Responsible for coordinating with Czarnikow to secure bookings for anticipated shipments arriving at Mombasa Port from multiple origins.

Ensuring the receipt of all necessary clearance documentation and facilitating the seamless clearance and delivery of shipments for all Czarnikow clients across Kenya and Uganda, where AGL manages the clearance process.

We oversee the end-to-end monitoring of container movements from the Port to designated Warehouses in Mombasa, Nairobi, and Kampala.

Maintains accurate and up-to-date records of sugar inventory levels to ensure efficient supply management and operational readiness.

Compiling weekly inventory reports forms a key part of this role, providing essential data for inventory management and decision-making processes.

Czarnikow must be promptly notified of any modifications to governmental policies or regulations concerning sugar importation.

Following the reception of sugar shipments by clients, the role entails ensuring all deliveries align with specified orders, verifying quantities, quality, and timeliness while addressing any discrepancies or customer concerns promptly. This position requires meticulous attention to detail, strong communication skills to liaise between clients and internal teams, and the ability to resolve issues efficiently. Additionally, the incumbent will maintain accurate records of deliveries, track inventory levels, and collaborate with logistics to optimize future shipments. Proficiency in inventory management systems and prior experience in logistics or supply chain coordination are essential for success in this role.

Maintaining a comprehensive log of all mutually agreed-upon rates is essential. This includes documenting every rate that has been confirmed and approved by relevant parties.

Responsible for tracking and overseeing the inventory of sugar supplies to ensure adequate stock levels are maintained at all times.

Handling all logistical aspects of order fulfillment, including packaging, labeling, and dispatching products to customers in a timely and accurate manner. Ensuring packages meet shipping standards and regulations while coordinating with carriers to optimize delivery routes and minimize transit times. Overseeing inventory management processes to prevent stock outs and streamline warehouse operations. Maintaining compliance with shipping policies and tracking systems to provide transparency and accountability throughout the fulfillment process. Additionally, collaborating with cross-functional teams to resolve shipping-related issues and improve overall efficiency in the supply chain.

The shipping desk at Czarnikow is responsible for processing IDF applications for all Pro forma Invoices received.

The C60 (EG PSP) applications are prepared and submitted to Treasury, ensuring compliance with all regulatory requirements.

To coordinate with Czarnikow regarding the shipping schedules for shipments associated with the relevant IDF, ensuring timely updates and communication.

To ensure the timely acquisition of Conformity Certification, we will proactively liaise with inspection bodies, tracking progress, addressing any outstanding requirements, and verifying the completion of all necessary documentation. This role involves persistent communication with certification authorities to resolve queries, expedite approvals, and maintain alignment with regulatory standards throughout the certification process.

The team will monitor the progress of sugar permits, applications, and approvals on the Czarnikow shipping desk.

All required shipping documents must be obtained and verified to ensure compliance with applicable regulations and company standards.

Must possess or be able to obtain an active security clearance.

All necessary clearance documents must be obtained and submitted to AGL in a timely manner.

Upon receiving the necessary documentation, the clearance process must be initiated without delay.

Calculating duty estimates and promptly requesting funds from Czarnikow London, ensuring that transfers are executed without delay.

Ensuring the timely payment of all applicable duties and taxes. Providing daily updates to clients and cc Czarnikow regarding the status of clearance progress.

Daily clearance activities are monitored to verify compliance and prevent any potential penalties from being applied.

Warehousing and distribution operations encompass the receipt, storage, and dispatch of goods to ensure efficient supply chain management. Responsibilities include managing inventory levels, coordinating shipments, and maintaining accurate records of stock movements. Proficiency in inventory management systems, adherence to safety protocols, and adherence to delivery schedules are essential requirements. Additionally, strong organizational skills and the ability to work in fast-paced environments are critical to success in this role.

Upon receipt of containers from the Port, immediate stripping must be performed, followed by the prompt return of empties to the designated stack.

Responsible for accurately documenting and monitoring inventory levels to ensure effective stock control across all warehouses in Kenya and Uganda.

Ensuring timely alerts to Czarnikow regarding low stock levels and coordinating the efficient delivery of sugar from the warehouses are key responsibilities of this role.

Updating clients regarding market shifts in sugar prices and maintaining alignment between stock balances and Camino’s records.

Overseeing invoicing and payment processes involves preparing, verifying, and issuing invoices, ensuring accuracy in billing and adherence to payment terms. This role requires meticulous attention to detail to confirm all transactions are documented correctly and reconciled promptly. Additionally, you will collaborate with cross-functional teams to resolve discrepancies, track outstanding payments, and maintain up-to-date records of financial transactions. Proficiency in accounting software and strong organizational skills are essential to streamline operations and support efficient cash flow management.

All invoices must be accurately generated in accordance with the established rates.

The team will facilitate the transmission of all invoices to Czarnikow’s Finance department for settlement. Additionally, the role involves monitoring the approval process for every invoice issued. It is also responsible for ensuring timely payments to AGL in accordance with the agreed-upon terms for both local and transit invoices.

Verifying that payments received on account are accurately reconciled and aligned with corresponding transactions.
