The Role

The Labour Market Integration & Human Resource Administrator (LMA & HR) represents an entry-level position strategically positioned within Nairobi’ Programs and Partnerships Department. In this role, the officer will function as the essential intermediary connecting Nairobi graduates with employment prospects, cultivating employer relationships, mentoring graduates on career preparedness, and monitoring post-training results. Additionally, the incumbent will deliver comprehensive human resource and office administration support throughout the organization.

Construct and manage a real-time employer database, documenting engagement statuses, potential placement opportunities, and formalized partnership agreements.

Coordinate and oversee job fairs, employer engagement initiatives, and on-campus recruitment events in collaboration with the communications team.

Craft and finalize contractual arrangements, including placement agreements, memoranda of understanding (Mouse), and internship frameworks, in collaboration with partner organizations.

Act as the main liaison for employers during all stages of recruitment and placement initiatives.

Support recruitment operations by crafting and publishing job postings, evaluating and narrowing down candidate applications, facilitating interviews, and performing comprehensive background and reference verifications.

Draft offer letters and employment agreements for newly hired personnel, while monitoring contract expiration dates to facilitate timely renewals; maintain accurate records of all changes in employee status.

Monitor probationary periods, confirming successful completion, authorizing extensions when warranted, or initiating terminations—all in strict adherence to the established timelines.

Assist with the orientation and onboarding process for new employees by assembling welcome packages, enrolling staff in benefits programs, and verifying the availability of suitable workspaces and necessary resources.

Assist the Finance Manager in maintaining accurate computation of employee salaries and benefits, ensuring timely updates to payroll whenever modifications occur.

Administer comprehensive HR policies that govern terms of service, compensation, employee benefits, contractual agreements, and leave documentation.

Administers the organization’s medical scheme and pension/provident fund, coordinating with insurance administrators to process reimbursements, enroll new members, and manage removals.

Responsible for administering employee leave management and ensuring the RIMS is updated to maintain accurate reporting, as well as generating monthly organizational charts.

Oversee the performance management system to confirm adherence to critical dates and deadlines.

Oversee the administration and execution of contracts for volunteers, temporary personnel, and interns.

Ensure adherence to all internal policies, procedures, and relevant Kenyan labor regulations to maintain full compliance.

Qualifications and Experience

A Bachelor’s degree in a relevant field is required, along with a minimum of five years of professional experience in a related industry. Proficiency in industry-specific software and tools is essential. Strong analytical, communication, and problem-solving skills are necessary. Candidates must demonstrate a proven track record of success in similar roles. Excellent organizational abilities and attention to detail are critical. The ideal candidate will possess a Master’s degree or higher, along with relevant certifications and a passion for continuous learning.

HR Compliance & Turnaround Time – Achieving a 95% completion rate for HR processes, including contracts, confirmations, payroll updates, and leave records, with absolute accuracy and adherence to agreed-upon timelines. The objective is to maintain a 95%+ on-time completion rate while ensuring zero statutory compliance breaches.

Graduates completing career readiness sessions constitute a key metric for Career Readiness Engagement.

Developed and executed tailored career development plans, including CV optimization, interview preparation, and LinkedIn enhancement, leading to a measurable increase in graduates’ employment confidence. Our objective is to provide coaching to 90% of each cohort, ensuring comprehensive support for every participant.

The Graduate Outcome Tracking system maintains an 85% completeness rate, with employment status updates recorded for graduates at the 3-, 6-, and 12-month milestones. The objective is to achieve 85% or higher data completeness for each cohort cycle.
