Oversee and execute a range of core duties and obligations, including but not limited to managing daily operations, coordinating team efforts, and ensuring adherence to organizational policies and procedures. Additionally, the role involves maintaining accurate records, facilitating communication between departments, and supporting strategic initiatives to enhance productivity and efficiency. The position requires a proactive approach to problem-solving, strong organizational skills, and the ability to meet deadlines in a fast-paced environment. Collaboration with cross-functional teams and stakeholders is essential to achieve departmental and company-wide objectives.

You will deliver administrative and operational support by advising security and conservation personnel, maintaining accurate records, safeguarding confidential information, and facilitating communication with the JOCK, KWS, and NRT. Additionally, you will oversee departmental meetings and training sessions, as well as track staff leave and off-day schedules to ensure full adherence to organizational policies.

Oversee procurement and logistics operations by managing requisitions and purchases, coordinating supply deliveries, maintaining vehicles, and ensuring adherence to licensing requirements.

Develop and oversee financial plans and budgets for General Security and Armed Security operations, meticulously tracking expenditures and ensuring strict adherence to contractual obligations. Additionally, collaborate closely with the Finance, Monitoring & Evaluation (M&E), and Grants teams to maintain financial integrity and alignment with organizational goals.

Grants and Fundraising: Develop and prepare grant proposals, engage in fundraising activities, and ensure adherence to donor compliance requirements.

Compile, standardize, and oversee M&E data to ensure accuracy and consistency, while meticulously reviewing submissions from various departments. Generate comprehensive incident and operational reports to provide clear insights and support informed decision-making across the organization.

Coordinate with governmental bodies, non-governmental organizations, and key stakeholders to foster robust external relationships. Maintain adherence to Kenyan legal frameworks and donor-specific policies, ensuring LEA meets all regulatory and contractual obligations. Serve as the primary representative for LEA in JOCK meetings, actively participating in discussions and decision-making processes.

Performs additional duties as may be assigned periodically.

Job Specifications

The ideal candidate must have the following qualifications:

A bachelor’s degree or diploma in Business Administration, Public Administration, Project Management, Finance, Procurement, Supply Chain Management, or an equivalent field is required.

A bachelor’s degree is preferred.

With a minimum of three to five years of experience in administrative and financial coordination, preferably within the realms of conservation or security, the ideal candidate will possess a strong foundation in managing operational and financial processes. This role demands expertise in coordinating schedules, handling budgets, and ensuring compliance with organizational policies, all while supporting mission-critical initiatives.

In organizations funded by NGOs or external donors,

Skilled in Information Technology, encompassing data management, reporting systems, MS Office applications, and security software.

Demonstrates a solid understanding of the legal frameworks governing wildlife conservation in Kenya.

Maintains high ethical standards and exercises sound judgment with absolute integrity.

Demonstrates superior organizational prowess and exceptional decision-making capabilities.

Demonstrates self-sufficiency and the capacity to operate effectively without constant supervision.
