The People & Admin Associate plays a pivotal role in maintaining the operational efficiency of the EDU Kenya office while delivering essential administrative support to the People department. This position entails overseeing the seamless functioning of the Nairobi office, handling logistics, arranging travel, supervising supply management, and fostering an environment that enables the team to operate productively on a daily basis. Additionally, you will assist in executing key HR administrative functions, such as coordinating onboarding and offboarding processes, managing benefits administration, maintaining HRIS records, and tracking contracts, among other responsibilities.

What you will do:

The role entails overseeing the daily operations of the office, ensuring efficient workflow and administrative support. Key responsibilities include managing correspondence, maintaining records, coordinating meetings, and handling office supplies. Proficiency in Microsoft Office Suite, exceptional organizational skills, and strong communication abilities are essential. Additionally, a keen eye for detail, the capacity to multitask, and the ability to work independently are required. Prior experience in an administrative capacity is preferred.

Oversee the daily operational management of the office, including procurement of supplies and equipment, optimization of office space utilization, and coordination of logistics to guarantee prompt delivery.

Assist in organizing and facilitating office events and staff meetings.

Serve as an intermediary connecting Human Resources, Procurement, Operations, and Finance to facilitate office-related activities.

Serve as the primary liaison for guests and external collaborators upon their arrival at the office.

Maintain the seamless functioning of the office environment on a daily basis.

HR Operations Support professionals provide essential administrative and operational assistance to the HR department, ensuring smooth execution of daily tasks. They oversee employee records management, process payroll and benefits administration, and assist with recruitment activities. Additionally, they handle compliance documentation, maintain HR databases, and coordinate employee onboarding and offboarding procedures. Strong organizational skills, proficiency in HR software, and meticulous attention to detail are required. Excellent communication and problem-solving abilities are also necessary to address employee inquiries and resolve issues efficiently.

Provide support for employee onboarding and offboarding initiatives by managing documentation, configuring systems, and collaborating with supervisors to ensure smooth transitions.

Responsibilities include managing contract renewal processes, such as monitoring critical deadlines, compiling necessary documentation, and coordinating follow-up actions to ensure timely renewals.

Provide support for benefits administration, including medical insurance, FIBA, pension, and HELD, while maintaining precise record-keeping.

Responsible for maintaining and updating HR records within the HRIS (Personio) while ensuring adherence to all statutory requirements.

Provide support for payroll documentation and assist HR in monitoring performance metrics.

Ensure diligent follow-up and seamless coordination across all relevant parties to maintain project momentum and achieve desired outcomes.

Monitor office and HR tasks diligently to verify their prompt and accurate execution.

Maintain ongoing communication with staff, management, and external stakeholders to facilitate seamless office operations and human resources activities.

Provides comprehensive administrative assistance to ensure efficient office operations, handling diverse tasks such as correspondence management, scheduling, data entry, and document preparation. Responsible for maintaining organized filing systems, coordinating meetings, and liaising with internal teams to streamline workflows. Requires proficiency in office software (e.g., Microsoft Office Suite), exceptional organizational skills, and the ability to prioritize tasks in a fast-paced environment. Strong communication and problem-solving abilities are essential to support daily administrative functions.

Provide support in the compilation, organization, and submission of documents, as well as the preparation of reports.

A bachelor’s degree in Human Resources, Business Administration, or a closely related discipline is required.
