The Accounts Payable Specialist is tasked with managing all aspects of vendor payments, ensuring transactions are processed accurately and efficiently. Responsibilities include verifying invoice details, reconciling discrepancies, and maintaining up-to-date records in the accounting system. The role requires strong attention to detail, proficiency in financial software, and adherence to company policies and regulatory standards. Additionally, collaboration with procurement and other departments is essential to resolve payment-related queries and streamline workflows.

Process supplier invoices in Na vision by receiving, verifying, and accurately coding them to appropriate cost centers and GL accounts.

Ensure precise tax accounting for supplier invoices, encompassing VAT, Withholding Tax, and other mandatory statutory deductions in full compliance with Kenya Revenue Authority (KRA) and Federal Inland Revenue Service (FIRS) regulations.

Develop weekly supplier payment schedules for submission to the Accounts Payables Manager for review and approval.

Process authorized supplier payments within the Na vision system and maintain timely settlement of outstanding creditor balances. Additionally, conduct precise reconciliations of all supplier and bank accounts, addressing any discrepancies promptly to ensure accuracy.

During the month-end closing process, verify that accurate accruals are recorded for services and goods received but not yet invoiced.

Maintain the creditors’ ledger within Na vision by regularly updating and ensuring the accuracy of all supplier records.

Collaborate with the Procurement and Operations teams to verify that purchase orders, delivery notes, and invoices align correctly prior to processing, ensuring a three-way match is achieved.

Facilitates and oversees intercompany transactions, ensuring accuracy, compliance with internal policies and external regulations, and timely processing. Collaborates with various departments to reconcile discrepancies, validate balances, and provide clear documentation for audits. Maintains meticulous records, tracks intercompany balances, and prepares reports to support financial close processes. Verifies that all transactions adhere to company standards and applicable accounting frameworks while addressing any issues that arise.

Prepare landed cost entries in Na vision for imported items, incorporating freight, insurance, and customs duties.

Provide precise AP schedules, reconciliations, and supporting documentation to facilitate statutory audits and tax filings for entities in Kenya and Nigeria.

The position involves overseeing inventory management and costing functions, ensuring accurate tracking of stock levels, valuation, and financial reporting. Key responsibilities include maintaining precise inventory records, conducting regular audits to reconcile discrepancies, and analyzing cost data to optimize procurement and reduce waste. Additionally, the role requires collaborating with procurement and finance teams to support strategic decision-making, preparing detailed cost reports, and implementing cost-saving initiatives. Candidates must possess strong analytical skills, proficiency in inventory management systems, and a keen attention to detail to succeed in this role.

Develop item codes and generate production bills of materials within the Na vision system.

Process stock movement instructions—from commissaries to stores and between stores—promptly and precisely in Na vision, ensuring transfer orders are posted with accuracy and timeliness.

Monitor and oversee the flow of inventory across all designated locations, guaranteeing that records are consistently and precisely updated within Na vision in strict adherence to established internal guidelines.

Supervise monthly physical stock counts and actively engage in the process across all locations while compiling and submitting detailed stock reports for each facility.

Monthly, calculate food expenses and ensure they align with the documented totals.

Analyze and record monthly consumable usage in alignment with warehouse and commissary usage reports; track and evaluate cost consumption trends.

Monthly, inventory balances and cost of sales must be reported, with particular attention given to identifying and flagging slow-moving, damaged, or write-off items for the Costing Manager’s review.

Compile inventory aging reports and identify slow-moving, expired, or obsolete items for management evaluation.

Resolve and address discrepancies, variances, and write-offs related to inventory with precision and efficiency.

Implement and maintain robust controls to ensure full compliance with established internal inventory policies and procedures, thereby safeguarding operational integrity and minimizing risk.

Collaborate with Warehouse, Commissary, and Store teams to maintain precise and prompt stock movement documentation.

Compile and prepare inventory-related reports to facilitate informed decision-making by management.

Assist the Costing Manager with inventory audits, annual stock-takes, and related postings.

Contribute to the enhancement and rollout of advanced inventory management systems and workflows while evaluating industry best practices to foster ongoing operational improvements.

Seeking a highly motivated professional with a Bachelor’s degree in a relevant field, such as engineering, computer science, or business administration. Proficiency in project management software and tools is essential, along with strong analytical and problem-solving abilities. At least five years of experience in a related role is required, demonstrating expertise in strategic planning and execution. Excellent communication and teamwork skills are necessary to collaborate effectively across departments. Familiarity with industry regulations and compliance standards is also expected. The ideal candidate should possess a proven track record of delivering projects on time and within budget while maintaining high standards of quality.

Applicants must either possess an active professional accounting certification, such as CPA or ARCA, or be in the process of obtaining one.
