We are seeking a detail-oriented professional to ensure the seamless operation of our administrative and operational systems. This role involves overseeing daily workflows, coordinating cross-departmental activities, and maintaining accurate records to support organizational efficiency. Key duties include managing schedules, facilitating communication between teams, and implementing process improvements to enhance productivity. The position requires strong organizational skills, proficiency in office software, and the ability to multitask in a fast-paced environment. Additionally, the role demands meticulous attention to detail, excellent written and verbal communication, and a proactive approach to problem-solving.

Handle incoming booking inquiries through various communication channels, including telephone, email, WhatsApp, in-person visits, and digital platforms.

Deliver courteous, prompt, and professional responses to all potential guests, ensuring a welcoming and friendly experience.

Process and oversee reservations utilizing the company’s proprietary booking management system to ensure accuracy and efficiency in all transactional activities.

Maintain precise booking records, occupancy schedules, and guest details within the system to ensure accurate and up-to-date information.

Track apartment vacancies in real time and adjust pricing and inventory levels accordingly.

Ensure a smooth and pleasant experience for guests by efficiently managing their check-ins and check-outs.

Prepare booking confirmations, invoices, receipts, and occupancy reports using the system.

Collaborate with housekeeping and maintenance teams to confirm that all units are prepared and available for guest arrival.

Address customer concerns and questions with professionalism, efficiency, and timeliness.

Oversee the organization and upkeep of front office documentation while providing essential administrative support to ensure seamless operational efficiency.

Support the marketing and promotion of available units via digital platforms.

Candidates must possess a minimum of five years of relevant experience in the field, along with a bachelor’s degree in a related discipline. Proficiency in industry-standard software and tools is essential, along with strong analytical and problem-solving capabilities. Excellent communication skills, both written and verbal, are required to collaborate effectively with cross-functional teams. The ability to manage multiple priorities in a fast-paced environment while maintaining attention to detail is critical. Familiarity with regulatory compliance and best practices is also necessary. Additionally, prior leadership or project management experience is preferred but not mandatory.

A relevant academic qualification, such as a Diploma or Degree in Business Administration, Hospitality Management, Real Estate, or a closely related discipline, is required.

A minimum of two years of professional experience in front office administration, reservations, hospitality, or customer service is required.

Proficiency with property management systems (PMS), booking platforms, or reservation management software is strongly preferred.

Demonstrates strong working knowledge of Microsoft Office Suite, including Word, Excel, and Outlook.

Proven ability to articulate ideas clearly and effectively through both spoken and written channels is essential.

Highly proficient in managing multiple tasks simultaneously while maintaining exceptional organizational capabilities and delivering outstanding customer service.
