The Role

The Labour Market Integration & Human Resource Administrator (LMI & HR) is a combined entry-level role that sits at the heart of NairoBits’ Programs and Partnerships Department. The officer will serve as the critical bridge between NairoBits graduates and employment opportunities, building employer partnerships, coaching graduates on career readiness, and tracking post-training outcomes, while also providing effective human resource and office administration support across the organisation.

This is an ideal role for a motivated, people-oriented professional who is passionate about youth economic empowerment and eager to grow their career across both HR and programme delivery.

Oversee core duties associated with the position, including managing daily operations to ensure efficiency and effectiveness. Develop and implement strategies to optimize workflows, enhance productivity, and achieve organizational goals. Lead cross-functional teams to execute projects, fostering collaboration and accountability among team members. Monitor performance metrics to identify areas for improvement and implement corrective actions as needed. Serve as a liaison between departments, facilitating clear communication and alignment of objectives. Ensure adherence to company policies, industry regulations, and quality standards throughout all processes.

Experienced in cultivating strong partnerships with employers, SMEs, tech companies, and industry leaders, you will be responsible for identifying prospective collaborators, initiating contact, and fostering long-term relationships to enhance job placement opportunities.

Networking professionals and organizations based in Nairobi and other regions capable of providing job placements, internships, or freelance assignments to Nairobi Bits graduates are sought after.

Construct and oversee a dynamic employer database, systematically monitoring engagement status, available placement opportunities, and established partnership agreements.

Coordinate job fairs, employer engagement events, and on-campus recruitment activities in collaboration with the communications team.

Craft and finalize placement agreements, memoranda of understanding (Mouse), and internship frameworks in collaboration with partner organizations.

Act as the main liaison for employers during all stages of recruitment and placement activities.

You will be responsible for monitoring and documenting placement results, such as the total number of graduates who secure positions, the industries they join, the specific roles they assume, and the corresponding salary ranges.

We are seeking a skilled professional to provide career readiness guidance and coaching to graduate students, equipping them with the tools and strategies necessary to navigate the job market successfully. The ideal candidate will possess a deep understanding of career development principles, strong interpersonal skills, and the ability to tailor coaching sessions to individual student needs. Responsibilities include conducting one-on-one coaching sessions, facilitating workshops on resume writing, interview techniques, and professional networking, as well as collaborating with academic departments to integrate career readiness initiatives into curricula. Additionally, the role requires staying current with labor market trends and employment opportunities to provide up-to-date advice and resources to students.

Facilitate the recruitment of skilled Coaches and Mentors to deliver tailored career readiness workshops for Nairobi graduates, including sessions on CV writing, interview preparation, personal branding, and professional conduct.

Evaluate the competencies, professional aspirations, and job preparedness of graduates, then align them with appropriate career opportunities.

Deliver personalized coaching and ongoing follow-up assistance to graduates during their job search journey and initial employment phase.

Create and refine career readiness toolkits, along with customizable templates for CVs, cover letters, and LinkedIn profiles, as well as comprehensive resource guides.

Maintain a graduate tracking database designed to monitor employment status at three, six, and twelve months following training completion.

Create and oversee peer learning networks while fostering alumni mentorship relationships for graduates to enhance professional and academic growth.

Conducting thorough labor market research to identify current industry trends, skill demands, and employment opportunities, while ensuring that programs are strategically aligned with evolving workforce needs. This involves analyzing data from multiple sources, collaborating with employers and educational institutions, and assessing gaps between existing training offerings and labor market requirements. The role also entails developing recommendations to refine or expand programs, ensuring they effectively prepare individuals for in-demand careers and support economic growth.

Share labor market insights with the training team to ensure Nairobi’ curriculum remains responsive and aligned with current industry demands.

Prepare quarterly and annual reports detailing placement rates, employer feedback, and graduate outcomes to provide comprehensive insights and support data-driven decision-making.

Assist the Programs and Partnerships team by compiling data and developing case studies to enhance donor reporting and strengthen fundraising proposals.

Responsible for overseeing and managing all aspects of human resource functions, including recruitment, employee onboarding, performance management, compensation, benefits administration, training and development, and compliance with labor laws and regulations. Ensures the implementation of HR policies and procedures to maintain a productive and compliant workplace. Collaborates with department leaders to align HR strategies with organizational goals and fosters a positive employee experience. Maintains accurate HR records, handles employee relations issues, and provides guidance on workplace policies and best practices. Requires a bachelor’s degree in human resources, business administration, or a related field, along with professional HR certification (e.g., SHRIMP, PHR) preferred. Proven experience in HR management, strong interpersonal and communication skills, and proficiency in HR information systems are essential.

Support recruitment functions by drafting and publishing vacancy announcements, evaluating and narrowing applicant pools, conducting interviews, and performing comprehensive background and reference verifications.

Draft offer letters and employment agreements for incoming personnel, and monitor contract expiration dates to facilitate renewal; maintain thorough records of any modifications in employee status.

Monitor probationary periods meticulously and ensure confirmations, extensions, or terminations are executed in accordance with established timelines.

Facilitate the seamless integration of new employees by coordinating orientation and onboarding initiatives, which encompass assembling welcome packages, enrolling staff in benefits programs, and verifying the availability of necessary workspace and resources.

Provide assistance to the Finance Manager to guarantee the accurate calculation of employee compensation and benefits, as well as the timely update of payroll records in response to any modifications.

Administer HR policies that encompass terms of service, compensation packages, employment agreements, and leave documentation.

Administer the organization’s medical scheme and pension/provident fund, coordinating with insurance administrators to process reimbursements, manage new enrollments, and handle removals.

Responsibilities include administering employee leave management and ensuring the Human Resources Information Management System (RIMS) is updated for precise reporting, alongside the preparation of monthly organizational charts.

Ensure compliance with all critical dates and deadlines within the performance management system by actively monitoring its operations.

Oversee the administration and execution of contracts for volunteers, temporary staff, and interns.

Ensure adherence to all internal policies and procedures, as well as compliance with relevant Kenyan labor laws.

Bachelor’s degree in Computer Science, Information Technology, or a closely related field, along with demonstrated expertise in data engineering, software development, or a similar discipline. Minimum of three years of hands-on experience designing, building, and maintaining scalable data pipelines and ETL processes. Proficiency in programming languages such as Python or Java, and familiarity with big data frameworks like Apache Spark or Hadoop. Strong understanding of database systems, including SQL and NoSQL databases, and experience with cloud platforms such as AWS or Azure. Excellent analytical and problem-solving skills, with a keen attention to detail and a commitment to delivering high-quality solutions.

A Bachelor’s or Diploma qualification in Human Resource Management, Social Sciences, Development Studies, Business Administration, or a closely related discipline is required.

Professional candidates will possess 0 to 2 years of relevant experience in human resources, youth employment initiatives, career services, recruitment, or a comparable field, with internships considered applicable.

Delivers measurable outcomes for the LMA & HR function by establishing and monitoring key performance indicators that align with organizational objectives. Tracks data on workforce metrics, including turnover rates, recruitment efficiency, and training completion, while ensuring compliance with HR policies and labor regulations. Collaborates with department heads to identify trends, recommend process improvements, and support data-driven decision-making to enhance workforce productivity and retention. Requires proficiency in HR analytics tools, strong analytical skills, and the ability to translate complex data into actionable insights for senior leadership.

Nairobi boasts a graduate placement rate of 90%, with trainees securing employment, internships, or freelance opportunities within three, six, and twelve months following their training completion.

We aim to cultivate and expand our network of employer partnerships by onboarding a target of 10–15 new employers, SMEs, and technology firms each quarter. These collaborations will be formalized through signed Memorandums of Understanding (Mouse) or placement agreements to ensure mutual commitment and structured engagement.

Ensuring HR Compliance & Turnaround Efficiency, we aim for 95% or higher completion of HR processes—including contracts, confirmations, payroll updates, and leave records—with accuracy and adherence to agreed-upon deadlines. Our objective is to consistently achieve at least 95% on-time completion while maintaining zero breaches of statutory compliance.

Graduates who successfully complete career readiness sessions are tracked as part of the Career Readiness Engagement metric. This measure reflects the number of individuals who participate in and finalize professional development programs designed to enhance employability and readiness for the workforce.

Provided career coaching—including CV and interview preparation as well as LinkedIn optimization—resulted in a measurable increase in employment confidence. The program’s objective was to ensure that at least 90 percent of graduates within each cohort received coaching.

Ensuring Graduate Outcome Tracking Completeness, the tracking database reflects employment status updates for 85% of graduates at the three, six, and twelve-month marks. The objective is to maintain a data completeness rate of 85% or higher for each cohort cycle.
