We will collaborate with Czarnikow to coordinate the scheduling of anticipated shipments originating from multiple locations and destined for Mombasa Port.

The role involves verifying receipt of all necessary clearance documents and facilitating the seamless clearance and delivery of shipments for Czarnikow clients across Kenya and Uganda, where AGL manages the clearance process.

Responsibilities include overseeing the transportation of containers from port facilities to designated warehouses in Mombasa, Nairobi, and Kampala, ensuring seamless tracking and delivery throughout the process.

Maintaining sugar stocks records

Compiling weekly inventory reports forms a critical aspect of this role, requiring meticulous attention to detail and timely execution. Proficiency in data management tools and analytical skills ensures accurate tracking of stock levels, identification of discrepancies, and generation of comprehensive reports. Candidates must demonstrate strong organizational abilities and the capacity to present findings clearly to stakeholders, facilitating informed decision-making and inventory optimization.

Providing timely updates to Czarnikow regarding any modifications to government policies or regulations pertinent to sugar importation is essential to ensure compliance and operational alignment.

Following the receipt of sugar consignments by clients, the designated individual is tasked with overseeing the accurate documentation and verification of delivery details, ensuring alignment with contractual agreements and quality specifications. This role involves confirming shipment completeness, addressing any discrepancies or issues promptly, and maintaining thorough records of all transactions for audit and compliance purposes. Additionally, the position requires collaboration with logistics teams to resolve delivery-related challenges and uphold client satisfaction through timely and transparent communication.

Maintaining a comprehensive log of all mutually agreed-upon rates is essential, ensuring accuracy and accountability in financial documentation.

Responsibilities include tracking and maintaining accurate records of sugar inventory levels, ensuring adequate supply to meet operational demands while preventing shortages or excesses. This role requires vigilant oversight of stock levels, prompt identification of discrepancies, and timely communication with procurement teams to adjust orders as necessary. A strong attention to detail is essential to accurately document usage, forecast future needs, and support efficient inventory management.

We process and manage the dispatch, tracking, and delivery of products to customers or designated locations, ensuring timely and accurate fulfillment of orders. This includes coordinating with carriers, managing inventory at various stages, and maintaining clear communication throughout the shipping process to uphold exceptional service standards and customer satisfaction.

After reviewing all Pro forma Invoices received, the Czarnikow shipping desk is tasked with preparing and submitting IDF applications as required.

To guarantee that applications for C60 (EG PSP) are prepared and forwarded to the Treasury in accordance with established protocols and timelines.

Upon confirming shipping schedules, I will liaise with Czarnikow to obtain updates regarding the progress of shipments associated with the various IDF.

We will coordinate with inspection bodies to secure the issuance of Conformity Certification.

The sugar permits, applications, and approvals are closely monitored by the Czarnikow shipping desk, with follow-up actions taken as necessary.

The team is responsible for verifying receipt of all essential shipping documentation and confirming that each document meets the required standards and formats.

Must possess or be eligible to obtain a security clearance, with the ability to maintain it throughout employment.

All required clearance documentation must be obtained and submitted to AGL without exception.

Upon receipt of all necessary documentation, the clearance process must be initiated without delay to ensure timely completion.

Calculating duty estimates and promptly securing required funds by submitting requests to Czarnikow London and ensuring immediate transfers.

Diligently managing the timely payment of duties and taxes is essential. Providing clients and Czarnikow with daily updates on clearance progress ensures transparency and accountability throughout the process.

Responsible for monitoring daily clearance activities to prevent any potential penalties from being imposed.

Warehousing and Distribution involves overseeing the efficient receipt, storage, and dispatch of goods while ensuring optimal inventory control and order fulfillment. This role requires meticulous attention to detail to maintain accurate records, manage stock levels, and coordinate logistics operations. Additionally, the position demands proficiency in inventory management systems, adherence to safety protocols, and collaboration with cross-functional teams to streamline supply chain processes. Strong organizational skills and the ability to work in a fast-paced environment are essential for success in this field.

Upon receipt from the Port, containers must be promptly stripped, and the empties must be promptly returned to the designated stack.

Maintaining accurate stock records to facilitate effective inventory management across all warehouses in Kenya and Uganda.

Alerting Czarnikow to low inventory levels and verifying that sugar dispatched from the warehouses is received promptly and efficiently.

Maintaining clients’ awareness regarding fluctuations in sugar prices and ensuring inventory records are accurately aligned with Czamikow’s records.

Invoicing and Payments: Responsible for generating, issuing, and managing invoices to ensure timely billing of clients while maintaining accurate records. This role oversees payment processing, tracks outstanding balances, and follows up on overdue accounts to optimize cash flow. Strong attention to detail and proficiency in accounting software are essential to reconcile transactions, resolve discrepancies, and adhere to financial policies. Collaborates with cross-functional teams to verify billing accuracy, address client inquiries, and support audit compliance.

Ensuring all invoices are accurately generated in accordance with the established rates is essential to maintain financial integrity and compliance with contractual agreements.

The Finance team must forward all invoices to Czarnikow’s Finance department to facilitate timely payment. This includes actively monitoring the approval process for every invoice issued, as well as verifying that payments to AGL for local and transit invoices are processed in strict adherence to the agreed terms.

Matches payments received against corresponding accounts to verify accurate allocation of funds.
