    Logistics Assistant/Driver

    Role Summary:
    The Logistics Assistant will be responsible for providing driving and chauffeur duties to assigned staff and guests of AGRA. The ideal candidate will ensure highest standards of discretion and integrity, sense of responsibility, excellent knowledge of protocol and security issues. S/He also will be expected to demonstrate a client-oriented approach, courtesy, tact and ability to work with different nationals and cultural backgrounds while coordinating the movement of personnel and deliveries and oversees the maintenance of AGRA office vehicles.
    Key duties and responsibilities include:

    Delivering vehicles for servicing /repairs and checking that they are in satisfactory condition.
    Repairing vehicles when they have minor break downs and delivering them to the garage for repairs.
    Ensuring validity of motor vehicle insurance including making arrangements for insurance valuation.
    Maintaining a register for monitoring and maintenance of vehicles.
    Documenting in the vehicle movement logbook and summarize information into a monthly report on movement of vehicles and fuel consumption.
    Coordinating the movement of personnel and office deliveries.
    Coordinating the UN fuel account.
    Relaying information concerning security of roads, routes and sites to be visited.
    Ensure enforcement of AGRA vehicle policy.
    Transport staff to various destinations as per schedule.
    Transport AGRA visitors to upcountry on official visits.
    Collecting and delivering mails at the Post Office and other offices.
    Delivering letters and cheques to the grantees, reviewers, suppliers/service providers as and when required.
    Collecting cash, bank statements and bankers’ cheques from the bank when required.
    Deposits and collects cheques from the bank and perform any other banking work as may be required.

    Academic, Professional Qualifications and Relevant experience:

    Minimum O-level certificate or similar level.
    Minimum 5 years’ accident-free driving experience preferably in an international organization.
    Clean driving license and good track record.
    Good command of the English language.
    Basic knowledge of word processing, spreadsheets, data entry, and email software.
    High level of integrity.
    Positive attitude, courteous and strong service orientation

    Department Summary
    CMMB’s Finance and Administration Department plays a critical role in ensuring that CMMB efficiently and effectively utilizes its resources in achieving its program goals through least cost and value for money.     CMMB has been working in Kenya for almost 15 years. CMMB works to ensure that the most vulnerable populations, especially mothers and children, have access to quality services in health care, health promotion and illness prevention.
    Overview
    Reporting to the Senior Finance and Administration Manager, the Logistics Assistant/Driver will be responsible for the safe driving and care of CMMB vehicles and property. He/she will at all times comply with the traffic regulations and the Organizations’ policies and regulations on vehicle Management as well as the Kenya Traffic Act CAP 403, Laws of Kenya.
    Responsibilities
    Perform daily, weekly, monthly transport duties.

    Drive Cmmb vehicles, and or equipment as shall be assigned by the Supervisor in a safe and economical manner in conjunction with the regulations in place.
    The Driver is responsible for the routine check-up of the vehicles, routine check-up to include but not limited to oil, brake function, water, lights & tire condition, windshield wipers, etc.
    Confirm availability of vehicle tools and equipment’s before, during and after work.
    The Driver shall always maintain assigned vehicles clean and in good condition, properly for the convenience of the Organizations’ operations.
    The driver shall always stop the engine and electric power of assigned vehicles to save consumption of fuels and the general vehicle engine performance.
    He/she shall ensure compliance with the given directives.
    The Driver shall handover the assigned vehicles by doing a comprehensive handover report before departing for leave.
    Produce weekly records of approved mileage traveled
    Assists with logistical matters, e.g., deliveries, visa applications, statutory payments, picking up and collecting mail from post office and other errands as assigned.
    Performs other duties as assigned by supervisor

    Ensure safety of the vehicle /passengers /materials.

    Embrace ownership, caution and responsible behaviour while driving to avoid any form of intoxication.
    Ensure safety of passengers on aboard Cmmb vehicles.
    Ensure vehicle first aid kit and fire extinguishers and other vehicle safety equipment are available and in good condition.
    He/She shall carry only authorized passengers as per the Organization policies on vehicle management
    The driver shall strictly observe Traffic Rules and Regulations and maximum speed limit as prescribed by the Traffic Act, Laws of Kenya.
    The driver shall at all times park the vehicles at the designated parking area/secure place with all doors and windows locked, keys kept safely.
    Ensure that all passengers are on safety belts for trips within, and outside Nairobi
    The driver shall always drive vehicles safely and comfortably and must exercise defensive driving while on the road to prevent accident
    Reckless driving shall be sufficient ground for the driver’s recall and consequently be a cause of disciplinary action
    He/she shall adhere to Safety and Security regulations/SOPs

    Ensure all vehicles legal documentation or condition is met by the organization.

    Check validity of vehicle insurance covers, road license and Police inspection stickers.
    Ensure the assigned vehicle is serviced as stipulated in the periodic servicing schedules.
    Report license expiry dates to the Supervisor on time to facilitate renewals.
    The Driver shall update vehicles logbook particulars by making right entries.
    Clearly indicate in the Drivers’ log book the amount of fuel taken and location.

    Reporting of accidents and incidents

    Report immediately to the Police and Supervisor; not accepting liability on behalf of Cmmb.
    Present a comprehensive report to the management within 24 hours.

    Qualifications

    Minimum of Kenya Certificate of Secondary Education and Valid Driving license class BCE.
    You have 5 years of relevant work experience
    You have significant relevant training or experience in defensive driving
    You have a valid Certificate of good conduct.
    You have good communication, writing & interpersonal skills
    You can effectively use Microsoft office packages.
    You are willing to work extended hours and weekends as needed
    Willing and able to work in a team environment
    You have good working knowledge of all major local road networks and city streets
    You have experience in logistics

    Main purpose of job:
    To schedule transport requests and support the Transport team in the daily running of the transport services.
    Job holder will have a responsibility of making sure all transport requests are scheduled into the transport diary, all drivers are informed of their itineraries and all administration handled effectively.
    To deputise for the Deputy Transport Manager during that officer’s absences from post.
    Roles and responsibilities:
    To work closely with the Transport Manager and team.
    The main duties include:

    Receiving, recording and scheduling daily transport requests.
    Management of driver schedules optimizing working hours/shift system for greater efficiency of the section and to also ensure drivers get adequate rest
    Communicating and confirming requests to passengers of their travel time as well as all logistics details.
    Monthly reporting on various aspects of the section including overtime hours and number of monthly bookings, Rota for safaris, visits programmes, weekend and holidays.
    Developing and monitoring monthly driver’s roster schedule and coordinating drivers leave and off days.
    Undertaking switchboard duties on short breaks during lunchtimes or providing leave cover.
    Occasionally attending to visitors at Reception.
    Management of transport bookings and preparation of daily transport program in consultation with Deputy Transport Manager.
    Coordinates all daily transport activities developing plans for handling special request or emergencies to ensure efficiency of operations.
    Analyze all aspects of BHC daily corporate logistics requirements to determine the most cost effective or efficient means to meet them.
    Maintaining radio and phone contact with the drivers as a means of ensuring smooth flow of operations.
    Responsibility for maintaining customer feedback data on transport services.
    Provide and maintain good customer service and solve problems. As an integral part of the team ensure that customers are highly regarded and receive exceptional service.
    Be part of the visits teams and contribute to travel program development
    Coordinates monthly drivers meetings in consultation with Transport Manager
    Advising the Transport manager on driver performance.

    Essential qualifications, skills and experience

    Diploma in transport and logistics or equivalent
    Experience in transport planning-rostering and scheduling & good command of IT skills
    Have previous first-hand experience of supervising large team of drivers in a busy environment.
    Possess good oral and written communication skills
    Evidence of very good customer service skills including an ability to handle difficult customers while working under pressure.
