The incumbent will collaborate closely with the finance and program teams to deliver streamlined support to external audit teams, aiming to mitigate potential issues during external audits. Additionally, they will champion and embed a culture of compliance across SC Kenya’s program and its partners. Reporting to the Internal Controls and Compliance Coordinator, the role involves assisting in monitoring adherence to internal policies, procedures, and donor compliance regulations, while ensuring that any non-conformities are systematically documented, investigated, and addressed.

Responsibilities include overseeing critical functional areas to ensure operational excellence and alignment with organizational goals. The role requires diligent management of key performance indicators, strategic planning, and cross-functional collaboration to drive results. Additionally, the position demands adherence to established policies and procedures while fostering an environment of accountability and continuous improvement. Provide assistance with external audit procedures, ensuring adherence to regulatory standards and organizational policies. Collaborate with audit teams to gather and verify financial documentation, assess internal controls, and identify potential risks. Prepare detailed reports summarizing findings, discrepancies, and recommendations for management review. Maintain accurate records of audit activities and ensure timely completion of assigned tasks.

Under the direction of the Line Manager, collaborate on project audits in coordination with awards, Finance personnel, and the pertinent project managers to uphold donor compliance, fulfilling the following responsibilities:

Assist in managing the full scope of external audit procedures and, when necessary, provide on-site support to auditors at branch offices.

The auditor’s necessary documentation must be identified and compiled to ensure compliance and accuracy during the review process.

The area offices are provided with audit timelines and requirements for their awareness and compliance.

Collaborate with programs and departments to furnish management responses regarding auditor-identified issues.

Clarify and communicate any disputed transactions to relevant departments to ensure accurate cross-functional responses to auditor inquiries.

Collaborate effectively to arrange and facilitate both initial and concluding meetings with the auditors.

Efficient management of document storage and retrieval processes is required, ensuring accurate maintenance and quick access to archival materials as needed.

Track and deliver audit findings and recommendations to the Line Manager for quarterly presentation to the Senior Management Team (SMT), subsequently liaising with the relevant department to verify the implementation of corrective actions.

Conduct on-site evaluations at field offices to assess both financial and non-financial internal processes, ensuring adherence to Save the Children’s established regulations.

Audit results should be compiled and documented before being formally presented to the line manager for review.

Before conducting in-country donor audits, thoroughly examine award files, reports, and supporting documents to verify completeness and ensure all critical compliance requirements have been assessed.

The position involves ensuring adherence to regulatory standards and organizational policies pertaining to donor contributions and compliance requirements. Responsibilities include verifying the legitimacy of donations, maintaining accurate records, and ensuring all transactions comply with legal and ethical guidelines. The role requires meticulous attention to detail, proficiency in compliance protocols, and the ability to collaborate with cross-functional teams to address any discrepancies or audits. Participate in initial award start-up meetings to ensure budget holders are fully informed of donor compliance regulations.

Ensure that the Save the Children Kenya program adheres strictly to all relevant reporting requirements and regulatory obligations.

Ensures adherence to all partnership agreements and regulatory requirements, monitoring compliance with terms, conditions, and legal obligations to mitigate risks and maintain organizational integrity. Conducts regular audits and reviews of partnership activities, identifying discrepancies, and implementing corrective measures as necessary. Collaborates with legal and operational teams to interpret compliance standards and align business practices accordingly. Develops and maintains comprehensive documentation of compliance efforts, ensuring transparency and accountability in all partnership engagements.

Conduct on-site assessments at field offices and partner locations to verify compliance with donor-mandated documentation and operational procedures.

Compile and present findings to budget holders and the Line Manager for review.

Ensure adherence to internal systems and compliance protocols by systematically monitoring, evaluating, and documenting adherence to established policies, procedures, and regulatory requirements. Develop and implement robust compliance frameworks to mitigate risks, enhance operational integrity, and align with organizational objectives. Assist operations teams, finance, and partners in implementing updates to donor regulations.
