    Responsibilities

    Under the direct supervision of the Programme Management Officer, the intern will:

    Assist in drafting, tracking progress, and following up on correspondence with donors, ensuring timely and accurate communication.
    Manage archives of donor correspondence, files, emails, and other communications in a structured manner.
    Assist in developing donor communication materials such as proposals, reports, and newsletters, ensuring high-quality content.
    Conduct research on potential donors and funding opportunities, including identifying new prospects and analyzing donor trends and patterns.
    Support in event organization, including logistical planning, coordination, and execution.

    Education

    Have graduated with Bachelor’s degree, Masters, PhD or equivalent
    Be computer literate in standard software applications (Microsoft Office).
    Have demonstrated a keen interest in the work of the United Nations and have a personal commitment to the ideals of the Charter.

    Preferred areas of studies:

    International relations, International Development, Diplomacy, Communications, Marketing, Business management or any other related field of study.

    The Assignments will be task managed by the Council of Governors Committee supervised by and reporting to the Program Officer – Monitoring and Evaluation.
    Duration of the assignment

    The internship duration is for a period of six (6) months.

    Required Qualifications

    Have a Bachelor of Arts Degree in Monitoring and Evaluation;
    Certificate in Computer applications.
    Experienced in undertaking comprehensive research;
    Outstanding Interpersonal, analytical and communication skills;
    Ability to follow deadlines, accuracy and attention to detail;
    A high level of computer literacy and proficient in written and spoken English and Kiswahili; and
    Ability to work independently and as part of a team.

    Responsibilities
    Daily responsibilities will depend on the individual’s background, the interns’ assigned office as well as the internship period.
    Under the direct supervision of Senior Programme Officer, the intern will:

    Review materials of the Policy, Legislation and Governance Section (PLGS) portfolio and research on contemporary Section’s related topics in the context of sustainable urbanization and the implementation of the New Urban Agenda and the Sustainable Development Goals.
    Assist in developing tools, frameworks and guidelines, policy documents, and/or concept notes to build the PLGS portfolio on Regional and Metropolitan studies.
    Assist in developing and implementing the PLGS work plan monitoring system, monitoring key indicators and following-up with partners on their reporting and feedback, including with country and regional offices.
    Assist in the design of training programs and materials related to the PLGS work plan, including through the identification of training needs and demands from key national and local stakeholders.
    Assist with outreach activities and the production of awareness materials that will support the rolling out of the PLGS work plan.
    Analyze and present the data gathered from diverse sources in reports, tools, normative products among others.
    Contribute to written outputs. For example, draft background papers, analysis, sections of reports and studies and inputs to publications.
    Assist in planning, preparing and implementing PLGS related events (meetings, workshops, conferences, Expert Group Meetings, etc.) and support the implementation of specific recommendations arising from these events.
    Assist in preparing documents and activities related to Korea-funded NUPP.
    Other tasks relevant to the candidate and PLGS, as jointly determined with the PLGS team.

    About USAID Tujenge Jamii Project

    The USAID Tujenge Jamii project is a five-year USAID funded service delivery project, providing HIV care and treatment, family planning/reproductive, maternal, newborn, child, and adolescent health (FP/RMNCAH), nutrition, and water, sanitation, and hygiene (WASH) services.  The project is focused on increasing the use of county-led health and social services in four counties in Kenya, namely Baringo, Laikipia, Samburu and Nakuru.  

    Program Objectives:

    Increased access and demand for quality HIV prevention services.
    Increased access and demand for quality HIV treatment services.
    Increased access and demand for quality FP/RMNCAH, nutrition, and WASH services.
    Strengthened capacity of county health systems, local partners, and communities to deliver quality health services.

    Main purpose of the job

    The Program Support Interns will provide assistance to the Technical Officers in implementation of the HIV program. They will also support in finance documentation and coordination of the project joint work plan activities at county, sub county and facility levels. The role holder will track delivery on work plan activities, ensure funds are disbursed timely as well as support timely submission of returns. The positions will be based in our Nakuru office.

    Job Description

    Assist the Technical Officers in preparation of program advances.
    Assist in consolidating of approved activities and preparing forwarding the consolidated advance request to the finance team.
    Follow up on status of advances from the finance team.
    Support timely implementation of activities as guided by the Technical Officers.
    Assist in registration of meeting participants.
    Support administrative activities including filing and printing.
    Follow up with staff and Ministry of Health teams on due advances for accounting.
    Help collect returns for liquidation of advances in a timely manner.  
    Any other responsibilities as guided by the supervisor.

    Qualifications

    Bachelor’s Degree in business administration, Finance, IT, Health Sciences or related field.
    Minimum KCSE overall grade of B+, with a B+ in Mathematics and English.
    Good understanding of finance records reconciliations.  
    A high degree of self-motivation, positive attitude, drive, and the ability to contribute to a multi-cultural, team-based work environment.
