Job Purpose
The HR/Admin Intern operates under the oversight of the HR/Admin Manager, receiving daily direction from the HR/Admin Assistant, while assisting with essential HR and administrative duties to cultivate hands-on experience in human resources and office operations.
The intern assists with various administrative duties, including recruitment efforts, document management, record filing, and overall office coordination tasks.
The primary duties involve overseeing daily operations, ensuring compliance with company policies and industry regulations, and managing a team of professionals to achieve organizational goals. Key responsibilities include developing and implementing strategic initiatives, monitoring performance metrics, and fostering a collaborative and productive work environment. Additionally, the role requires collaborating with senior leadership to align business objectives with operational activities, as well as analyzing data to identify trends and opportunities for improvement. Strong leadership, communication, and problem-solving skills are essential to effectively guide the team and drive continuous growth.
Provides comprehensive human resources assistance, including recruitment, onboarding, employee records management, and benefits administration. Handles employee relations matters, ensures compliance with labor laws and company policies, and coordinates training programs. Maintains confidentiality and professionalism in all interactions while supporting management with strategic HR initiatives. Requires strong organizational, communication, and interpersonal skills, along with proficiency in HRIS software and Microsoft Office. Experience in a similar HR role and knowledge of employment regulations are essential.
Provide support in the recruitment lifecycle, including facilitating interview processes and coordinating staff onboarding activities.
Verify that all staff personnel files are fully compliant with ACTED policies and maintained up-to-date at all times.
Provide support in the organization and maintenance of human resources records, both in physical and digital formats, ensuring accurate filing and archiving procedures are followed.
Regularly maintain and update leave trackers and staff databases to ensure accurate and current records.
Assist in drafting OUT correspondences, ensuring they are reviewed by the line manager prior to being dispatched to the appropriate offices and staff.
Assist in disseminating HR information to field teams as needed, ensuring clear and timely communication across the organization.
Facilitate comprehensive travel logistics by coordinating flight reservations, organizing airport transportation, overseeing visa application progress, and securing suitable accommodations.
Provide support in maintaining accurate records and documentation for HR and administrative functions.
Carry out any other duties as required.
