    DUTIES & RESPONSIBILITIES
    Key Performance Areas

    Operationalize Communication Strategy
    Develop, implement, and evaluate the regional communications strategy in collaboration with the regional program team and external communications coordinator.
    Develop effective internal communications mechanisms to ensure that news and events are known internally and publicized as appropriate.

    External Relations and Engagement

    Manage the implementation of FTA’s regional engagement and communications plan.
    Develop press materials including press statements and releases, and information kits/fact sheets.
    Establish and sustain links and contact with relevant journalists within the region to increase awareness of FTA work among journalists
    Respond to media inquiries, arrange interviews, and act as a spokesperson for the region.
    Maintain records of media coverage and collate analytics and metrics.
    Manage crisis communication as it arises and escalate to management.
    Analyse regional reports and generate impact stories for publication on newsletters, websites, and social media platforms.
    Produce and be n charge of the production of FTA’s publications; newsletters, annual reports, project profiles, and product brochures among others.
    Manage the development and production of content for the website, social media, and print publications.
    Support in events planning, organise workshops and press conferences and oversee production of merchandising and branding materials.

    Member and Producer Support

    Create and manage a producer mailing database and identify strategies and extensive effective communications of impact stories to producers, donors and NFOS.
    Plan all member communications and create e-shots for forthcoming events and activities.
    Build relationships with key contacts at member organisations
    Support with the implementation of specific marketing activities relevant to membership, promotional and recruitment campaigns
    Contribute to the production of written materials for the website and promotional documentation.

    SKILLS & EXPERIENCE REQUIRED
    Qualifications

    A Bachelor’s degree in Communications, Journalism, media studies, or related fields.
    Being a member of a professional PR or Communications body in Eastern Africa is an added advantage.

    Experience and Knowledge

    At least 3 – 5 years of work experience in communications, writing, and content creation, in an NGO setting in East Africa.
    Proficient in Microsoft office, content management systems, and social media platforms

    Proposed Deliverables
    The consultant is expected to undertake the assignment within the specified timeline to deliver the below:

    Soft copy of a designed quality training manual on clean energy interventions for social-economic, health and environmental benefits within the fairtrade system for hired labour and small producer organizations for use by the training of trainers (TOTs) who are basically farmers and workers in the tea, coffee and flower sectors.
    Printed copies of the designed quality training manual with specifications as;

    Design and layout

    Well-designed cover showcasing the manual’s theme
    Creative design and layout of the final training manual
    Size of the training manual should be B5
    Stock images (photos, infographics, illustrations, etc.) to be used on the documents in line with Fairtrade Africa guidelines to enhance the look and feel of the document.

    Consultancy Requirements
    The successful firm/institution/individual must bear the following:

    A bachelor’s degree in natural resource management or environmental issues or climate change or ecology or any other related field.
    Possess at least seven (7) years of experience working in clean/renewable energy or natural resource management or environmental issues or climate change or ecology-related sector
    Previous experience in developing training manuals for training of trainers is key. Provide at least 2 samples of similar training manuals developed either as an individual or institution or co-author within the last five years.
    Knowledge and experience implementing projects focusing on clean energy, climate change, and environmental conservation.
    Experience in curriculum development for the training of trainers will be an added advantage.

    FTA will own copyright for all materials developed or included in the online learning program. All source materials for the developed products must be delivered to FTA upon completion of the project.

    EXPERIENCE

    The consultant firm’s team must be comprised of qualified experts, with a demonstrated track record in developing quality online learning. The overall experience of the firm should be more than 5+ years.
    It is expected that the team have experience developing online learning in low-bandwidth environments and have knowledge of delivering online learning in developing countries, preferably in Africa.
    The firm should have strong project management ability and excellent communication skills.
    References and examples of past work are required and should be included in the proposal.

    Proposal Guidelines

    TERMS OF REFERENCE
    CONSULTANCY RISK ANALYSIS AND RAPID ASSESSMENT FOR PRODUCER ORGANIZATIONS PREPAREDNESS TOWARDS CLIMATE CHANGE RESILIENT SUPPORT PROGRAMMES IN EAST AFRICA.
    SEPTEMBER, 2021.
    ASSIGNMENT context and backgound
    Fairtrade Africa is implementing a project in partnership with Coop-UK. The project focuses on climate change; – one of the most pressing issues facing farmers and workers in global supply chains, and has the potential of deepening the vulnerability and poverty context of thousands of farmers and workers in sub-Saharan Africa. The reality for many producers in low-income countries is that the impact of the climate crisis is as immediate and pressing as the impact of COVID-19. Producers are already seeing first-hand the ravaging impact of changing weather patterns and emergence of pests and diseases that devastate crops. Meanwhile, international market prices do not reflect the full economic, social and environmental costs of climate change on their production, failing to provide fair incomes to farmers/workers and compromising their quality of life and that of their communities.
    Coffee: As temperatures rise, bugs and diseases such as leaf rust are spreading which is affecting production, yield, and incomes. It also means that land suitable for coffee growing is moving to higher altitudes, resulting in deforestation, biodiversity loss and soil degradation as land is cleared to plant farms. As a devastating consequence of climate change it is expected that the total area of land suitable for coffee growing will have halved by 2050.
    Tea: Kenya, where half of UK tea imports come from, is facing a host of climate related impacts such as rising temperatures, erratic rainfall, droughts and new insect infestations. These are forecast to destroy 26.2% of the country’s optimal tea growing areas by 2050. According to a U.N. survey of 700 growers in all seven of Kenya’s tea regions, farmers observed changes in rainfall patterns, distribution, and reduced yields tied to climate change. More than 40% of respondents said they had noticed changes in rainy and dry seasons, which led to shifts in the planting season, while 35% cited drought.
    Flowers: The cut flower sector is one of Kenya’s main exports and one of the largest employers in the country. Highly sensitive to changing weather patterns, the industry is increasingly feeling the impacts of climate change. In recent years, many flower farms have had to cope with a range of threats: heavy rainfalls, prolonged cold weather and too high temperatures in the greenhouses. As a result, scheduling the cutting ahead of key sales periods such as Valentine’s Day or Christmas is becoming challenging.
    Bearing the challenges faced, farmers and workers in low-income countries need to receive adequate support to cover the cost of adapting to climate change and building their resilience. Without Fairtrade’s climate-dedicated farming support programs, farmers and workers will continue to bear the brunt of these effects, as their livelihoods are depleted every day. Thus, FTA recognize that they need to employ climate change mitigation and adaptation strategies to sustainably develop, and secure their livelihoods.
    In the recent past, FTA has implemented climate change projects supporting farmers and workers overcome the effects of climate change. Key projects implemented include climate academy in Kenya and Ethiopia, Growing Resilient Agricultural Enterprises in Uganda, sustainable coffee chain in Ethiopia. Some of the documented impacts from these projects include an increase in climate change adaptation and mitigation capacity of small-scale coffee farmers living in poverty that saw improved crop yields by 28%, enhanced competitiveness of pos by improving the volume and value of coffee sold and increased climate change mitigation capacity by promoting climate friendly energy-businesses and Fairtrade Carbon Crediting (FCC) providing green growth livelihood opportunities for women and youth.
    The project proposes a series of interventions designed to contribute to realization of the right to sustainable livelihood for producers’ households experiencing effects of climate change in Kenya, Rwanda and Ethiopia. Specifically, the project intends to contribute to the following result areas:

    Farmers and workers have improved their institutional and management capacity to enable them to make decisions and take action to more effectively tackle climate change (Farmers and workers have greater voice and influence within POs).
    Improved farmer’s resilience to climate change for increased productivity and quality of produce.
    Farmers make more efficient use of natural resources in environmentally sustainable manner.
    Increased opportunities for farmers and workers to diversify and engage in alternative income generating activities.

     Scope of work and objective
    The objective of this assignment is to conduct rapid assessment and risk analysis in select producer organizations to inform key project management strategies.  FTA is seeking the services of experienced consultant to:

    Carry out producer organizations specific needs with regards to key climate change interventions.
    Conduct assessment of producer organizations preparedness in participation and support in addressing the key needs identified.
    Carry out risk assessment and develop risk management plan from the target producer organizations.
    Develop project monitoring evaluation and learning (MEL) strategy, including a Log Frame, indicators and targets.
    In consultation with the project team, refine of the project overall Theory of Change and articulation of how the Theory of Change integrates with the wider FTA climate change strategy

     OUTPUTS/DELIVERABLES
    The following deliverables are expected from the consultant; –

    Inception Report: The consultant shall submit an inception report after signing the contract detailing the approach/methodology, tools and provide any other information that shall be relevant towards the achievement of the assignment objectives/scope.
    A report of POs climate change support areas: Synthesis of PO needs identified from the target beneficiary POs (8 in Kenya, 3 in Rwanda and 1 in Ethiopia) and the proposed intervention areas.
    Risk analysis report and risk management plan: a clear summary of the risks identified and proposed risk management plan.
    Project MEL strategy that includes the log frame, indicators, targets and monitoring templates and refined Theory of Change.

    Consultancy specifications
    The consultant(s) should have the following academic qualifications expertise and experiences:

    Over 5 years senior-level experience in designing and conducting feasibility studies for climate change related projects.
    Relevant experience in management of development projects with a focus on project management, monitoring & evaluation and reporting.
    Must have extensive expertise and experience in project planning, monitoring, evaluation and reporting;
    Strong analytical skills and expertise in data collection tools, analysis and management software.
    Excellent communication, report writing and presentation skills;

    The communications desk under the Operations Department leads and coordinates all regional communication activities. The desk spearheads FTA-ECAN’s communication strategy, acts as the custodian of the Fairtrade brand at the regional level, serves as the liaison point for communications peers from National Fairtrade Organizations spread across the world, directs the production of communication products including high quality images, videos and print material to meet professional standards and brand requirements and among other activities, leads the implementation various visibility activities (online and offline) to raise the profile of the brand regionally.
    What you will do
    FTA-ECAN has a robust communication plan for the 2021/2022 financial year and requires the support of a skilled intern to realize its’ ambitions. Under the overall supervision of the Regional Communications Officer, the intern will provide support in the following areas:
    Overall Communications Plan

    Under supervision of the Regional Communication Officer, support the implementation of the Fairtrade Campus Ambassador Programme:
    Provide support in gathering and developing learning resources for use in Fairtrade Campus Clubs
    Support the coordination of Fairtrade Campus Clubs; support them to fulfill their TOR
    Support learning and Fairtrade familiarization activities for Fairtrade clubs e.g., field visits, coordination with selected Fairtrade (staff) and producers to ensure their availability at speaking engagements
    Product Communications Plan
    Support Product Managers and Regional Communications Officer to update all producer profiles.
    Updates will involve editing and proof-reading profiles for clarity, coherence and accuracy as well as minimal layout to meet the branding requirements of Fairtrade producer profiles.
    Support the Flower Manager and Regional Communications Officer to clean up the Online Premium

    Platform – an online repository of case studies by certified flower farms on the use of Fairtrade
    Premium. Additional tasks will include liaising with Project Officers and Senior Project Officers to ensure regular updates to the platform.

    Assist in updating the Fairtrade Premium Alumni Association (FAPAA) profile to include stories and images of new members who have benefitted from bursaries through the Fairtrade Premium.
    Support Product Managers and Regional Communications Officer to draft stories illustrating the use of Fairtrade Premium among certified producers.
    Provide support in the planning and implementation of activities geared towards raising the profile of Fairtrade in the region.
    iSupport in project documentation with key focus on impact collation, dissemination and general publicity.
    Any other duties as may be assigned.

    The intern is also expected to strengthen his/her knowledge and understanding of the Fairtrade System
    and how it works. Resource materials will be availed to facilitate this. The intern will also engage in onboarding sessions with key contact points for the duration of the internship.
     
    Minimum qualifications and experience

    University Degree in Media, Communications, Public Relations or Journalism (Degree certificate must be provided as proof)
    Minimum of 1 year post qualification relevant experience is an added advantage

    Skills and competencies

    Excellent writing and verbal communication skills
    Proficiency in using a computer and various office software packages including MS Word, Excel, and PowerPoint Presentation. Knowledge of working with Adobe Creative Suite (InDesign/Illustrator) is an added advantage
    Ability to write strong/captivating case stories

    Attention to detail and accuracy
    Must be a good team player with a high degree of initiative, flexibility and tolerance
    Highly adaptive and ability to work under minimum supervision

    Key Duties And Responsibilities

    Brand and Consumer Marketing

    Develop and implement an integrated marketing & communication plans to deliver desired producer impact
    Responsible for elements of consumer marketing and Fairtrade brand administration, including brand strategy, consumer and trade promotions, product development, pricing, advertising, packaging development, financial analysis and budget management
    Champion Social & Behaviour change initiative in the South markets
    Identify and analyse product performance information, anticipate problems and contingency plans to ensure portfolio success
    Manage marketing and customer-driven programs including annual planning, brand presentations, overall shopper marketing insights and category guidelines.
    Aligned with the commercial strategy, execute a commodity exchange platform to support market access initiatives.
    In liaison with the External Communication and PR Coordinator and adherence with Fairtrade branding guideline, develop, design, produce and manage promotional materials in an efficient manner.

    Stakeholder Management

    Strategic management of key stakeholders’ relationships like NFOs, buyers, government agencies and donors across the globe.
    Through the programme and commercial teams, ensure producer involvement in marketing strategy development and execution
    Represent Fairtrade Africa at buyer meetings within the Fairtrade network, attending relevant conferences and meetings as required.
    In collaboration with the External Communication & PR Co-ordinator, provide National Fairtrade Organization’s with key information, sharing key achievements and success stories to communicate FTA’s impact.
    Manage any third-party agency on a-needs-basis.
    Support the Commercial Director by participating in strategic advocacy and technical working groups
    Know the ethical and legal compliance responsibilities of the position, raise questions and concerns when faced with an ethical or compliance issue, apply integrity in all aspects of professional conduct.

    Product Innovation

    Responsible for consumer and market research in collaboration with the Impact and Strategy team.
    Develop market and products dashboards with real time data and trends for strategic
    Use market research tools and mechanisms to lead product innovations for the producers
    Champion product innovation working groups

    Reporting and Documentation

    Develop and maintain monthly update reports on sales, marketing budgets, profitability and provide detailed input to be used by senior management for strategic planning
    Actively participate in resource mobilization and market access proposal writing procedures.
    Develop and maintain a Fairtrade product directory

    Qualifications

    SKILLS AND EXPERIENCE

    A Bachelor’s degree in Business Management or a related field.

    Professional Qualifications

    Post-graduate qualification in marketing e.g. Chartered Institute of Marketing (CIM)
    Project Management certification will be an added advantage

    Experience And Knowledge

    At least 4 years’ experience of brand management and have at least 2 years’ experience in senior management
    Understanding of market research methods and analysis
