As part of the role, you will coordinate with Czarnikow to facilitate the scheduling of anticipated shipments arriving from multiple origins at Mombasa Port.

Ensuring all relevant clearance documents are received and smooth clearance & delivery of shipments for all Czarnikow Clients in Kenya, Uganda for which AGL is handling clearance.

Oversee the transportation of containers from the port to designated warehouses in Mombasa, Nairobi, and Kampala.

Maintains accurate documentation of sugar inventory levels to ensure optimal supply management and operational efficiency.

Preparing weekly stock reports

We ensure prompt notification to Czarnikow regarding any updates or modifications to government policies and regulations pertaining to sugar importation.

Following each sugar delivery dispatched to clients, the role entails verifying the quantity and quality of the shipped items to ensure they align with the specified order details. This involves cross-checking shipment records against invoices, inspecting packaging for any damage or contamination, and promptly reporting any discrepancies or issues to the appropriate department. Additionally, the position requires maintaining accurate documentation of all delivery inspections and coordinating with logistics teams to resolve any logistical challenges that may arise.

Maintaining a comprehensive log of all finalized pricing agreements is essential to ensure accuracy and transparency in our financial documentation.

Overseeing sugar inventory levels to ensure adequate supply and prevent shortages is essential. This role involves tracking stock levels, forecasting demand, and coordinating with procurement teams to maintain optimal inventory. Responsibilities include conducting regular audits, analyzing usage trends, and reporting discrepancies to management. Proficiency in inventory management systems and strong analytical skills are required to effectively execute these duties.

Handle end-to-end logistics for product distribution, including packaging, scheduling pick-ups, and coordinating with carriers to ensure on-time delivery. Review shipping documentation for accuracy, track shipments, and resolve any delays or discrepancies promptly. Maintain strong relationships with shipping partners to secure cost-effective rates and reliable service. Ensure compliance with all shipping regulations, carrier requirements, and internal policies throughout the process.

Czarnikow’s shipping desk is tasked with processing IDF applications for every Pro forma Invoice received, ensuring timely and accurate documentation for each shipment.

Ensure all C60 (EG PSP) applications are prepared and submitted accurately to the Treasury in a timely manner.

To ensure timely updates regarding shipment schedules for orders associated with IDF, the role involves maintaining regular communication with Czarnikow to obtain and relay the latest delivery timelines.

To secure Conformity Certification, the role involves liaising with inspection bodies to ensure timely issuance of required documentation. This entails tracking progress, addressing any discrepancies, and facilitating smooth communication between all parties involved to maintain compliance with certification standards.

The candidate will monitor the Czarnikow trading desk to ensure timely processing and approval of sugar permits, applications, and related documentation.

The team member is responsible for verifying that all mandated shipping documents have been obtained and are accurate.

Clearance:

Ensure that all necessary clearance documentation is obtained and submitted to AGL on time.

Upon receipt of the necessary documentation, initiate the validation process to ensure clearance.

Accurately computing duty estimates, submitting timely requests for funds to Czarnikow London, and promptly executing all transfers.

To guarantee timely settlement of duties and taxes, along with providing daily updates to clients and cc’ing Czarnikow on clearance progress.

Daily monitoring of clearance activities is conducted to verify compliance and prevent any potential penalties.

Warehousing and Distribution roles encompass the efficient management and movement of goods within a supply chain framework. Responsibilities include overseeing inventory control, coordinating shipments, and ensuring timely delivery to designated destinations. Candidates must demonstrate proficiency in warehouse management systems, adherence to safety protocols, and the ability to maintain accurate records of stock levels and transactions. Strong organizational skills, attention to detail, and the capacity to work in fast-paced environments are essential. Familiarity with logistics software, equipment operation, and compliance with regulatory standards may also be required.

Ensuring that containers are promptly unloaded upon delivery from the Port and that empties are promptly returned to the designated stack.

Responsible for accurately documenting and updating stock records to ensure effective inventory control across all warehouse facilities in Kenya and Uganda.

Our responsibility includes promptly notifying Czarnikow when stock levels are low, as well as ensuring that sugar dispatched from the warehouses is received efficiently.

Responsibilities include providing clients with updates on market fluctuations in sugar prices, and verifying that inventory records align with Czamikow’s data to maintain accurate stock balances.

Invoicing and Payments: Responsible for generating accurate invoices, processing payments, and ensuring timely financial transactions. Manages vendor and customer accounts, reconciles discrepancies, and maintains detailed financial records. Requires proficiency in accounting software, strong attention to detail, and adherence to compliance standards.

All invoices are accurately generated in accordance with the established rates to ensure proper billing.

Czarnikow’s Finance department must receive and process all invoices promptly to facilitate timely payments. Additionally, the role involves tracking the approval status of every issued invoice to ensure compliance with established procedures. Another key responsibility is managing payments to AGL in accordance with the agreed terms, specifically for local and transit invoices.

Verifying that incoming payments are accurately reconciled with outstanding accounts.
