Job Purpose

The incumbent will oversee the preparation, submission, and timely processing of all required documentation, customs entry permits, and customs entries, ensuring accuracy and adherence to regulatory requirements. Additionally, the role involves collaborating with diverse stakeholders—such as customers, sales managers, and governmental bodies—to streamline customs clearance procedures in full compliance with applicable regulations.

Responsibilities encompass a diverse range of duties, including strategic planning, project management oversight, and cross-functional team coordination. Key tasks involve monitoring performance metrics, ensuring compliance with organizational policies, and fostering stakeholder relationships to drive operational excellence. Additionally, the role requires analyzing data trends, identifying process improvements, and implementing solutions to enhance efficiency. Strong leadership and communication skills are essential to guide teams, delegate responsibilities, and maintain alignment with company objectives. Proficiency in industry-specific tools and methodologies is also critical to execute tasks effectively and achieve measurable outcomes.

Ensure thorough receipt and validation of all submitted documents and permits for customers and IDF applications.

Conduct thorough reviews of air and sea manifests to verify their accuracy and completeness.

Container nomination and communication entails the proactive identification and designation of containers prior to their arrival at the Mombasa port.

Government permit applications encompass the registration of customs entries for all applicable regimes.

Tabulate customs charges and distribute estimates to both internal and external stakeholders to ensure accurate financial planning and compliance.

Liaise with shipping lines to manage and verify all associated charges and coordinate the issuance of delivery orders.

Ensuring adherence to ISO standards and industry-specific regulations constitutes a critical aspect of this role, encompassing comprehensive compliance oversight to mitigate operational risks and uphold organizational integrity.

Ensure adherence to established data protection policies and procedures to safeguard sensitive information and maintain regulatory compliance.

Holds a bachelor’s degree in a relevant discipline or possesses an equivalent combination of education and experience. Demonstrates proficiency in key technical areas pertinent to the role. Maintains ongoing learning to stay current with industry advancements and best practices. Exhibits strong analytical and problem-solving skills honed through academic or professional training.

Diploma in Clearing & Forwarding, complemented by ICS-accredited KERA Training credentials.

With a minimum of five years of demonstrated experience in the role of a declarant, you will bring a strong background in customs compliance and documentation processes.

Certified by the Kenya Revenue Authority (KRA) with ICM credentials, Ken Trade Training ensures compliance with industry standards and regulatory requirements.

The ideal candidate should possess a strong foundation in pertinent professional skills, relevant industry knowledge, and practical experience in the field. Proficiency in key competencies and the ability to apply this expertise effectively in a work environment are essential requirements. Additionally, candidates must demonstrate a track record of successful engagement in similar roles or projects, ensuring they can contribute meaningfully to organizational objectives from the outset.

Accomplished expertise in the preparation and submission of customs declarations is required.

Individuals should possess a solid understanding of Import Control Measures (ICS), customs regulations, and the procedures involved in applying for government permits.

Ability to operate effectively with minimal oversight, demonstrating a high degree of self-direction and accountability in task execution.

Effective collaboration and analytical thinking are essential for this role.

Possesses strong foundational abilities in computing, including familiarity with standard software applications, file management, and basic troubleshooting techniques. Demonstrates competence in using common operating systems, email systems, and productivity tools. Exhibits a keen aptitude for learning new digital platforms and adapting to evolving technology trends with minimal guidance.

Ensures meticulous precision in all tasks by carefully reviewing details to identify inaccuracies, discrepancies, or potential errors, thereby maintaining high standards of accuracy and quality in work output.
