    As a Contracting Coordinator you will provide support and coordination assistance to the Contracting Manager to maintain and implement contracting systems and processes which meet Intrepid’s business needs and aligns with the global business. This includes assisting the Contracting Manager to consistently improve Intrepid East Africa’s contract rates and profitability levels.

    RESPONSIBILITIES

    Research and develop unique itineraries that will suit both the local and international clientele and identify emerging opportunities in the travel industry;
    Create relationships with Tour operators/partners such as hotels, airlines, travel agencies (local & international), corporates and secure contract rates in the industry through various contract negotiations;
    Ability to develop with competitive costings for different customized packages for clients in a quick manner to close leads;
    Responsible for coordinating tour operations with the various parties such as hotels, drivers and other partners to deliver client expectations;
    Track customer experience and ensure customer satisfaction in every itinerary that is sold by Cytravel Africa;
    Develop daily, weekly and monthly travel reports as required by the business;
    Responsible for growing followers on social media platforms, regularly updating the Cytravel Africa website to attract new leads to the business;
    Track all leads generated; responding to them on calls, emails to achieve sales targets and managing clients’ accounts;
    Develop monthly Cytravel Africa Travel bulletin, blogpage; and become a leader in travel vlogging;
    Identify opportunities to market Cytravel Africa such as Travel Expos and Travel fairs;
    Will be expected to have thorough knowledge of the East African tourism product & designing of international itineraries and costing; while doing competitor research;
    Responsible to keeping the Cytravel Africa compliant with regulations requirement such as TRA licensing; and set up the required systems for travel management;
    Research on travel bodies Cytravel Africa should join as a member and for travel ratings;

    REQUIREMENTS

    Bachelor’s degree or diploma in tourism/tours & travel management;
    At least 2 years travel management experience; (experience in liaising with international travel agents/partners will be an added advantage);
    Diploma in IATA ( IATA certified) with a minimum of 6 months of experience in tickets booking;
    Experience in using tour reservations systems and flight booking systems e.g. Amadeus;
    Good interpersonal and communication skills, both writing and verbal, with keen attention to detail;
    Must be reliable and able to work in a fast paced environment under pressure to meet deliverables;
    Excellent planning and organizational skills and a team player
    Required to have good knowledge of digital marketing (emphasis on social media marketing); networking and online prospecting skills.

    Responsibilities

    Provides information to staff members and delegations on entitlements, policy and procedures on official travel, removal of personal effects arrangements in accordance with governing rules and regulations  
    Review travel and shipment requests in Umoja to ensure conformity with applicable rules  
    Calculates air fares and constructs itineraries for staff and defendants, delegations and non-staff (consultants, meeting participants and contractors) traveling on official business in line with the most economical and direct route

    Approves travel and shipment authorizations including amendments
    Calculates and records lump-sum entitlements

    Co-ordinates arrangements for removal of personal effects for staff members worldwide including registering shipments and insurance coverage, insurance claims and reviewing invoices

    Travel Assistant

    Responsibilities
    Within the delegated authority, the Travel Assistant will head the Travel, Visa and Shipment Unit, and will be responsible for the following duties:

    Assist in performing the day to day functions of the Travel and co-ordinate all travel related matters within UNSOS and UNSOM .
    Oversee the administration of all official travel, official shipments and incoming and outgoing shipments of personal effects, including the processing of requests for border clearance and the coordination of insurance coverage for all official and personal effects shipments.
    Oversee and review the work of junior Travel Assistants for accuracy and correct application of the relevant rules and regulations.
    Review travel claims and supporting documentation for completeness, accuracy, validity, and conformity with United Nations rules prior to forwarding them to the Finance Section.
    Create Travel related Funds Commitment documents and prepare the status of allotment and Funds Commitment Report using Umoja.
    Coordinate with the Finance Section, regarding reimbursement of travel which took place after the financial period was completed. Associate claims with travel authorizations or other obligation documents. Prepare amendments to existing obligation documents as and when required. Ensure validity of budget allotment and object expenditure codes assigned.
    Review the automated information management system and ensure that no claim is duplicated and that arrangements are made to collect charges for any deviation from the authorized itinerary and shipment allowance in excess of entitlements. Establish reimbursable amount for each item and prepare a memorandum to the Finance Section requesting payment for the costs of transportation and excess baggage.
    Plan and process travel related activities in respect of ATMIS personnel and other categories of non-staff from arrival to end of Tour of Duty. 
    Coordinate travel on Medical Evacuation and related entitlements 
    Coordinate repatriation of human remains
    Provide technical guidance on all travel category in line with the Service Level Agreement and Mission’s authorities. 
    Oversee the visa processes, provide Board of Inquiry and Audit responses; implement recommendations related to travel and payment of Uniformed Personnel entitlements. 
    Coordinate response to Mission and Senior leadership travel expenditures and compliances versus Mission Travel Budget.
    Communicate key policy changes to clients and all stakeholders without delay. 
    Supervise payment of Monthly Substance Allowances (MSA) and Budget projection of the approved strength for Government Provided Personnel (GPP) who are deployed to UNSOM in coordination with the Mission Budget and Finance Section; to be made available prior to the end of each six-month. 
    Train and coordinate with Travel/ Shipment Approvers (TSAs) at the Mission level 
    Perform Travel Processing Officer (TPO) tasks for the Missions.
    Oversee Entitlement and HR travel processes with RSCE Travel Service Line and ensure KPIs are full respected. 
    Ensure Official Business including emergency travels for Senior Managers and visiting VIPs are processed within existing policies
    Advise Staff Members on internal and external Travel process
    Advise clients, Uniformed and Civilian, and ensure strict implementation of Policy on Standard of accommodation for air travel.
    Advise CHRO and CORM on all staff and non-staff Travel related policies.
    Performs other duties as required.
