Reporting to the HR/Admin Manager and receiving daily direction from the HR/Admin Assistant, the HR/Admin Intern assists with essential HR and administrative duties while developing hands-on expertise in human resources and office operations.

The internship entails providing assistance with recruitment initiatives, maintaining organized filing systems, managing documentation processes, and coordinating various general office operations.

Oversee a diverse range of critical tasks to ensure organizational efficiency and productivity, including managing project timelines, coordinating team efforts, and maintaining clear communication across departments. Conduct regular performance evaluations to assess team progress and identify areas for improvement, fostering a culture of accountability and continuous development. Develop and implement strategic initiatives aligned with company goals, optimizing resource allocation and driving measurable outcomes. Collaborate with senior leadership to define objectives, allocate budgets, and monitor financial performance, ensuring alignment with long-term business strategies. Serve as a key liaison between departments, facilitating seamless workflows and resolving interdepartmental challenges to enhance operational effectiveness.

We seek an HR Support professional to provide comprehensive assistance to our human resources department, ensuring smooth operations and adherence to company policies. In this role, you will handle recruitment processes, including posting job openings, screening resumes, and coordinating interviews, while maintaining accurate candidate records. Additionally, you will assist with employee onboarding, benefits administration, and performance management documentation, ensuring compliance with labor laws and internal guidelines. Strong organizational skills and proficiency in HR software are essential, along with excellent communication abilities to liaise between employees and management. Prior experience in a similar role is preferred, and familiarity with payroll systems and data entry will be advantageous.

Provide support in recruitment initiatives, facilitate interview scheduling, and coordinate staff onboarding procedures.

Ensure all employee personnel files are maintained in full compliance with ACTED’s established policies, keeping them current and complete at all times.

Provide support in the organization, storage, and retrieval of HR documentation in both physical and digital formats.

Maintain up-to-date leave trackers and staff databases on a consistent basis.

Assist in compiling OUT correspondences for line manager review prior to their distribution to the appropriate offices and staff.

Facilitate the dissemination of HR information to field teams as needed to ensure clear and timely communication.

Manage travel logistics by arranging flights, coordinating airport pick-ups, processing visa applications, and securing accommodations.

Support the organization and maintenance of HR and administrative records and documentation.

Perform any additional duties as assigned by management.
