Job Summary

The Program Assistant facilitates on-the-ground execution, ongoing monitoring, and data administration for the School Feeding Program and its associated sustainability efforts. This position guarantees precise data collection, adherence to school-level protocols, and prompt reporting of field operations.

Oversee and implement key operational tasks and strategic initiatives within the assigned department, ensuring alignment with organizational objectives. Develop and maintain efficient workflows to enhance productivity and streamline processes. Monitor team performance and provide guidance to foster professional growth and achieve departmental targets. Collaborate with cross-functional teams to facilitate seamless communication and project execution. Prepare and present detailed reports to senior management, highlighting progress, challenges, and actionable recommendations. Ensure compliance with company policies, industry regulations, and quality standards while mitigating risks. Identify opportunities for process improvement and innovation to drive sustainable business growth.

The role involves providing comprehensive support for program implementation, ensuring efficient execution of initiatives. Responsibilities include coordinating with stakeholders, monitoring progress, and addressing any challenges that arise during the implementation phase. The position requires strong organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced environment. Additionally, the incumbent must possess excellent communication skills to liaise effectively with team members and external partners. Assist in executing school feeding initiatives at designated schools in accordance with preapproved schedules and guidelines.

Oversee the management of food delivery operations at the school level, encompassing the receipt and preliminary verification of deliveries.

Support the coordination of on-site operations and facilitate interactions with key stakeholders.

Provide assistance in executing sustainability initiatives at the school level under the Sustainable School Meals Project (SSMP), with guidance from the SSMP Project Officer. This includes establishing, monitoring, and offering technical expertise on projects such as kitchen gardens, crop farming, and poultry rearing.

The incumbent will be responsible for tracking, documenting, and analyzing performance metrics to ensure transparency and accountability. This role involves overseeing reporting mechanisms, maintaining accurate records, and conducting evaluations to assess progress toward established goals. Strong attention to detail and proficiency in data management are essential for this position, as is the ability to interpret findings and provide actionable insights. Collaboration with cross-functional teams will be required to support evidence-based decision-making and continuous improvement initiatives.

Compose quarterly and annual reports to document and communicate the progress of implementation efforts.

Maintain and update beneficiary and school records, including enrollment details, feeding data, and contact information.

Conduct routine school oversight visits to verify that implementation remains on track, encompassing punctual food deliveries, rigorous food quality assurance, appropriate food storage practices, and efficient utilization by schools, among other critical aspects.

Collaborate in the preparation and compilation of Program Change/Impact narratives, ensuring thorough documentation of relevant details.

Regularly communicate updates regarding the implementation of the school feeding program across all designated platforms.

Conduct data collection initiatives to support needs assessments, baselines, and impact evaluations at both the school and community levels.

Maintain the ongoing accuracy and currency of all tools and trackers by using them as mandated and updating them consistently.

Job Specification:

Candidates must possess a relevant academic degree, accredited certifications where applicable, and demonstrated professional experience aligned with the role’s demands. Essential qualifications include a minimum of [X years] in a comparable position, specialized technical skills, and proficiency in industry-standard tools or methodologies. Proficiency in working within Arid and Semi-Arid Lands (BASAL) regions and among local communities would be highly beneficial.

A motorcycle riding license that is currently valid is strongly preferred.

Candidates should possess the ability and willingness to operate a motorcycle for transportation to various project sites.

Proven track record in overseeing intricate projects and delivering comprehensive monitoring and reporting.

Proficient in leveraging a variety of data collection and reporting platforms, including Kobe, OK, Google Forms, and Excel/Sheets, among others.
