KEY ACCOUNTABILITIES

Prepare precise and prompt quotations for prospective transport contracts.

Coordinate with three third-party service providers (3PSPs) to confirm and validate shipping rates, available capacity, and lead times.

Examine cost inputs meticulously to eliminate pricing inaccuracies and safeguard profit margins.

Responsible for managing and maintaining accurate and organized documentation, ensuring all records are up-to-date, accessible, and compliant with relevant standards. This role involves collecting, reviewing, verifying, and filing documents, as well as updating databases or systems as needed. Strong attention to detail and proficiency in organizational tools are essential to fulfill these duties effectively.

Ensure drivers submit fully completed and signed Proof of Delivery (POD) documents along with invoices, while also validating all handover forms for accuracy and compliance.

Monitor POD submissions, pinpoint any delays, and escalate instances of non-compliance to the appropriate parties for resolution.

Review Post-Opening Dispensary (POD) records to identify and resolve any incomplete or disputed documentation, ensuring all entries are accurate and up to date. Actively monitor the progress of these records to guarantee their timely closure, maintaining compliance with established policies and procedures.

Enter delivery data into the system and ensure all records are complete and accurate.

Ensure all signed Proof of Delivery (POD) documents are scanned and uploaded to enable efficient, audit-ready retrieval.

Respond to inquiries regarding documentation from internal stakeholders and external clients.

Ensure hard copy and electronic archives are systematically organized and consistently maintained, with reliable backup procedures implemented.

Perform regular audits to detect potential compliance risks and documentation deficiencies.

Corrective measures must be implemented to address any missing or incomplete Proof of Delivery (POD) documentation.

Reporting to the senior management team, this role is accountable for delivering accurate, timely financial and operational reports that support strategic decision-making. The position requires proficiency in data analysis, financial modeling, and reporting tools such as Excel, Power BI, or Tableau. Key responsibilities include compiling and presenting monthly, quarterly, and annual financial statements, ensuring compliance with regulatory standards, and identifying trends or discrepancies that may impact business performance. Additionally, the role involves collaborating with cross-functional teams to gather data, validate information, and provide insights that drive operational improvements. Strong communication skills are essential to convey complex financial information clearly to stakeholders at all levels.

Prepare and submit daily reports summarizing the status of any pending Proof of Delivery (POD) items.

Ensure that Transportation Service Providers receive timely daily updates regarding pending deliveries.

Compile and deliver weekly Proof of Delivery (POD) summary reports, including scanned copies, to clients.

Compile weekly Key Performance Indicator reports assessing delivery efficiency and Proof of Delivery metrics.

Monthly billing reports must be submitted to the Finance department for the purpose of processing invoices.

Compile and organize POD (Proof of Delivery) records in preparation for audits and client inspections.

The role encompasses responsibilities related to Safety, Health, Environment, and Quality (SHE), ensuring compliance with regulatory standards, mitigating risks, and fostering a culture of continuous improvement. Key duties include developing and implementing robust SHE policies, conducting regular inspections and audits, and providing comprehensive training programs to enhance staff awareness and competency. Ensure adherence to personal protective equipment (PPE) protocols and support the delivery of safety briefings.

Provide direction to drivers during docking procedures and ensure the safe operation of vehicles throughout the maneuvering process.

Provide guidance to new employees regarding documentation protocols and safety guidelines.

Facilitate effective communication and foster collaboration among team members and stakeholders to ensure alignment and shared understanding of goals. Develop and implement strategies to enhance information flow and teamwork across departments. Build strong working relationships to support project success and organizational objectives. Qualifications and Skills:

Applicants must possess a Bachelor’s degree in a relevant field, such as engineering, computer science, or business administration, from an accredited institution. A minimum of three years of professional experience in a similar role is required, with a preference for candidates who have worked in project management or financial analysis.
