    Finance & Administration Intern
    Areas of training/Roles:
    Preparing budgets and financial reports for reporting to Head office, partners or internal usage.
    .Reviewing project financial documentation for compliance—e.g. costs charged to specific project.
    Ensuring field office compliance with financial management systems as per AKF and partners’ requirements, rules and regulations.
    Assist in monitoring project expenditure (burn rates) against the total award budget and against the work plan budget. Discuss project financial performance with the Programs Department.
    .Working collaboratively with Finance Officer to review and oversee project budgets, forecasts, and financial reports for partners and AKF head office and actively contributing in the project risk reviews.
    Working closely with Finance Officer and partners to resolve any financial related issues and following up on open points to ensure they are resolved.
    Travel to project sites to provide finance training to beneficiaries, Provide technical assistance to ensure proper financial management of awards and timely submission of required financial reports.
    Evaluating projects on Cost Benefits Analysis (CBA) and adhere to contract management.
    Assist in processing and recording of payments on a daily basis, including verifying the accuracy of invoices and supporting documents.
    Assist in compiling the Payroll for the AKF Kenya Staff and project staff and ensure submission of PAYE, NHIF and NSSF are done before deadlines to the relevant authorities.
    Assist in maintaining the security and accountability of the office petty cash.
    Assist in undertaking HR roles e,g recruiting, performance appraisals, trainings etc
    Assist in undertaking administration roles e.g maintaining the asset register, office repairs & maintenance etc
    Filing financial documents both physically and digitally.
    Perform other relevant tasks as required.

    Qualifications:

    Bachelor’s degree required in Finance, Accounting or Business Administration
    High levels of proficiency in Microsoft Word, Excel, PowerPoint, Access and Outlook
    Good communication skills
    Ability to set priorities, juggle tasks and meet tight deadlines
    Excellent interpersonal and organizational skills and work in a culturally diverse team.

    Regional Finance Manager

    The Regional Finance Manager will be located in one of the Ipas country or country offices and reports to the Senior Manager, International Finance in NC.
    This position provides support to Country Finance Managers to ensure strong country office finance functioning, providing the necessary support to on financial reporting, systems managements, organizational and donor policies and procedures implementation and compliance. This position also provides thought and leadership partnership to In-Country Finance managers.
    This position requires the ability to develop strong financial tools and mechanisms to improve financial reporting and reconciliation, internal controls, and will also be required to conduct periodic internal reviews and comprehensive control audits for assigned countries.

    Financial Accounting, Reporting and Controls

    In Partnership With Country Finance Managers, Provide Support To

    Ensure all accounting and finance systems as well as the procurement process in the country offices is in compliance with Ipas Standard Operating Procedures. Ensure timely month & year-end financial close of the assigned countries as per the closing calendar. Perform comprehensive review of country office financial reports, balance sheet accounts and reconciliations with supporting schedules. Support improvements through regular feed-back. Also ensure all analysis and working papers are regularly uploaded on the designated central location on the server. Ensure compliance with the local financial and registration regulations and tax laws and ensure that there are no exposures. Support the implementation of internal and external audits as and when required. In coordination with the Country Director, identify and ensure implementation of any corrective actions to address issues found during external and internal audit/reviews. Regularly perform limited scope audit and as a part of it, review electronic supporting documents for selected expenses to ensure accuracy, compliance with Ipas established Finance Standard Operating Procedures Maintain positive working relationships with the Country Offices’ Finance Managers and Country Directors and responds to their finance and SOP related questions in a timely manner with excellent written and verbal communications.

    Human Resources & Development

    In Partnership With Country Directors

    Provide on-going skills building and technical assistance to Country Office finance staff and Country Directors in all areas of accounting, budgeting, the use of Workday, financial management and SOP compliance, as needed or requested. Assist the Country Director in recruiting, orienting and onboarding new Country Finance Manager, including to Ipas’ Financial SOPs. Support the Country Finance Managers to train staff on Standard Operating Procedures (SOPs), as needed, and ensuring adherence to SOPs. Serve as Acting Country Finance Manager, if requested, as vacancies occur.

    ROLE OVERVIEW 
    Reporting to the EAR Head of Customer Solutions Management & Architecture, the Pricing Analyst will provide be responsible for tracking marketplace metrics and trends, as well as establishing, maintaining and analyzing price reference documentation in order to uncover key market and pricing insights.
    KEY RESPONSIBILITIES

    Carry out price analyses, analyze demand data and competitor and market trends in order to develop price book aligned with operating market environment
    Develop a system of communication, documentation and review of internal and external comparative pricing data and manage pricing procedure, enhance processes
    Work with Head of Customer Solutions to develop solution pricing structures and strategies to help enhance profitability, ensuring integrity and accuracy in all pricing matters
    Manage BAFA pricing decisions considering cost, margin and market
    Appraise customer and LTK projects and provide investment guidance based on detailed RoI working and reports
    Define, agree and publish rate cards for all LTK solutions and segments to be used in the pricing tool every quarter including offnet services pricing in liaison with the group and procurement organization including the associated processes and tools
    Provide bid/RFQ/P – work with sales, solutions, marketing, technical and finance functions to define and deliver both commercial and technical propositions based on customers’ business needs and competitive response; provide data analysis, benchmarking, pricing and overall P&L impact
    Support the sales and bid teams for any new framework opportunities from a pricing perspective engaging with key stakeholders to ensure appropriate bespoke commercial support is provided
    Deliver meaningful, accurate and timely performance management reports to demonstrate performance and achievement against key performance indicators. Develop the supporting narrative for interpreting the meaning and significance of the information
    Conduct quantitative research and analysis on data, markets, customer behavior and trends in enterprise, wholesale and retail markets
    Quantitatively evaluate the market size, competitor accomplishments and make recommendations
    Develop a standard reporting suite and dashboard
    Identification of relevant data sources and coordination of data gathering for relevant sales and revenue reports across all segments and by product for analysing and monitoring performance trends
    Provide management information and reporting
    Provide high quality analytical support by developing, clarifying and documenting business requirements, identifying appropriate data sources, extracting/cleansing data, developing appropriate presentation formats and explaining outputs

    Responsibilities
    1) Strategy, vision, planning and general management

    Lead the EAS team in the implementation of short- and long-term vision, strategies and policies that maximize its contribution to the wider MSF movement.
    Identify organizational opportunities and risks and steer the organizational risk management and appropriate structure, functions and processes.
    Develop multiyear vision and strategy by preparation and regularly review the annual plan in cooperation with the Management team and reporting to the EAS Board.
    Actively participate in the reporting and planning cycle of EAS & align with the international requirements.
    To steer and help develop the EAS 2021-2023 MSF EAS Strategic Plan, and the next cycle EAS strategic plan.

    2) Representation, advocacy, lobby

    Guarantee the sound reputation, coherent identity, image of MSF in front of external stakeholders.
    Institutional Representative of MSF to external contacts such as UN agencies, diplomatic bodies, the Humanitarian community, think tanks and academia amongst others.
    Actively advocate for MSF’s positions and interests, maximizing its impact on behalf of populations in danger with key constituencies by playing a leading role in carrying out international movement campaigns in Kenya.
    The GD EAS will work closely with the HART team, Access Campaign and the International office for all issues and campaigns of global interest. This applies mostly to humanitarian diplomacy and communication activities.
    Act as a key spokesperson for MSF’s communication initiatives when needed. MSF Spokesperson – for media based in Eastern Africa and/or for issues related to East African region.
    Ensure adequate funding and budgetary allocations of the EAS through development of alliances/engagement/collaborations/contributions/commitments with MSF Institutional Members in order to get the allocation of resources needed to accomplish the mission and ambitions of EAS.
    Representative of MSF in the frame of the Host Country Agreement in Kenya (TBD).
    Institutional Representative of MSF at different regional platforms in Eastern Africa (humanitarian, political…).

    3) Networking, engagement and Collaborations

    Responsible for the development of any EAS partnerships in the region that are considered opportune for the MSF social mission.
    Participate actively in relevant international working groups and committees.
    Communicate at major platforms on opportunities and potential of EAS for further collaboration/interaction.
    Contribute to strategic discussions, advising and reporting to the Board on operations/activities of the Section.
    Participate and contribute to the positive development of the GD forum and internal dynamics.
    Participate in annual Full Excom and the General Directors platforms
    Build and maintain a good relationship with other GDs and the IO.

    4) Contribution to MSF Social mission/Support to Operations

    Participate in key strategic operational moments and actively contribute to the reflection and critical analysis on medical and humanitarian challenges, stakes and practices of MSF.
    Ensure constant constructive challenge and propose alternatives to centralized procedures, protocols, strategies and policies which could be more effective if decentralized.
    Create and host/support platforms and ensure continuous exchange and discussion with MSF operational entities within the EA region.
    Negotiate with various operation centres in the region to develop a harmonised operational response within the region that could be cost efficient yet effective.
    Ensure continued engagement MSF entities on opportunities for operational support in the region.
    Work closely with the head of OCBA Nairobi Operational Support Hub as well as other hosted entities for areas of mutual collaboration, synergies and support.

    6) Role of GD in EAS Governance

    To support EAS governance by providing the EAS BoD with all information needed to assist in policy shaping and reporting for the follow-up of executive activities and performance/results.
    Represents the Executive Management at Board meetings and works in close collaboration with the Board to deliver on the approved strategy
    To participate in all EAS board meetings & contribute to Board meeting agenda
    To participate in all EAS General Assemblies and represent the executive office in MSF General Assemblies.
    Together with the Board, ensure active participation in the international platforms of MSF and all other international themes and dossiers needed to be debated/discussed and ratified by the EAS BoD.
    To participate in country intersectional Field Associative Debates (FAD), regional associative meetings whenever possible.
    Develop MSF EAS position in the various international platforms (OCBA/OCA, Full-Excom, Core+ or any other bilateral relations with MSF entities)
