Evaluate approved purchase requisitions to ensure all details—such as specifications, quantities, budget allocations, and timelines—are complete, then delegate subsequent tasks to the Procurement Assistant.

Develop and implement a strategic approach for RFQ sourcing, including selecting suppliers, finalizing the invitation list, and establishing timelines. Verify that all quotation comparisons are thorough and precise prior to granting approval.

Evaluate and select suppliers by assessing key factors such as pricing, quality standards, delivery timelines, and compliance documentation, then finalize and approve recommendations prior to issuing the LPO.

Review and authorize Los in accordance with the established approval matrix, guaranteeing their timely issuance and distribution to suppliers and internal stakeholders.

Ensure comprehensive monitoring of delivery progress for all outstanding Los, promptly addressing any delays or backorders by coordinating corrective measures with suppliers and maintaining transparent communication with relevant internal stakeholders.

Ensure all receiving confirmations are accurately and thoroughly completed in collaboration with Stores and Users, including delivery notes, Goods Received Notes (GRNs), and service completion confirmations.

Responsible for resolving procurement-related issues such as incorrect items, partial deliveries, damaged goods, and shipment delays through appropriate measures like replacements, credit notes, and holding suppliers accountable.

You will be responsible for ensuring strict adherence to procurement documentation and filing protocols, including requisitions, Requests for Quotation (RFQs), quotes, comparative analyses, approvals, Local Purchase Orders (Los), Goods Receipt Notes (GRNs)/delivery notes, invoices, and contracts/warranties.

Collaborate closely with Finance/Accounts to verify supplier invoices align with Los and delivery documentation through comprehensive three-way matching procedures, facilitating prompt and accurate payment processing.

Each week, prepare and deliver comprehensive status reports to management, covering open requisitions, outstanding Los, pending deliveries, escalations, and critical supplier issues.

Responsible for creating, overseeing, and executing departmental budgets and procurement strategies, ensuring fiscal efficiency and alignment with organizational objectives.

Conduct supplier sourcing and assessments to guarantee alignment with established organizational benchmarks.

Craft and finalize significant contracts and framework agreements to achieve advantageous terms and conditions.

Ensure adherence to all statutory and regulatory procurement mandates, maintaining full compliance throughout all procurement activities.

To centralize procurement requirements across various departments, enabling cost-effective purchasing through bulk orders and shared resources.

Perform comprehensive market research to uncover emerging trends, analyze price volatility, and evaluate potential alternative suppliers.

Streamline procurement operations and implement industry-leading methodologies to enhance operational efficiency and consistency.

Evaluate and authorize supplier prequalification procedures to guarantee that only approved suppliers are contracted.

Track and evaluate procurement key performance indicators to assess the effectiveness and efficiency of departmental operations.

Prepare and submit periodic reports to management detailing procurement activities, savings achieved, and supplier performance metrics.

Minimum qualifications include a bachelor’s degree in a relevant field, such as computer science, engineering, or mathematics, or an equivalent combination of education and professional experience. Candidates must possess at least three years of proven experience in [specific field or role], with a strong foundation in [specific skill or technology].
