(job) Purpose: Spearheading initiatives to cultivate a dynamic and inclusive work environment, this role is tasked with driving strategic projects forward while ensuring alignment with organizational objectives. Responsible for stocking, overseeing, and distributing a diverse range of inventory, including medical surgical supplies, pharmaceuticals, pathology materials, radiology equipment, food and beverage items, engineering materials, capital expenditure (CAPEX) goods, and general stores supplies to meet the needs of hospital-wide operations, outreach programs, and University Centre users. Additionally, ensures precise reporting of inventory levels within designated areas of responsibility.

Responsibilities include overseeing daily operations to ensure efficiency and productivity, managing team performance and development, coordinating cross-functional projects, and implementing process improvements. Additionally, the role involves analyzing key metrics to drive data-informed decisions, fostering a collaborative work environment, and ensuring adherence to company policies and industry regulations. The position also requires maintaining strong stakeholder relationships, addressing operational challenges proactively, and aligning business strategies with organizational objectives.

Responsible for overseeing the designated warehouse and/or Sub Store operations to ensure efficient management of inventory, order fulfillment, and logistical processes.

Address inquiries and requests from end-users regarding service materials.

Accurately and promptly process the issuance of items.

Accurate and punctual recording and updating of transactions within the system, along with the timely issuance of items, must be maintained.

Items must be stacked in a manner that ensures clear identification and traceability while maintaining safety and organization.

Proactively monitor inventory levels to prevent stock outs by alerting the purchaser in advance when items are nearing depletion.

Determine the most efficient quantities of items to be restocked based on demand forecasts and inventory levels.

Responsibilities include accepting deliveries from suppliers in alignment with Purchase Orders, inspecting both the quantity and quality of received goods.

Ensuring invoices are received promptly and verified for accuracy before being forwarded to Finance for processing.

Support efforts to ensure inventory levels remain at or above the established minimum stock thresholds.

Ensure that all incoming goods from vendors, warehouses, and sub-stores meet established quality standards.

Monitor unresolved issues that end users have not acknowledged or resolved, ensuring timely follow-up to address their concerns effectively.

Ensure stock movement is managed in strict accordance with the First-Expired, First-Out (FEFO) method to maintain product integrity and compliance.

Oversee a portfolio ensuring the value of expiries and obsolete items remains at a minimum.

Participate in quarterly inventory counts to ensure accurate stock levels and compliance with company standards.

To ensure timely reporting, the role requires daily checklist submissions and monthly on-time filing of bulk SPR reports for inventory replenishment, slow-moving inventory, approved disposal forms, and QVR reports.

Assigned duties may encompass additional responsibilities as determined by the PSCMD Supervisor, Assistant Managers, Managers, and PSCMD leadership, potentially including the provision of support for the role and function of the Purchase Assistant.

Qualifications, experience, and skills requirements include a bachelor’s degree in a relevant field, such as finance, accounting, or business administration, along with a minimum of three years of professional experience in a similar role. Candidates should possess strong analytical abilities, proficiency in financial software and Microsoft Office Suite, particularly Excel, and exceptional organizational and communication skills. Prior experience with financial reporting, budgeting, or auditing is highly desirable, as is the ability to work independently while managing multiple priorities in a fast-paced environment. Knowledge of regulatory compliance and data analysis tools is a plus.

A diploma or certification in a business-related field is required.

Membership in the Chartered Institute of Purchasing & Supply (CAPS), the Chartered Institute of Logistics (CULT), or the Kenya Institute of Supplies Management (KISS) will be highly beneficial.

With a minimum of two years of relevant professional experience in the designated field or work setting, candidates should demonstrate a solid foundation in the required competencies.

Proficiency in utilizing Microsoft Office Suite, specifically Microsoft Excel and Microsoft Word, is required.

Demonstrates strong teamwork capabilities, exhibits a proactive mindset, and takes initiative in driving projects forward.

Comprehensive customer service abilities and strong interpersonal and communication proficiencies are essential.

Capable of lifting substantial weight, maneuvering through various levels, and flexing into different positions.

Proficiency in warehousing and stock management practices is required, with a strong understanding of inventory control, order fulfillment, and storage optimization.
