  • Transport Manager

    Transport Manager

    Responsibilities:

    Utilize Total portal and 3D tracking to extract reports and optimize fleet usage.
    Institute preventive maintenance programs for the transport fleet to minimize vehicle/cycle downtime.
    Conduct training for staff in the department, including drivers.
    Monitor and control fleet running costs by verifying supplier’s invoices and maintenance repair reports from the Workshop.
    Coordinate the rescue of breakdown/accident vehicles and facilitate repairs in the field.
    Ensure procedures for reporting and logging vehicle movement through the control room are followed.
    Provide counseling for drivers during meetings.
    Implement and enforce control measures to safeguard against theft of courier fleet components, parts, and accessories.
    Deploy staff in the transport section.
    Supervise and discipline staff in the section.
    Prepare management reports, including:

    Monthly Breakdown reports.
    Accident registers in liaison with Special Operations.
    Fuel usage reports for the entire fleet, including motorbikes.
    Monthly Service records reports in liaison with the Workshop.
    Daily Movement reports and vehicles booked in the Workshop.

    Participate in the preparation of new vehicle requisition in line with the Operations Manager, providing justifications.
    Develop a Vehicle replacement policy and monitor its adherence. Recommend vehicles for disposal with justifications.
    Ensure the quality of parts and workmanship at dealer/company workshops.
    Maintain a clean, well-serviced, and neat fleet at all times to protect the company image.
    Ensure all vehicles comply with traffic regulations, County Government regulations, and possess the requisite licenses (e.g., Inspection certificate, Speed governor Certificate, Insurance, Branding, and Distribution licenses).

    Qualifications and Skills

    Bachelor’s Degree in Fleet Management, Logistics Management, Transport Management, or another related field.
    Minimum of 5 -7 years of experience in a similar role in a busy environment such as Courier, Busy Retail, Logistics, and Distribution Company.
    Must have experience managing a fleet of over 100 vehicles.
    Proven experience in coordination with internal and external stakeholders.
    Demonstrated experience in identifying & implementing corrective actions to improve performance and monitoring progress.
    Proficiency with systems that manage fleet operations.
    Ability to set priorities, meet deadlines, and multitask with minimal supervision.
    Strong interpersonal, organizational, and team skills.

    Role Overview:

    To ensure satisfactory delivery of services against contractual terms and conditions, meeting and exceeding client expectations and ensuring the contractual commitments of CBRE are achieved.
    To ensure all maintenance work is called out in accordance with client and company policies and procedures and within health and safety legislative requirements.

    Key objectives of the role (Not exhaustive or necessarily in order of importance):

    Assist in the issue of PPMs from the CMMS system, together with the update and maintenance of accurate records.
    Arrange site access for sub-contractors carrying out planned maintenance, including raising of Change requests and obtaining RAMS and compiling subcontractor packs.
    Update sub-contractor logbooks as required and requested, including filing of completed subcontractor maintenance packs and reports.
    Ensure that supplier and subcontractor feedback is regularly recorded.
    Assist with the submission of subcontractor and extra works quotations.
    Raise extra works purchase orders and send to suppliers and subcontractors.
    Support the tendering process for subcontractors and ensure all necessary service contract purchase orders are raised in a timely manner ready for the services required to operate the facility.
    Compile and submit time sheets.
    Monitoring and reporting of staff absence, update and maintain holiday/absence tracker.
    Assist with arranging staff training.
    Update/maintain contract training matrix.
    Responsible for compiling monthly Contract Reports.
    Assist contract management with filing to update and maintain contract logbooks.
    Deal with sub-contractor invoices and any associated queries, assisting with checking/processing for payment of all CBRE monthly invoices.
    Compiling the monthly site financial reconciliation.
    Supporting the Contract Management Team in ensuring the financial records, systems and reports are kept up to date, together with progressing contract Works in Progress, invoicing and credit control etc.
    Assist where needed with day-to-day enquiries from the CBRE team and Client.
    General administration and logistical support to contract Management.

    Essential Education Desirable Education:
    The successful candidate will have the following background:

    A good basic education with at least grade 12 and passes in Mathematics and English.
    Excellent IT skills with working knowledge in Microsoft Word and Excel.
    Three years’ experience in a similar role with basic finance responsibilities.

    Desirable Education:

    Grade 12 Mathematics and English.
    Knowledge of CAFM, CMMS or PPM management, Access Requests, change management system and PowerPoint.
    Experience covering both administrative and financial aspects.
    Supervisory experience recommendation.

    About The Role

    Operations Leads are accountable for continually improving processes to facilitate the delivery of the desired goals. This includes but is not limited to the measurement processes, the support processes, the quality processes, and the forecasting and scheduling processes.

    Your daily adventures will include:

    Define and achieve KPIs (primary and supporting) and measures and proactively monitor Outsource partner’s performance across markets and ensure credible and timely action plans and execution to meet goals
