About the Role
The Director of Human Resources and Business Administration will oversee a comprehensive range of HR functions, such as talent acquisition and onboarding, benefits management, payroll processing, professional development initiatives, and ensuring adherence to HR policies and regulations. Additionally, the role encompasses key responsibilities in business administration, including financial oversight, budget preparation, and procurement management. Beyond operational duties, the Director will foster a supportive work environment, prioritize employee well-being, and cultivate a collaborative and dynamic team culture to advance Kenya Connect’s mission.
Overseeing and executing a comprehensive range of duties and responsibilities, the incumbent will be tasked with managing daily operations, ensuring adherence to established protocols, and driving efficiency across assigned projects. Responsible for overseeing all aspects of human resources operations, including recruitment, onboarding, employee relations, performance management, compensation, and benefits administration. Develops and implements HR policies, procedures, and programs to ensure compliance with labor laws and regulations while fostering a positive work environment. Manages employee records, maintains confidentiality, and handles sensitive information with discretion. Collaborates with department leaders to align HR strategies with organizational goals, promotes diversity and inclusion initiatives, and supports talent development and retention efforts. Acts as a key liaison between employees and management to address concerns, mediate conflicts, and facilitate open communication. Ensures adherence to company policies and legal requirements while enhancing employee satisfaction and engagement.
Oversee the recording and documentation of employee work schedules, encompassing arrival and departure times, as well as vacation and sick leave requests.
Oversee the recruitment process for job openings and internship opportunities in collaboration with the Senior Leadership team.
Responsible for managing the entire recruitment process, from job postings to selecting and onboarding new employees and interns.
Working jointly with the senior programs director and coordinators, you will establish critical performance goals and operational strategies to guide program execution.
Conduct semi-annual and annual staff appraisals in collaboration with supervisors to ensure comprehensive and consistent performance evaluations.
Maintain up-to-date, accurate job descriptions for all employees, ensuring they reflect current roles and responsibilities.
Oversee the administration and evaluation of staff health care plans and insurance benefits.
Collaborate with colleagues to develop and implement staff enrichment initiatives, team-building exercises, and engaging recreational programs.
Under the guidance of the Executive Director, assist with salary administration tasks such as formulating salary proposals, conducting salary reviews, and ensuring compensation aligns with established guidelines and salary structures.
Oversee the secure handling and safeguarding of employee records to ensure compliance with the Data Protection of Personal Information Act (No. 24 of 2019).
Provide administrative support to the Executive Director to guarantee adherence to all human resources statutory reporting mandates and labor regulations.
Provide strategic guidance to leadership regarding the legal and other pertinent implications arising from HR-related decisions.
Support supervisors in assessing staff training requirements and selecting appropriate trainers or training institutions.
All staff members must comply with established health and safety standards to maintain a secure and compliant work environment.
Monitor vehicle schedules to ensure seamless coordination in support of program operations.
Responsibilities include ensuring timely servicing of vehicles and other motorized equipment while maintaining the most cost-effective solutions.
Oversee the administration and upkeep of service agreements and contractual arrangements to ensure compliance and continuity of services.
Implementing and sustaining robust, current security protocols is essential to safeguarding the organization’s assets and personnel.
Oversee the organization and maintenance of both paper-based and electronic personnel files, ensuring accurate and secure record-keeping practices at all times.
Collaborate with the Leadership Team to address and resolve workplace conflicts effectively.
Assists in compiling and finalizing HR and finance reports, specifically tailored for submission to the Kenya NGO Board and the US Non-Profit regulatory authorities.
Maintain adherence to data protection regulations and uphold ethical standards in data collection practices.

Seeking a candidate with a Bachelor’s degree in a relevant field, complemented by a minimum of three years of pertinent professional experience. The ideal applicant will demonstrate proficiency in industry-standard software and tools, alongside strong analytical and problem-solving capabilities. Excellent communication skills, both written and verbal, are essential for effective collaboration and stakeholder engagement. A bachelor’s degree in Human Resource Management is required for this position.
With a minimum of five years of hands-on Human Resources experience—ideally within an international or local NGO setting—you possess a solid grasp of HR best practices, industry standards, staff medical insurance protocols, and Kenyan employment legislation.
A fully accredited member of the Institute of Human Resource Management (HRM), holding a current and valid professional practicing license.
A Chartered Professional Accountant (CPA) designation at Level III or higher will be considered an asset.
Proficient in computer operations and possesses advanced skills in utilizing MS Word, Excel, QuickBooks, and Google Docs to perform tasks efficiently and accurately.
Proficient in understanding and applying workplace safety legislation as well as employee benefits compliance standards.
Proficient in understanding and applying taxation laws to ensure compliance and optimize financial outcomes.
Must possess exceptional proficiency in English coupled with outstanding report-writing capabilities.
Detail-oriented professional possessing robust interpersonal acumen and exceptional coaching capabilities.
Seasoned in examining program budgets and performing value-for-money or cost-effectiveness evaluations.
