data-driven decision-making. The ideal professional will possess excellent communication skills, proficiency in Microsoft Office Suite, and the ability to collaborate effectively across departments. Responsibilities include analyzing market trends, developing business strategies, and ensuring alignment with organizational goals. Experience in project management or relevant internships is preferred.

Holders of a Diploma in Clearing & Freight Forwarding or an equivalent qualification in a related discipline are encouraged to apply.

With a minimum of five years of hands-on experience in a fast-paced C & F (Clearing and Forwarding) company, specifically in sea exports, and having held a managerial position, you will bring a wealth of expertise to this role.
