Handle consular inquiries via telephone and electronic correspondence, providing guidance and support as required.

Oversee the scheduling and processing of consular section appointments, including passport issuances, citizenship applications, and the registration of coordination numbers.

Revise and maintain the digital reservation calendar to ensure accuracy and efficiency.

Oversee the management of the consular mailbox and handle inquiries during designated consular phone hours.

Provide support in converting spoken and written materials from Somali into English.

The embassy’s front desk requires a dedicated individual to manage visitor interactions, respond to incoming calls, address general inquiries and concerns, relay messages, and transfer calls as needed.

Oversee the maintenance and updating of the Embassy’s official phone directory to ensure accuracy and accessibility for all staff and stakeholders.

Oversee the coordination and scheduling of all reservations for the Embassy’s meeting rooms.

Responsibilities include managing the receipt of incoming shipments and coordinating the dispatch of outgoing deliveries, ensuring all items are accurately logged and promptly processed. The role requires meticulous attention to detail to verify contents against delivery documentation and to maintain organized records of inventory movements. Strong organizational and time-management skills are essential to ensure efficient handling of multiple shipments while adhering to established protocols.

Assist in processing incoming and outgoing mail as well as managing pouch shipments.

Handle various administrative responsibilities and special projects as needed to support the team and ensure seamless operations.

Perform other tasks as directed by the Head of Administration and Consular Section.

The ideal candidate will fulfill the following criteria:

Seeking candidates with a strong educational background and relevant professional experience. A degree in a related field is preferred, with a minimum of three years of hands-on experience in a similar role.
