Talent Acquisition Assistant

Summary job description:

This role will involve supporting the Talent Acquisition Manager in daily recruitment operations that involve documentation, strategic job marketing, and attracting and managing applicants throughout the hiring process, from entry-level to senior-level positions within the organisation. The hire will also ensure the process is adhered to globally and nationally.
The job holder will also be required to provide operational support in general human resource operations.

Responsibilities
Talent Acquisition (90%)

Attracting and selecting appropriately qualified talent through strategic sourcing from timely posting of job adverts;
Providing pro-sourcing support in hard-to-fill departments;
Provide support in identifying the best sources of talent;
Supporting in screening and long-listing in collaboration with the relevant line managers/functions;
Ensuring implementation of Talent Acquisition policy, procedures and best practices at global and national levels;
Supporting line managers and HR Leads in the navigation and utilisation of the applicant tracking system;
Contacting applicants to facilitate the attendance of interviews in conjunction with line managers;
Organising and participating in interviews in collaboration with the Talent Acquisition Manager and Line managers;
Facilitating quality background checks for global roles and national roles in the absence of national HR leads ;
Collaborating with the HR and Recruitment Officer at the offer and onboarding stage.
Supporting the Talent Acquisition Manager in analysing recruitment statistics and providing regular reports;
Timely confirmation of employment letters
Provide support in constantly evaluating the process and proactively suggest improvements to the Talent Acquisition process.

Generalist and Operational Support (10%)

Supporting the implementation of already established HR systems related to talent acquisition, advising and guiding line managers.
Drafting offer letters and contracts for new starters, sharing them with the HR
Officer, and sending the documents out for signature
Raising purchase requests in the finance system
Supporting line managers in probation management of new hires
Ensuring talent acquisition policies and guides are updated on various systems
Support the HR and Recruitment Officer in the management of the HR inbox

Occasional tasks such:

Supporting in the logistics and event planning on request with the permission of the Talent Acquisition manager and Head of People Services
Support the Reward Manager in reward queries
Any other tasks assigned by the People Team colleagues.

Required

Relevant International HR certifications, SHRM, IHRCI, IHRM-K or any National equivalent of the same.
Some work experience as a recruiter or entry-level Talent Acquisition specialist in a global context.
Excellent IT skills with knowledge of MS Office and/or G-Suite.
Experience using CRM and cloud-based applicant tracking systems.
Good interpersonal skills and ability to communicate effectively.
Excellent writing and numeracy skills.
Willingness to learn how to exercise assertiveness towards key stakeholders in the talent acquisition process.
Excellent attention to detail.
Highly organised, can-do attitude and ability to work on own initiative
Commitment to providing excellent service

We would also love to see

Experience serving an organisation as a consultant or in-house entry-level Talent Acquisition Specialist
Previous experience in an international charity or social enterprise
Previous experience working with HR and Applicant tracking systems
Competency in any of the languages which our colleagues speak: Malagasy, French, Spanish, Bahasa, Tetun, Swahili and Portuguese
