The Accountant is tasked with maintaining precise, prompt, and dependable project accounting data, overseeing project budgets, and ensuring adherence to USG guidelines and financial mandates. The offer and contract are contingent upon the availability of USG donor funding.

Job Responsibilities

Process payments with precision and timeliness, ensuring each transaction adheres to financial standards. Review supporting documents thoroughly, prepare detailed payment vouchers, draft bank transfer instructions, and finalize checks for authorized signatures. Additionally, stamp all supporting documentation to uphold financial integrity and regulatory compliance.

Monitor staff travel advances by notifying the pertinent project personnel about upcoming payments and required advance liquidations, while ensuring consistent communication and follow-up to facilitate prompt financial resource management and adherence to deadlines.

Examine receipts and vouchers thoroughly to confirm that all supporting documentation is complete, thereby verifying accuracy and ensuring all expenses are adequately substantiated.

Evaluate expense and receipt validity by assessing their reasonableness, eligibility, and appropriateness to maintain precise financial reporting and ensure adherence to regulatory standards.

Prepare vendor reconciliations by obtaining statements of accounts from vendors, verifying discrepancies, and resolving any long-outstanding invoices to ensure the accuracy of vendor records.

Verify debtors’ and staff accounts through meticulous reconciliation to confirm that all advances have been appropriately expensed, and any refunds have been properly recorded, thereby maintaining precise financial documentation.

Act as a liaison between internal and external auditors, supplying all necessary documentation and information to promote an efficient audit process while maintaining full transparency.

Maintain a systematic, thoroughly documented, and chronological filing system for payments, both in physical form and on a shared drive, to guarantee that project documents remain readily accessible for daily operations and audit reviews.

Monthly, submit declarations of stock holdings for Data ZA Born held commodities to the insurance company to fulfill reporting obligations.

Review staff timesheets and allocate associated costs to different program areas to maintain precise cost allocation and financial reporting accuracy.

We are seeking a highly motivated professional with at least five years of experience in a related field, along with a proven track record of success. The ideal candidate will possess strong analytical skills and the ability to manage multiple projects efficiently. Excellent communication and interpersonal abilities are essential, as the role requires frequent collaboration with cross-functional teams. A bachelor’s degree in a relevant discipline is mandatory, while an advanced degree is strongly preferred. Familiarity with industry-specific software and tools is required, and prior supervisory experience would be advantageous. The successful applicant will demonstrate adaptability, problem-solving prowess, and a commitment to continuous learning and professional development.

A bachelor’s degree in Accounting, Finance, or a related discipline is required.
