Job Summary

The Department of Amato-Oncology is in search of a Tumor Board Coordinator to deliver streamlined administrative and clinical support by facilitating seamless collaboration among multidisciplinary teams, ensuring the effective management of cancer care processes throughout the Aga Khan University Cancer Centre. This position encompasses responsibilities such as assisting with tumor board operations, participating in oncology governance activities, meeting accreditation standards, advancing quality improvement initiatives, and overseeing oncology data management systems.

Oversee and manage a diverse range of tasks to ensure operational excellence, including coordinating cross-functional teams, implementing process improvements, and maintaining compliance with industry regulations. Develop and execute strategic initiatives to drive efficiency, optimize resource allocation, and enhance productivity across departments. Monitor performance metrics, analyze data trends, and provide actionable insights to senior leadership to inform decision-making. Foster a collaborative work environment by mentoring team members, delegating responsibilities, and promoting professional growth opportunities. Ensure adherence to company policies, quality standards, and safety protocols while delivering high-quality results within established timelines.

Effectively manage executive administrative functions to ensure departmental operations run efficiently and seamlessly, leveraging initiative in planning and organizational strategies.

Direct responsibility for the leadership and management of Amato-Oncology and specialty Multidisciplinary Team (MDT) meetings is required.

Compile and distribute patient lists, meeting schedules, and essential clinical records in advance of board reviews.

Maintain meticulous documentation of MDT discussions and promptly relay treatment decisions to clinicians.

Coordinating and ensuring the timely execution of team care decisions and patient treatment plans is essential. This role involves overseeing the implementation of board recommendations, managing referrals efficiently, and promptly escalating any delays in patient care.

Manage the logistical operations for specialized multidisciplinary breast and prostate clinics, ensuring seamless coordination and efficiency in all procedural and administrative workflows.

Oversee the governance processes associated with Clinical Care Program Certification (CCPC) and Joint Commission International Accreditation (CIA) reviews.

Oversee the development, review, and maintenance of oncology governance documents, policies, Standard Operating Procedures (SOPs), and evidence repositories to ensure compliance and operational efficiency.

Gather, verify, and document oncology quality indicators to maintain ongoing preparedness for accreditation assessments.

Contribute to the compilation, organization, and upkeep of oncology clinical databases and cancer registries by assisting with data collection efforts.

Assist in conducting clinical audits, managing research initiatives, and developing service performance dashboards to enhance operational efficiency and data-driven decision-making.

Requirements

A bachelor’s degree in health sciences, nursing, health records and information management, public health, health systems management, business administration, or a closely related field is required.

Proficiency in quality improvement, healthcare data management, research methodologies, or healthcare accreditation would be considered an asset for this role.

A minimum of one year of professional experience in healthcare administration, oncology services, quality improvement, clinical data management, accreditation support, research coordination, or a comparable field is required.

Exhibits a strong command of medical terminology and operational expertise with healthcare IT systems, databases, and cancer registries.

Demonstrates expert-level capability in utilizing Microsoft Excel, Word, PowerPoint, and reporting tools effectively.

Proficiency in Redcap, Edtech, or comparable clinical information systems is considered beneficial.

Demonstrates outstanding interpersonal abilities and excels in both written and verbal communication.

Demonstrated capacity for autonomous task prioritization, coupled with robust critical thinking and problem-solving capabilities.

Proven expertise in organizational planning, time management, and effective interpersonal communication.

Capable of delivering high-quality independently, with minimal oversight required.

Maintains the highest standards of confidentiality at all times.
