    Job Description

    The job holder will be responsible for promoting the rational use of medicines and guiding implementation of strategic purchasing for pharmaceuticals to ensure consistent delivery of high-quality cost-effective care, optimum health outcomes and excellent patient experience.

    KEY ROLES AND RESPONSIBILITIES

    Promote rational use of medicines – advocate for rational prescribing and dispensing by adhering to standard treatment guidelines
    Strategic purchasing for pharmaceuticals – develop and implement strategic purchasing initiatives for pharmaceuticals
    Preventive care – facilitate integration of preventive and promotive services and provide input during product development and benefit design process

    Pharmacy benefits management – oversee pharmacy preauthorization through timely and accurate adjudication of pharmacy preauthorization requests
    Drug delivery – support disease management programs by linking members with chronic conditions with preferred pharmacies for drug delivery
    Pharmacy analytics – analysis of prescription patterns for providers and prescription drug use by members and analyze morbidity data to recommend appropriate interventions
    Monitoring errors in pharmacy claims adjudication and preauthorization to inform accuracy in claims management
    Drug utilization review – advise clients and providers on potential adverse drug reactions or drug interactions and counterchecking prescriptions for correctness
    Pharmacy technical support – provide technical support to the clinical team on queries revolving around prescription drugs.
    Keep up to date with current clinical guidelines for common ailments (including NCDs) provided by Ministry of Health and other internationally recognized clinical bodies.
    Pharmaceutical market intelligence – keeping abreast with new developments in the pharmaceutical sector, anticipating potential impacts on the business, and adapting strategy accordingly
    Actively collaborate with specialists, general practitioners, pharmacists, hospitals, patients, and other relevant stakeholders in promoting rational use of medicines

    JOB PURPOSE

    The Pharmaceutical Technologist will ensure accurate dispensing, patient counselling and proper handling of pharmaceutical supplies for all orders and provide effective pharmaceutical services to meet client needs.

    PRIMARY RESPONSIBILITIES

    Strategy and Implementation

    Develop project activity strategy with timely and regularly reviewed implementation work plans.
    Support the facility’s growth strategy by staying up to date in their profession through attendance to educational workshops and maintaining annual CME requirements as per the requirements of the professional’s board.
    Ensure the reference documents at the pharmacy are up to date.

    Dispensing

    Receive written prescription or refill requests and verifying that information is complete and accurate, ensuring proper dispensing in the facility.
    Pre-packing of medicines for dispensing.
    Enhancing rational drug use within the facility.
    Timely and accurate dispensing to patients’ drugs.
    Advise clinicians on drug interactions and advising on alternatives where applicable.
    Provide pharmacological information by responding to questions and requests from the health professional counselling patients on drug therapies.

    Procurement

    Coordinating, ordering of pharmaceutical purchase.
    Ensure rationale procurement of medicines and supplies.

    Drug Store Management

    Maintain proper storage, security conditions and records of pharmaceutical stocks.
    Ensuring timely requisition and inventory management.
    Tallying medicines received from supplies against invoices and checked for correctness of quantity, price, batch numbers and expiry date.
    Maintain cleanliness of shelves and medicines
    Maintain purchase records and invoice
    Ensure cold chain is observed as per medicines specifications.
    Receive and store incoming supplies verify quantities against invoices and inform supervisors of stock needs.

    Drug Forecasting

    Forecasting drug needs for the medical centre and Monitoring stock and informing supervisors of stock needs.

    Record Keeping

    Establish and maintain patient’s profiles, including list of medication taken by individual patients.
    Documenting reports done.
    Streamlining data entered in computer for ensuring accurate data quality.

    Reporting and Documentation

    Preparing monthly, quarterly and annual reports relating to movement of medicines and relevant supplies from the pharmacy.

    REQUIRED QUALIFICATIONS

    Education and Professional Qualifications

    Minimum of Diploma in Pharmaceutical Technology from a recognized institution
    Duly registered with the Pharmacy and Poisons Board
    Must have a valid current practicing license

    Responsibilities

    Job Objective/Purpose

    To ensure that high quality standards are maintained at all times in the provision of medication and medical consumables per Avenue Healthcare’s defined policies and procedures.

    Key Responsibilities

    Ensure that the Pharmacy has the necessary equipment and ensure that they are in good working condition. 
    All processed drug orders should be checked and counter signed by the nurse and the Pharm-Tech 
    Ensure that all insurances exclusion lists are adhered to. 
    Inform the doctor on equivalent of the out of stock medications, document on the T-sheet/prescription and inform the nurse to follow up on counter signing by the respective doctor. 
    Ensure that the Pharmacy is well stocked as per the set re-order levels. Do daily counts, spot counts, monthly stock takes and give a timely, accurate report with valid explanation on variances and expiries to the Pharmacy Superintendent. 
    Prevention of medication errors by counter checking and verifying the prescription/ treatment sheets on doses, allergies, patient identification, right drug, legibility and give clear usage instructions. 
    DDA to be dispensed as per the laid down policy, checked weekly and any discrepancies reported to the Pharmacy Superintendent. 
    Ensure that the fridge temperatures are charted twice daily and any error reported to relevant department. 
    Ensure that any issue pertaining quality is escalated to the Pharmacy Quality Manager. 
    Drugs/surgical items expiry management; 
    Check expiries of the allocated shelf and emergency trolley monthly (ensure short expiry items are replaced) and inform the Pharmacy Superintendent. 
    Enhance FIFO/FEFO by the use of green stickers on short expiry drugs and share the short expiry list with the doctors to assist in prescribing. a) Document all expired drugs, quarantine and report to Pharmacy Superintendent for disposal as per the PPB regulations. b) Allocate emergency trolley to ensure its wellstocked at all times and expiry managed 
    Adhere to Avenue corporate governance policies and procedures; a) Prevent, detect and report any fraud or criminal activity b) Fully implement audit recommendations and attain satisfactory ratings in subsequent audits. 
    Record and report all sentinel incidents/events to the Hospital Manager within 24 hours using the provided tools. 
    Maintain and enforce infection control standards when doing extemporaneous preparations. 
    Client satisfaction; a) Ensure client satisfaction through high quality of service, effective communication, prompt feedback and escalation of any unresolved issues to the relevant person for follow up. Ensure that the standardized tool for patient satisfaction feedback is filed for measurement, follow-up and improvement. 
    Maintain patient privacy and confidentiality at all times. 
    Ensure adequate knowledge of all Avenue policies, procedures and systems as outlined in the HRMIS.

    Ensure Technical/Quality agreements are in place with all Vendors, holders of certificates of registration and 3rd Party Service providers where services rendered directly affects product quality.
    Ensure business operations are conducted under direct personal supervision of a pharmacist.
    Ensure that staff providing services forming part of the scope of practice of pharmacist is appropriately registered with the PPB.
    To ensure that all agreed EMS objectives as per the department are achieved in as far as is practicable.
    To ensure that all Corrective Action/ Preventive Actions proposed on internal and external audits are closed out/ implemented within required timeframe.
