    Purpose of the role:

    Assist in the overall logistics management to ensure effectiveness and efficiency in operations in line with AAHI and donor guidelines.

    Duties & Responsibilities

    Assist in monitor the performance of all drivers in line with donor and AAH guidelines.
    Assist in the maintenance of operational records concerning allocation of vehicles, scheduling and rescheduling of work duties for drivers.
    Liaise with the Logistics, workshop and warehouse officers on all matters relating to running the logistics operation.
    Assist in the supervision of activities pertaining to fleet management and administrative issues, in collaboration with the respective partners.
    Coordinate with the workshop Officer to ensure vehicle repairs and maintenance are conducted professionally and in a timely and through manner.
    Ensure the adherence of AAH rules, regulations and procedures by logistics staffs, and use of safety measures within the sectors.
    Participates in the selection of suppliers in the tender committee and conduct a comparative analysis on supplier prices.
    Participates in reviewing and evaluating the performance of the suppliers.
    Assist in verifying that the required order is within the agreed budget.
    Assist in ensuring proper processing of procurement requests from programs.
    Ensures the timely delivery of quality products and services at the lowest possible cost:
    Submit final invoices to the Finance and Accounts Department for payment
    Ensures the proper management of procurement department operations in the absence of the procurement officer.
    Ensuring proper stacking/packing, spacing is done at the warehouse to allow verification and free movement and avoid accident.
    Preparing stock report on a weekly basis and ensuring that records are well maintained.
    Assist in warehouse inventories and periodical stock reconciliations.
    Checking and inspecting of all goods received for quantity and specification as per bill of loading/packing list/waybills/invoice and ensuring proper recording.
    Performs other duties and task as requested by management.

    MINIMUM PERSONAL SPECIFICATIONS

    Minimum academic qualifications required
    Diploma in Logistics Management or comparable training.
    At least 3 years professional experience in the logistics field.
    Valid BCE Driving License.
    Good computer literacy, with knowledge of Microsoft Office applications including Word, Excel, power point and Outlook

    SKILLS AND COMPETENCIES

    Experience in fleet, Warehouse and procurement management
    Very good working knowledge of ICT technologies (related software, email, internet and computer applications)
    Ability to take initiative and work independently
    Good organizational and team skills.

    Manage booking amendments and cancellations before empty container release
    Check and complete cargo Journey legs at booking stage
    Customer education on CMA CGM Ecommerce products.
    Timely management and resolution of all issues raised internally or externally to the booking desk in the cluster.
    Timely response to customer phone calls and emails. 
    Participate in improvement of Booking processes for the cluster.

    Overview: Reporting to the CHAMPS Manager, the Logistics Assistant / Driver will be responsible for the safe driving and care of CMMB vehicles and property. He/she will at all times comply with the traffic regulations and the Organizations’ policies and regulations on vehicle Management as well as the Kenya Traffic Act CAP 403, Laws of Kenya.
    Responsibilities
    Perform daily, weekly, monthly transport duties.

    Drive Cmmb vehicles, and or equipment as shall be assigned by the Supervisor in a safe and economical manner in conjunction with the regulations in place.
    The Driver is responsible for the routine check-up of the vehicles, routine check-up to include but not limited to oil, brake function, water, lights & tire condition, windshield wipers, etc.
    Confirm availability of vehicle tools and equipment’s before, during and after work.
    The Driver shall always maintain assigned vehicles clean and in good condition, properly for the convenience of the Organizations’ operations.
    The driver shall always stop the engine and electric power of assigned vehicles to save consumption of fuels and the general vehicle engine performance.
    He/she shall ensure compliance with the given directives.
    The Driver shall handover the assigned vehicles by doing a comprehensive handover report before departing for leave.
    Produce weekly records of approved mileage travelled.
    Assists with logistical matters, e.g., deliveries, visa applications, statutory payments, picking up and collecting mail from post office and other errands as assigned.
    Performs other duties as assigned by supervisor.

    Ensure safety of the vehicle /passengers /materials.

    Embrace ownership, caution and responsible behaviour while driving to avoid any form of intoxication.
    Ensure safety of passengers on aboard Cmmb vehicles.
    Ensure vehicle first aid kit and fire extinguishers and other vehicle safety equipment are available and in good condition.
    He/She shall carry only authorized passengers as per the Organization policies on vehicle management.
    The driver shall strictly observe Traffic Rules and Regulations and maximum speed limit as prescribed by the Traffic Act, Laws of Kenya.
    The driver shall at all times park the vehicles at the designated parking area/secure place with all doors and windows locked, keys kept safely.
    Ensure that all passengers are on safety belts for trips within, and outside Nairobi.
    The driver shall always drive vehicles safely and comfortably and must exercise defensive driving while on the road to prevent accident.
    Reckless driving shall be sufficient ground for the driver’s recall and consequently be a cause of disciplinary action.
    He/she shall adhere to Safety and Security regulations/SOPs.

    Ensure all vehicles legal documentation or condition is met by the organization.

    Check validity of vehicle insurance covers, road license and Police inspection stickers.
    Ensure the assigned vehicle is serviced as stipulated in the periodic servicing schedules.
    Report license expiry dates to the Supervisor on time to facilitate renewals.
    The Driver shall update vehicles logbook particulars by making right entries.
    Clearly indicate in the Drivers’ logbook the amount of fuel taken and location.

    Reporting of accidents and incidents

    Report immediately to the Police and Supervisor; not accepting liability on behalf of Cmmb.
    Present a comprehensive report to the management within 24 hours.

    Qualifications

    Minimum of Kenya Certificate of Secondary Education and Valid Driving license class BCE.
    You have 5 years of relevant work experience.
    You have significant relevant training or experience in defensive driving.
    You have a valid Certificate of good conduct.
    You have good communication, writing & interpersonal skills.

    Our client a Logistics and Distribution company seeks to hire Warehouse Supervisor. The ideal candidate will be responsible for management of inventory received in the warehouse while ensuring zero stock losses on the warehouse floor and stock adequacy to meet market demand. Key accountabilities for the role include; ensuring proper utilization of warehousing space to minimize on carrying costs, adherence to standard stocking policy, adherence to budgets in bordering, preparation of daily, weekly and monthly stock plans, accountability for all stocks received in the warehouse through documentation of daily stock takes and reconciliation. Maintenance of the warehouse in working order, tracking all recorded occurrences, and ensuring OHS standards adherence in the warehouse. Optimally using the available resources in accordance with the business strategy and objectives to achieve profitable volume of sales.
    KEY RESPONSIBILITIES

    Verification of invoiced product receipt from the company for conformity and Quantity.
     Tracking of all stocks received into the warehouse and verification of the same through SAP system.
    Daily reconciliation of system and physical stock count to nil.
    Preparation and emailing of daily, weekly, and monthly stock reports to Finance, Sales and Distribution and Internal audit departments.
    Preparation and emailing of daily stock position to the team.
    Generation of orders in line with standard stocking levels and sharing the same with the Finance department for alignment with budget.
    Tracking of all damaged/non-conforming inventory received in the warehouse, documenting it, and maintaining a schedule of the same for reconciliation.
    Maintaining cleanliness in the warehouse as per OHS guidelines.
    Ensuring all employees engaged in the warehouse adhere to the safety standards and have full PPE.
    Ensuring Delivery notes are correctly filled, and the correct quantities are issued against the delivery note.
    Verification of stocks issued and ensuring all delivery notes are signed off correctly on issuance of stock.
    Verification of stocks received from the company and ensuring all signoffs are done for the returns.
    Free issue stocks tracking and reconciliation.
    Custodian of all stock documentation.
