We are seeking professionals to fill positions within our Supply Chain Business Units, where you will be responsible for optimizing operations, managing supplier relationships, and ensuring seamless logistics across the organization. Your role will involve collaborating with cross-functional teams to align procurement strategies with business objectives, mitigating risks in the supply chain, and driving continuous improvement initiatives. Key responsibilities include overseeing inventory levels, coordinating with vendors, and implementing systems to enhance efficiency and reduce costs. Ideal candidates will possess a degree in Supply Chain Management, Business Administration, or a related field, along with proven experience in logistics, procurement, or operations management. Strong analytical, communication, and problem-solving skills are essential to succeed in this dynamic environment.

Daily, all documents for Supply Chain staff must be organized and stored in their respective personnel files to maintain accurate and up-to-date records. This includes ensuring proper categorization, secure filing, and timely updates to support efficient administrative operations.

Ensure all documents at the head office are printed, signed off, or approved promptly, and return them to the sender without delay.

Monitor supply chain IFF Los in collaboration with procurement teams and verify corresponding payments processed by the Finance department to ensure alignment and accuracy throughout the cycle.

Documents must be gathered from employee files in accordance with site HR requests.

Maintain communication with courier service providers to monitor and coordinate the delivery of letters requiring approvals at HQ.

In collaboration with the site HR department, coordinate and process all stationery requisitions to ensure timely and accurate fulfillment of requests.

Attend meetings and document detailed minutes summarizing key discussions, decisions, and action items for distribution to relevant stakeholders.

We will enhance recruitment processes and conduct individual assessments using the SESAME system.

Deliverables associated with the Front Office and Back Office Business Units are managed through these roles.

Prepare correspondence in draft form for managerial review and approval before dissemination, ensuring clarity, professionalism, and adherence to organizational standards.

Compile interview shortlists, extend invitations to candidates for interview participation, conduct interviews, and convey interview results to all candidates who attended.

Conduct follow-up actions regarding the approval of necessary employment documents and offer letters for chosen candidates.

Monitor and oversee recruitment process schedules and milestones to ensure timely completion and alignment with organizational goals.

Conduct orientation sessions for newly appointed employees in applicable classifications.

Draft correspondence regarding modifications to employees’ contract terms for necessary approvals and notify Payroll to implement corresponding adjustments.

Monitor staff probation and contract end dates, ensuring all relevant documentation is prepared promptly and accurately.

Oversee the HR helpdesk operations for the designated departments, ensuring efficient handling of employee inquiries and requests.

Revise the annual staff appraisal documentation to ensure timely distribution while maintaining compliance with organizational policies and performance management standards.

Prepare a diverse range of reports, including HR statistics, disciplinary documentation, training feedback and evaluation summaries, as well as updates on action items from Works Council meetings, among other tasks.

The role involves managing the training administration process, which includes preparing NITA applications for approval, drafting trainees’ memos, scheduling trainers, tracking confirmations from Legal Practitioners’ Organizations (Los), maintaining attendance records, issuing certificates, conducting training evaluations, and organizing internal training sessions, among other duties.

Issue advance notifications for the expiration dates of fixed-term contracts and facilitate timely contract renewals or terminations as needed.

New staff files must be established for all new hires, with all documents meticulously organized and maintained. Additionally, ongoing staff correspondence and related documentation must be consistently monitored and filed in the appropriate personnel files without delay.

Oversee disciplinary processes for supervisory and non-supervisory staff, including gathering witness statements, drafting show cause memos, coordinating panel member invitations for hearings, distributing copies to involved parties, documenting meeting minutes, issuing case resolution communications, and securely filing all related correspondence in staff records.

Profile

Holders of a diploma or degree in Human Resource Management are required for this position.

A minimum of two years of relevant professional experience is required.
