Responsibilities and Essential Duties: Develop and execute strategic plans to enhance organizational efficiency, ensuring alignment with long-term business objectives. The role involves efficiently managing, categorizing, and cataloging supporting documentation submitted by country teams and grantees, guaranteeing that all records are meticulously structured and promptly accessible for examination and audit procedures.

Perform initial completeness verifications of submitted supporting documents by comparing them against both donor and internal compliance checklists, identifying any deficiencies or irregularities and promptly escalating them to the designated Program Finance Officer for resolution.

Maintain an accurate and current documentation tracker organized by country, partner, and submission cycle, ensuring all details remain current. Proactively engage with country teams to gather or correct any missing or incomplete documentation, adhering strictly to agreed-upon turnaround times.

To facilitate the timely submission and resubmission of donor support documentation, you will prepare and assemble submission packs while adhering to established naming and labeling protocols. Additionally, you will play a key role in helping the team meet the 95% approved-expenditure threshold through your contributions to the process.

Collaborate with the records management team to systematically arrange the scanning, filing, and labeling of YE FFA supporting documentation, while guaranteeing precise retrieval, meticulous archival practices, and an exceptional audit rating for the Program Finance function.

Support Program Finance Officers in rectifying compliance issues and resubmitting donor documentation by drafting and sending follow-up communications to country teams and submitters, ensuring prompt resolution of outstanding documentation queries.

Key Qualifications Needed:

Bachelor’s degree in Computer Science, Information Technology, or a related field, or equivalent work experience. Minimum of 3 years of experience in software development, with proficiency in programming languages such as Java, Python, or C++. Strong understanding of data structures, algorithms, and software design principles. Experience with database management systems, such as SQL or NoSQL. Familiarity with cloud computing platforms, including AWS, Azure, or Google Cloud. Excellent problem-solving skills and the ability to work both independently and collaboratively in a team environment. Strong communication skills to convey technical concepts to non-technical stakeholders.

A recent graduate or current final-year student in accounting, finance, or a related discipline is sought for this position.

A foundational knowledge of financial management and reporting methodologies is required.

Strong abilities in organization, time management, and communication are required.

Strong working knowledge of Microsoft Office Suite, including Word, Excel, and PowerPoint, is required.

Demonstrates meticulous attention to detail and a proactive approach to continuous learning.

Must demonstrate the capacity to uphold strict confidentiality while thriving in diverse, high-pressure settings with dynamic demands.
