Job Purpose
The HR/Admin Intern assists with standard HR and administrative duties under the supervision of the HR/Admin Manager and daily direction from the HR/Admin Assistant, providing hands-on exposure to human resources and office management practices.
The internship role involves assisting with recruitment initiatives, maintaining organized filing systems, managing documentation processes, and coordinating general office operations.
Oversee and execute key operational functions, ensuring alignment with organizational objectives and maintaining high standards of efficiency and productivity. Develop and implement strategic initiatives to enhance departmental performance and contribute to overall business growth. Collaborate with cross-functional teams to streamline processes, optimize workflows, and drive continuous improvement. Monitor performance metrics, analyze data trends, and prepare comprehensive reports to support data-driven decision-making and strategic planning. Lead and mentor a team of professionals, fostering a culture of accountability, innovation, and professional development. Ensure compliance with industry regulations, company policies, and ethical standards while mitigating risks and addressing operational challenges proactively.
Provides comprehensive human resources assistance to ensure seamless departmental operations, including recruitment, onboarding, employee relations, and compliance with labor regulations. Manages payroll processing, benefits administration, and performance evaluation systems to support workforce efficiency. Addresses employee inquiries, resolves workplace issues, and maintains accurate HR records while upholding company policies. Collaborates with management to develop and implement HR strategies that align with organizational objectives. Requires a bachelor’s degree in human resources or a related field, along with at least three years of HR experience, preferably in a fast-paced environment. Proficiency in HRIS software, strong communication skills, and a deep understanding of employment laws are essential.
Provide support in executing recruitment activities, conducting interview procedures, and coordinating staff onboarding initiatives.
Ensure all staff personnel files are maintained in full compliance with ACTED’s established policies and kept current at all times.
Provide support for the organization and maintenance of HR documents in both physical and digital formats.
Maintain accurate and timely updates to leave trackers and staff databases on a regular basis.
Assist in compiling OUT correspondences for managerial review prior to their distribution to the designated offices and staff members.
Facilitate the dissemination of HR-related information to field teams as needed, ensuring clear and timely communication.
Facilitate comprehensive travel arrangements by managing flight bookings, coordinating airport pick-ups, ensuring timely follow-up on visa processing, and organizing accommodation arrangements.
Responsibilities include supporting the organization and maintenance of HR and administrative records.
Perform all additional responsibilities as assigned by management.
Nature of the Position

General working hours are typically Monday through Friday, aligning with standard office schedules, though occasional flexibility may be required to accommodate operational demands.
The intern must consistently demonstrate professionalism, maintain strict confidentiality, and comply fully with all ACTED policies throughout their tenure.

Essential requirements include proficiency in relevant software tools, strong analytical abilities, and excellent communication skills. Prior experience in a similar position is highly desirable, along with a demonstrated capacity for problem-solving and adaptability. A degree in a related field or equivalent professional experience is mandatory. Additionally, familiarity with industry standards and best practices is expected, along with the ability to work collaboratively in a team environment.
Recent graduate or student in the final year of a degree program encompassing Human Resource Management, Business Administration, International Relations, or an equivalent discipline.
Demonstrates a keen passion for roles within Human Resources and Administrative functions.
Proficient in conveying ideas clearly and fostering collaborative relationships.
Demonstrates strong capability in organizing tasks efficiently and managing time effectively to meet deadlines.
Demonstrates a strong capacity for continuous learning and the discipline to adhere to established guidelines.
Proficiency in fundamental computer applications, such as Microsoft Office Suite, encompassing Word, Excel, Outlook, and PowerPoint, is required.
