Facilitating communication and coordination with Czarnikow to arrange the transportation of anticipated shipments from diverse origins to Mombasa Port.

The role involves securing all necessary clearance documentation and facilitating seamless clearance and delivery processes for shipments belonging to Czarnikow clients across Kenya and Uganda, where AGL is responsible for handling the clearance.

We monitor the movement of containers from the Port to designated Warehouses in Mombasa, Nairobi, and Kampala.

Maintains accurate records of sugar inventory levels to ensure adequate supply and effective resource management.

Compiling weekly inventory reports is required.

We promptly notify Czarnikow of any updates or modifications to government policies or regulations concerning the importation of sugar.

Following the receipt of sugar shipments by customers, the role involves ensuring accurate inventory records are maintained, verifying the quality and quantity of delivered goods against purchase orders, and promptly addressing any discrepancies or client concerns. Responsibilities include coordinating with logistics teams to resolve delivery issues, updating digital tracking systems with shipment details, and liaising with procurement to address supply chain inefficiencies. The position requires meticulous attention to detail, strong problem-solving skills, and proficiency in inventory management software, as well as the ability to communicate effectively with internal and external stakeholders.

Maintaining a comprehensive log of all approved rates constitutes a key responsibility within this role.

Responsible for tracking and maintaining accurate records of sugar inventory levels to ensure adequate supply for operational demands.

Shipping:

Czarnikow’s shipping desk is responsible for processing and submitting IDF applications for all Pro forma Invoices received, ensuring timely and accurate documentation.

The team is responsible for preparing and submitting C60 (EG PSP) applications to the Treasury, ensuring all requirements are met and deadlines are adhered to.

You will be responsible for tracking and following up with Czarnikow regarding the shipping schedules for shipments associated with the various IDF. Your duties will include monitoring progress and ensuring timely communication to maintain alignment with delivery timelines.

We will liaise with inspection bodies to secure the issuance of Conformity Certification.

The team will monitor the status of sugar permits, applications, and approvals in collaboration with the Czarnikow shipping desk.

Verifying the receipt and completeness of all essential shipping documentation according to established standards is required.

Must possess an active Secret clearance with the ability to obtain a Top Secret clearance if required. Maintain eligibility for SCI access and be willing to undergo periodic reinvestigation as mandated.

All necessary clearance documents must be obtained and submitted to AGL in a timely manner.

Upon receipt of the necessary documentation, the clearance process must be initiated without delay. This responsibility entails verifying the completeness and accuracy of all submitted materials to facilitate prompt processing.

Calculating duty estimates and promptly submitting requests for funds to Czarnikow London, followed by ensuring immediate transfers.

Ensuring timely payment of duties and taxes while providing daily progress updates to clients and CC’ing Czarnikow on clearance status.

Daily monitoring of clearance activities is conducted to confirm adherence to established protocols and mitigate the risk of penalties.

Responsible for overseeing and managing all aspects of warehousing and distribution operations, ensuring efficient movement, storage, and delivery of goods. Coordinates logistics processes, including inventory management, order fulfillment, and shipment tracking, to meet customer demands and maintain supply chain integrity. Supervises warehouse staff, optimizes storage layouts, and implements safety protocols to enhance productivity and compliance. Must possess strong organizational, leadership, and problem-solving skills, along with proficiency in warehouse management systems and relevant industry standards.

Upon receipt of containers from the Port, this role involves promptly removing their contents and ensuring the empties are promptly returned to the designated stack.

Maintaining precise stock records is essential for effective inventory management across all warehouses in Kenya and Uganda.

Ensure timely alerts to Czarnikow regarding low stock levels and oversee the efficient delivery of sugar from warehouse facilities.

Responsibilities include keeping clients apprised of sugar market fluctuations and verifying that stock balances align with Czamikow’s records.

Invoicing and Payments: The role involves managing the generation, distribution, and tracking of invoices to ensure timely payments, as well as reconciling financial records to confirm accuracy. Responsibilities include verifying invoice details, following up on overdue payments, and coordinating with clients or internal teams to resolve discrepancies. Proficiency in accounting software, attention to detail, and strong communication skills are essential to execute these tasks effectively.

Accurate preparation of all invoices, strictly in accordance with the agreed-upon rates, is essential to maintaining billing precision.

The primary responsibility involves forwarding all invoices to Czarnikow’s Finance department to facilitate timely payment. Additionally, it is essential to confirm the approval of all issued invoices and verify that payments to AGL for local and transit invoices are completed in accordance with the agreed terms.

Verifying that payments received on account are accurately reconciled and applied to the corresponding outstanding balances.
